How to Give a Killer Presentation

For more than 30 years, the TED conference series has presented enlightening talks that people enjoy watching. In this article, Anderson, TED’s curator, shares five keys to great presentations:

  • Frame your story (figure out where to start and where to end).
  • Plan your delivery (decide whether to memorize your speech word for word or develop bullet points and then rehearse it—over and over).
  • Work on stage presence (but remember that your story matters more than how you stand or whether you’re visibly nervous).
  • Plan the multimedia (whatever you do, don’t read from PowerPoint slides).
  • Put it together (play to your strengths and be authentic).

According to Anderson, presentations rise or fall on the quality of the idea, the narrative, and the passion of the speaker. It’s about substance—not style. In fact, it’s fairly easy to “coach out” the problems in a talk, but there’s no way to “coach in” the basic story—the presenter has to have the raw material. So if your thinking is not there yet, he advises, decline that invitation to speak. Instead, keep working until you have an idea that’s worth sharing.

Lessons from TED

A little more than a year ago, on a trip to Nairobi, Kenya, some colleagues and I met a 12-year-old Masai boy named Richard Turere, who told us a fascinating story. His family raises livestock on the edge of a vast national park, and one of the biggest challenges is protecting the animals from lions—especially at night. Richard had noticed that placing lamps in a field didn’t deter lion attacks, but when he walked the field with a torch, the lions stayed away. From a young age, he’d been interested in electronics, teaching himself by, for example, taking apart his parents’ radio. He used that experience to devise a system of lights that would turn on and off in sequence—using solar panels, a car battery, and a motorcycle indicator box—and thereby create a sense of movement that he hoped would scare off the lions. He installed the lights, and the lions stopped attacking. Soon villages elsewhere in Kenya began installing Richard’s “lion lights.”

A solution for this is to arrive at least 30 minutes early. Ideally, one hour is a sweet spot since the AV crew has time to check the gear and requirements for your presentation.   • Swearing : This is a no-brainer. Even when you see influencers swearing on camera or in podcasts or live presentations, it is considered an informal and lousy practice for business and academic situations. If you have a habit to break when it comes to this point, find the humor in these situations and replace your swear words with funny alternatives (if the presentation allows for it). 

Voice Tone plays a crucial role in delivering effective presentations and knowing how to give a good presentation. Your voice is a powerful tool for exposing your ideas and feelings . Your voice can articulate the message you are telling, briefing the audience if you feel excited about what you are sharing or, in contrast, if you feel the presentation is a burden you ought to complete.

Tip #1: Build a narrative

One memorable way to guarantee presentation success is by writing a story of all the points you desire to cover. This statement is based on the logic behind storytelling and its power to connect with people .

Don’t waste time memorizing slides or reading your presentation to the audience. It feels unnatural, and any question that diverts from the topic in discussion certainly puts you in jeopardy or, worse, exposes you as a fraud in the eyes of the audience. And before you ask, it is really evident when a presenter has a memorized speech. 

Build and rehearse the presentation as if telling a story to a group of interested people. Lower the language barrier by avoiding complex terms that maybe even you aren’t fully aware of their meaning. Consider the ramifications of that story, what it could lead to, and which are the opportunities to explore. Then, visualize yourself giving the presentation in a natural way.

Applying this technique makes the presentation feel like second nature to you. It broadens the spectrum in which you can show expertise over a topic or even build the basis for new interesting points of view about the project.

Tip #2: Don’t talk for more than 3 minutes per slide

It is a common practice of presenters to bombard the audience with facts and information whilst retaining the same slide on the screen. Why can this happen? It could be because the presenter condensed the talk into very few slides and preferred to talk. The reality is that your spectators won’t retain the information you are giving unless you give visual cues to help that process. 

Opt to prepare more slides and pace your speech to match the topics shown on each slide. Don’t spend more than 3 minutes per slide unless you have to introduce a complex piece of data. Use visual cues to direct the spectators about what you talk about, and summarize the principal concepts discussed at the end of each section.

Tip #3: Practice meditation daily

Anxiety is the number one enemy of professional presenters. It slowly builds without you being aware of your doubts and can hinder your performance in multiple ways: making you feel paralyzed, fidgeting, making you forget language skills or concepts, affecting your health, etc.

Meditation is an ancient practice taken from Buddhist teachings that train your mind to be here in the present. We often see the concepts of meditation and mindfulness as synonyms, whereas you should be aware that meditation is a practice that sets the blocks to reach a state of mindfulness. For presenters, being in the here and now is essential to retain focus, but meditation techniques also teach us to control our breathing and be in touch with our body signals when stress builds up. 

The customary practice of meditation has an impact on imagination and creativity but also helps to build patience – a skill much needed for connecting with your audience in instructional presentations.

Having the proper set of presentation skills can be quite subjective. It goes beyond presentation tips and deepens into how flexible we can be in our ability to communicate ideas.

Different presentations and different audiences shape the outcome of our efforts. Therefore, having a basic understanding of how to connect, raise awareness, and empathize with people can be key ingredients for your career as a presenter. A word of advice: success doesn’t happen overnight. It takes dedication and patience to build communication skills . Don’t condition your work to believe you will be ready “someday”; it’s best to practice and experience failure as part of the learning process.

How to prepare and deliver an effective oral presentation

The success of an oral presentation lies in the speaker’s ability to transmit information to the audience. Lucia Hartigan and colleagues describe what they have learnt about delivering an effective scientific oral presentation from their own experiences, and their mistakes

The objective of an oral presentation is to portray large amounts of often complex information in a clear, bite sized fashion. Although some of the success lies in the content, the rest lies in the speaker’s skills in transmitting the information to the audience. 1

Preparation

It is important to be as well prepared as possible. Look at the venue in person, and find out the time allowed for your presentation and for questions, and the size of the audience and their backgrounds, which will allow the presentation to be pitched at the appropriate level.

See what the ambience and temperature are like and check that the format of your presentation is compatible with the available computer. This is particularly important when embedding videos. Before you begin, look at the video on stand-by and make sure the lights are dimmed and the speakers are functioning.

For visual aids, Microsoft PowerPoint or Apple Mac Keynote programmes are usual, although Prezi is increasing in popularity. Save the presentation on a USB stick, with email or cloud storage backup to avoid last minute disasters.

When preparing the presentation, start with an opening slide containing the title of the study, your name, and the date. Begin by addressing and thanking the audience and the organisation that has invited you to speak. Typically, the format includes background, study aims, methodology, results, strengths and weaknesses of the study, and conclusions.

If the study takes a lecturing format, consider including “any questions?” on a slide before you conclude, which will allow the audience to remember the take home messages. Ideally, the audience should remember three of the main points from the presentation. 2

Have a maximum of four short points per slide. If you can display something as a diagram, video, or a graph, use this instead of text and talk around it.

Animation is available in both Microsoft PowerPoint and the Apple Mac Keynote programme, and its use in presentations has been demonstrated to assist in the retention and recall of facts. 3 Do not overuse it, though, as it could make you appear unprofessional. If you show a video or diagram don’t just sit back—use a laser pointer to explain what is happening.

Rehearse your presentation in front of at least one person. Request feedback and amend accordingly. If possible, practise in the venue itself so things will not be unfamiliar on the day. If you appear comfortable, the audience will feel comfortable. Ask colleagues and seniors what questions they would ask and prepare responses to these questions.

It is important to dress appropriately, stand up straight, and project your voice towards the back of the room. Practise using a microphone, or any other presentation aids, in advance. If you don’t have your own presenting style, think of the style of inspirational scientific speakers you have seen and imitate it.

Try to present slides at the rate of around one slide a minute. If you talk too much, you will lose your audience’s attention. The slides or videos should be an adjunct to your presentation, so do not hide behind them, and be proud of the work you are presenting. You should avoid reading the wording on the slides, but instead talk around the content on them.

Maintain eye contact with the audience and remember to smile and pause after each comment, giving your nerves time to settle. Speak slowly and concisely, highlighting key points.

Do not assume that the audience is completely familiar with the topic you are passionate about, but don’t patronise them either. Use every presentation as an opportunity to teach, even your seniors. The information you are presenting may be new to them, but it is always important to know your audience’s background. You can then ensure you do not patronise world experts.

To maintain the audience’s attention, vary the tone and inflection of your voice. If appropriate, use humour, though you should run any comments or jokes past others beforehand and make sure they are culturally appropriate. Check every now and again that the audience is following and offer them the opportunity to ask questions.

Finishing up is the most important part, as this is when you send your take home message with the audience. Slow down, even though time is important at this stage. Conclude with the three key points from the study and leave the slide up for a further few seconds. Do not ramble on. Give the audience a chance to digest the presentation. Conclude by acknowledging those who assisted you in the study, and thank the audience and organisation. If you are presenting in North America, it is usual practice to conclude with an image of the team. If you wish to show references, insert a text box on the appropriate slide with the primary author, year, and paper, although this is not always required.

Answering questions can often feel like the most daunting part, but don’t look upon this as negative. Assume that the audience has listened and is interested in your research. Listen carefully, and if you are unsure about what someone is saying, ask for the question to be rephrased. Thank the audience member for asking the question and keep responses brief and concise. If you are unsure of the answer you can say that the questioner has raised an interesting point that you will have to investigate further. Have someone in the audience who will write down the questions for you, and remember that this is effectively free peer review.

Be proud of your achievements and try to do justice to the work that you and the rest of your group have done. You deserve to be up on that stage, so show off what you have achieved.

There are three key elements of good presentations: Content, Organization, Delivery.  Your audience needs interesting and appropriate content in order to pay attention, especially at the start of a presentation.  Logical organization helps retain your audience’s attention – they need to be able to follow your train of thought and predict where you are going with your ideas.  Delivery also is important, as your own engagement with the information helps your audience engage.

Content deals with the substance of your presentation. Your ideas and information should be original and significant.  Use accepted and relevant sources in your research, and reference those sources as needed.  Offer a clear analysis that’s comprehensive and concise at the same time – strive for the right amount of information for your audience’s needs and the allotted presentation time. Make sure that your content is relevant to your audience, so that they understand immediately why they should pay attention to your presentation.

Garr Reynolds, in his book Presentation Zen: Simple Ideas on Presentation Design and Delivery , identifies characteristics of presentation content that create what he calls SUCCES(s): [1]

  • Simplicity – reduce information to key points and essential meanings
  • Unexpectedness – pose questions, offer interesting statistics, “make the audience aware that they have a gap in their knowledge and then fill that gap”
  • Concreteness – use specific language, provide real-life examples
  • Credibility – use sources, facts, statistics to back up your content; deliver information confidently; know your information well
  • Emotions – engage your audience to feel something about your content
  • Stories – use examples and illustrations to create a “story element” to the presentation

Finally, to make your content effective, repeat key information throughout your presentation. A memory research pioneer, German psychologist Hermann Ebbinghaus, found that we forget approximately 50 percent of new information within 18 minutes, with retention falling to 35 percent after a week. However, Ebbinghaus also discovered that repetition of the new information at key intervals can change this trajectory, a discovery known as the spacing effect. The lesson for presenters: work repetition into your presentation content.

Organization

Good organization requires a clear beginning, middle, and end. Link your ideas logically throughout the presentation to lead to an ending that resolves the problem or summarizes the situation you presented at the start. If you’re presenting based on a formal report or proposal, you may want to follow the order of the longer written document, but you don’t have to; as long as you include main ideas, it’s up to you to determine your presentation’s organization based on your audience and purpose. Strive for clear transitions between individual points, slides, and topics.

Delivery involves a range of factors from body language and word choice to vocal variety. A good presenter has a passion for the subject and an ability to convey and perhaps elicit that emotion in the audience. Audience engagement through eye contact, facial expression, gestures, and/or vocal tone contributes to an effective presentation. Delivery also deals with the confidence and professionalism with which you deliver the presentation.  Hesitations, “ums,” and other types of vocal fumbling will distract your audience, while a clear, confident presentation helps to engage them.

Content, organization, and delivery work together and are equally important aspects of presentations.

The following two videos provide basic tips for creating effective presentations in terms of content, organization, and delivery.  As you view them, consider their similarity of information and dissimilarity in presentation style. What can you infer about the presenter and intended audience of each presentation?  Which video resonates more fully with you personally, and why?  In terms of conveying information to a general audience, which video do you think is most effective, and why?

Planning Presentations

As you can see based on the video examples, presentations always require a situational analysis in the planning stage.  Identify your audience, purpose, context, and all of the communication variables that you need to consider in order to make choices that will result in an effective presentation for your purpose and audience. For example, your purpose – the one, main idea that you want to convey through your presentation – can influence your content, organization, delivery, and overall approach.  Identifying your audience can help you with what may be the most critical aspect of your presentation, making your information relevant to your audience.  Analyzing communication variables for your presentation also will help you determine if you need supplemental materials or handouts, how to arrange a room for an in-person presentation, how best to structure a virtual presentation, and more.

Even if you are creating a presentation based on a formal report or proposal for which you have already done a situational analysis, do another situational analysis for your presentation, as your audience, organization, language, and overall approach may differ based on the different communication mode.

Planning Online Presentations

In addition to doing a situational analysis, online presentations may require some additional planning time in terms of how you present information.  A real-time, in-person audience may pay attention to your presentation simply because you are present, and you may be able to adapt your presentation to audience reaction.  However, it’s more difficult to capture the attention of a virtual audience, either real-time or asynchronous, so online presentations need to be thought through very deliberately in terms of their content, organization, look, and approach.

The following video, while written for online instructors, nonetheless offers important points to consider for any type of virtual, online presentation.

Understanding Presentation Audiences

Audiences are egocentric, meaning that they operate under the principle of WIIFM: what’s in it for them. Don’t expect your audience to meet you where you are; meet them where they are and then take them where you want to go together. According to Lucas, audiences “pay closest attention to messages that affect their own values, beliefs, and well being. Listeners approach speeches with one question uppermost in mind: ‘Why is this important to me?’ … What do these psychological principles mean to you as a speaker?  First, they mean that your listeners will hear and judge what you say on the basis of what they already know and believe.  Second, they mean you must relate your message to your listeners–show how it pertains to them, explain why they should care about it as much as you do.” [2]

Also, audiences have relatively short attention spans, and often decide whether or not to give you their attention within the first minute or so of a presentation. Various research studies indicate a five – twenty minute attention span for any type of presentation (note that results of studies vary). An article titled “ Neuroscience Proves You Should Follow TED’s 18-Minute Rule to Win Your Pitch ” discusses the concept of “cognitve backlog,” or the idea that the more information you provide, the more information your audience will tune out and not remember. These audience characteristics lay the groundwork for presentation strategies identified in the videos, strategies such as starting with and continuing a story, engaging attention with an interesting statistic, and more.  The point to remember is that you need to make conscious, reasoned decisions about ways to engage your audience.  Keeping audience attention span and egocentrism in mind, strive for the following presentation basics:

  • Conciseness
  • Connection with audience

Expectations for Presentations

The 10/20/30 rule, generally attributed to venture capitalist Guy Kawasaki, is a good guideline to help you achieve a “just right” balance in your presentations. Geared for entrepreneurs pitching their business, his advice is a discipline that would improve the quality—and, effectiveness—of most presentations. In brief, 10/20/30 translates to a maximum of 10 slides, a maximum of 20 minutes and a minimum of 30 point font. [4]

While this rule is a good starting point, it does not overrule your audience analysis or understanding of your purpose. Sometimes, you may need more slides or have a more involved purpose—like training people in new software or presenting the results of a research study—that takes more than 30 minutes to address. In that case, go with what your audience needs and what will make your presentation most effective. The concept behind the 10/20/30 rule—to make new learning easy for your audience to take in, process and remember—should still be your guide even if you don’t follow the rule exactly.

One last way to gauge presentations is to consider most audiences’ expectations for good presentations:

  • main ideas are compelling and relevant
  • information is organized with a clear beginning, middle, and end; audience can follow where the ideas are leading
  • delivery shows the presenter’s enthusiasm and engagement
  • visuals apply good design practices
  • presentation length is appropriate for audience, purpose, and context

Ever been to a really bad presentation? You know, the kind where the speaker stands behind the podium, uses slides that mirror what he is saying directly, and includes lots of data tables to validate his position.

But. "What's so bad about that?" you ask. "Isn't that how most presentations are given?" Yes. That is how most presentations are delivered, but that doesn't mean that's the most effective way to deliver them. This kind of presentation risks boring your audience to the point where they start wishing for a fire alarm to go off so they can escape. And once you lose someone, it is next to impossible to bring her attention back.

If the information you are presenting is important enough for you to deliver orally, then it demands an appropriate amount of planning and preparation so that the information you present is memorable – for the right reasons. Give a bad presentation and you'll be remembered all right: it just won't be the type of impression you want to leave in anyone's mind.

When someone presents well, it sends the message that the person is capable, confident, intelligent, and competent. These people get noticed and that type of attention bodes well for your career. Even if you don't make formal presentations in your current position, think about the future and keep in mind that you do have to present your ideas and opinions on a daily basis. The same basic principles of effective delivery apply.

Four Principles of Great Presentations

  • Connect With and Understand Your Audience.
  • Prepare Your Content.
  • Deliver Confidently.
  • Control the Environment.

1. Connect With and Understand Your Audience

To deliver a great presentation you have to consider the following audience characteristics:

  • Profile – Who are they? What is the common element that brings them together?
  • Needs – Why are they attending the presentation? What do they need to know after you've finished?
  • Wants – What do they want from the presentation? Do they want to increase knowledge, learn something or be entertained? How can you connect their interests with your message?
  • Expectations – What do they expect in terms of content and length?
  • Current Knowledge – How much explanation do you need to provide? What assumptions can you make?

When you know your audience, you can prepare content that appeals to them specifically. If you pass over this first crucial step you risk delivering a presentation that is content rich and relevance poor.

2. Prepare Your Content

Now that you know who you are presenting to and why they are there, you can determine what to present. Here are some tips for content preparation:

  • Don't try to cover everything. As Voltaire said, "The secret of being a bore is to tell all." Great presentations stimulate thoughts, questions, and discussion. Develop your content so that it covers the main points but leaves room for the audience to apply the information to their own circumstances.
  • Start off well with a great hook – you only have a few minutes right at the start to fully engage the audience. Don't use this time to present background information. Get your audience charged up and eager to listen. Make the relevance immediately obvious.
  • Also, start by telling your audience where you are heading. Don't make them wait for your conclusion, tell them up front what your premise or purpose is. This helps your audience stay focused. They may or may not agree with you at the start, but they will be able to quickly spot all of your supporting arguments.
  • Your presentation should have five to seven take-away points. This follows the chunking principle , which you can learn more about here .
  • Tell a story, make comparisons, and use lots of examples. Be sure to mix up the type of content to stimulate audience interest.
  • Present your ideas logically using supporting evidence as necessary.
  • Provide only as much background information as needed.
  • Outline actions or next steps that are required.
  • Develop a strong close, including a summary. Bring your conclusions back around to audience need and the hook you created. Consider ending with a question designed to stimulate further discussion.

3. Deliver Confidently

There are two main aspects of your delivery: your visual aids and your style. We'll look at them separately.

Unless your presentation is very short, you will need some sort of visual aid to keep the attention of your audience. There is a fine line, though, between drawing attention to your points, and distracting the audience from what you are saying. Here are some key factors to consider when designing slides:

  • Keep slides simple and easy to understand.
  • When explaining, start with the overall concept and then move to the details.
  • The information on the slide should add value to your presentation or summarize it – it is not meant to be your presentation.
  • Ensure that any charts, graphs or tables you include are very simple and easy to read. Use them sparingly.
  • Use images (clip art and photos) sparingly and make sure the image means something and isn't just there to fill up space.
  • Use pleasant color schemes, high contrast, simple fonts, and bold and italic to add meaning to words.
  • Don't use fly-ins, fade-ins or outs or other animations unless absolutely necessary to really emphasize a point. How many times have you been put into a hypnotic state watching words or lines fly into a presentation?

Delivery Style

The way you deliver the content is often what makes or breaks a presentation. Here are some pointers to remember:

  • Use gestures for meaning, not for comfort. Try not to talk with your hands or move about carelessly. Everything you do should have purpose i.e. gesture to the visual aid to draw the audience's attention.
  • Pause for effect after main points or after you present a visual aid.
  • Step out from behind the podium and connect with your audience – make sure you have a remote control device to change slides or cue other types of visuals.
  • Talk loudly enough for people at the back to hear, or use a microphone.
  • Make eye contact and hold it for three to five seconds. Any less and it looks like you are merely scanning the crowd.
  • Be passionate – show your audience that you care about what you are saying.
  • Consider putting up a blank or low-content screen between slides – this puts the attention where it should be: on you!
  • Change your pace and style from time to time.
  • Be natural – don't try to be a comedian if you're not.
  • Finish early rather than late.

When you present with confidence and authority, your audience will pay attention and react to you as someone who is worth listening to. Fake it if you need to, by turning your nervousness into creative and enthusiastic energy.

4. Control the Environment

You won't ever eliminate all sources of problems, but through diligent planning and preparation, you can mitigate your risks.

  • Practice, practice, practice: The ultimate goal is to deliver your presentation note-free. Short of that, you want to be sure you are comfortable with the material and that nothing comes as a surprise. Consider practicing in front of a video camera and reviewing your delivery. Don't take short-cuts here because it shows! The point is for the presentation to look effortless – when you struggle, the audience focuses on you, and not on what you are saying.
  • Keep the lights on: when you darken the room, the screen stands out, not you. And it also encourages sleep, which you want to avoid at all costs!
  • Always have back-ups and a backup plan. What if you forget your material? What will you do if the CD won't load? What if the equipment doesn't arrive on time? Plan for as many contingencies as possible.
  • Dress appropriately for the situation – find out in advance what the dress code will be.
  • Have a policy for answering questions – let your audience know when they can ask questions so you aren't inappropriately interrupted.
  • Finish on time, every time. Last impressions are just as important as first ones.

Presenting is not a natural activity and to do it well requires careful thought and lots of practice.

You can choose to be average, or even below average, by simply emulating what most other presenters do. Or, you can take your presentations to the next level and leave your audiences with a powerful message that they remember, while keeping them interested and connected from start to finish.

To do this you need to pay strict attention to your audience analysis, content preparation, delivery style, and the external environment. When you control these for optimum audience relevance, interest, and engagement you are ready to deliver a great presentation.

The final element you must add is lots and lots of practice. Make your next presentation great by planning and preparing well in advance and making it look like it does come naturally to you.

Powerful and Effective Presentation Skills: More in Demand Now Than Ever

When we talk with our L&D colleagues from around the globe, we often hear that presentation skills training is one of the top opportunities they’re looking to provide their learners. And this holds true whether their learners are individual contributors, people managers, or senior leaders. This is not surprising.

Effective communications skills are a powerful career activator, and most of us are called upon to communicate in some type of formal presentation mode at some point along the way.

For instance, you might be asked to brief management on market research results, walk your team through a new process, lay out the new budget, or explain a new product to a client or prospect. Or you may want to build support for a new idea, bring a new employee into the fold, or even just present your achievements to your manager during your performance review.

And now, with so many employees working from home or in hybrid mode, and business travel in decline, there’s a growing need to find new ways to make effective presentations when the audience may be fully virtual or a combination of in person and remote attendees.

Whether you’re making a standup presentation to a large live audience, or a sit-down one-on-one, whether you’re delivering your presentation face to face or virtually, solid presentation skills matter.

Even the most seasoned and accomplished presenters may need to fine-tune or update their skills. Expectations have changed over the last decade or so. Yesterday’s PowerPoint which primarily relied on bulleted points, broken up by the occasional clip-art image, won’t cut it with today’s audience.

The digital revolution has revolutionized the way people want to receive information. People expect presentations that are more visually interesting. They expect to see data, metrics that support assertions. And now, with so many previously in-person meetings occurring virtually, there’s an entirely new level of technical preparedness required.

The leadership development tools and the individual learning opportunities you’re providing should include presentation skills training that covers both the evergreen fundamentals and the up-to-date capabilities that can make or break a presentation.

So, just what should be included in solid presentation skills training? Here’s what I think.

The fundamentals will always apply When it comes to making a powerful and effective presentation, the fundamentals will always apply. You need to understand your objective. Is it strictly to convey information, so that your audience’s knowledge is increased? Is it to persuade your audience to take some action? Is it to convince people to support your idea? Once you understand what your objective is, you need to define your central message. There may be a lot of things you want to share with your audience during your presentation, but find – and stick with – the core, the most important point you want them to walk away with. And make sure that your message is clear and compelling.

You also need to tailor your presentation to your audience. Who are they and what might they be expecting? Say you’re giving a product pitch to a client. A technical team may be interested in a lot of nitty-gritty product detail. The business side will no doubt be more interested in what returns they can expect on their investment.

Another consideration is the setting: is this a formal presentation to a large audience with questions reserved for the end, or a presentation in a smaller setting where there’s the possibility for conversation throughout? Is your presentation virtual or in-person? To be delivered individually or as a group? What time of the day will you be speaking? Will there be others speaking before you and might that impact how your message will be received?

Once these fundamentals are established, you’re in building mode. What are the specific points you want to share that will help you best meet your objective and get across your core message? Now figure out how to convey those points in the clearest, most straightforward, and succinct way. This doesn’t mean that your presentation has to be a series of clipped bullet points. No one wants to sit through a presentation in which the presenter reads through what’s on the slide. You can get your points across using stories, fact, diagrams, videos, props, and other types of media.

Visual design matters While you don’t want to clutter up your presentation with too many visual elements that don’t serve your objective and can be distracting, using a variety of visual formats to convey your core message will make your presentation more memorable than slides filled with text. A couple of tips: avoid images that are cliched and overdone. Be careful not to mix up too many different types of images. If you’re using photos, stick with photos. If you’re using drawn images, keep the style consistent. When data are presented, stay consistent with colors and fonts from one type of chart to the next. Keep things clear and simple, using data to support key points without overwhelming your audience with too much information. And don’t assume that your audience is composed of statisticians (unless, of course, it is).

When presenting qualitative data, brief videos provide a way to engage your audience and create emotional connection and impact. Word clouds are another way to get qualitative data across.

Practice makes perfect You’ve pulled together a perfect presentation. But it likely won’t be perfect unless it’s well delivered. So don’t forget to practice your presentation ahead of time. Pro tip: record yourself as you practice out loud. This will force you to think through what you’re going to say for each element of your presentation. And watching your recording will help you identify your mistakes—such as fidgeting, using too many fillers (such as “umm,” or “like”), or speaking too fast.

A key element of your preparation should involve anticipating any technical difficulties. If you’ve embedded videos, make sure they work. If you’re presenting virtually, make sure that the lighting is good, and that your speaker and camera are working. Whether presenting in person or virtually, get there early enough to work out any technical glitches before your presentation is scheduled to begin. Few things are a bigger audience turn-off than sitting there watching the presenter struggle with the delivery mechanisms!

Finally, be kind to yourself. Despite thorough preparation and practice, sometimes, things go wrong, and you need to recover in the moment, adapt, and carry on. It’s unlikely that you’ll have caused any lasting damage and the important thing is to learn from your experience, so your next presentation is stronger.

How can you make a good presentation even more effective?

This page draws on published advice from expert presenters around the world, which will help to take your presentations from merely ‘good’ to ‘great’.

By bringing together advice from a wide range of people, the aim is to cover a whole range of areas.

Whether you are an experienced presenter, or just starting out, there should be ideas here to help you to improve.

1. Show your Passion and Connect with your Audience

It’s hard to be relaxed and be yourself when you’re nervous.

But time and again, the great presenters say that the most important thing is to connect with your audience, and the best way to do that is to let your passion for the subject shine through.

Be honest with the audience about what is important to you and why it matters.

Be enthusiastic and honest, and the audience will respond.

2. Focus on your Audience’s Needs

Your presentation needs to be built around what your audience is going to get out of the presentation.

As you prepare the presentation, you always need to bear in mind what the audience needs and wants to know, not what you can tell them.

While you’re giving the presentation, you also need to remain focused on your audience’s response, and react to that.

You need to make it easy for your audience to understand and respond.

3. Keep it Simple: Concentrate on your Core Message

When planning your presentation, you should always keep in mind the question:

What is the key message (or three key points) for my audience to take away?

You should be able to communicate that key message very briefly.

Some experts recommend a 30-second ‘elevator summary’, others that you can write it on the back of a business card, or say it in no more than 15 words.

Whichever rule you choose, the important thing is to keep your core message focused and brief.

And if what you are planning to say doesn’t contribute to that core message, don’t say it.

4. Smile and Make Eye Contact with your Audience

This sounds very easy, but a surprisingly large number of presenters fail to do it.

If you smile and make eye contact, you are building rapport , which helps the audience to connect with you and your subject. It also helps you to feel less nervous, because you are talking to individuals, not to a great mass of unknown people.

To help you with this, make sure that you don’t turn down all the lights so that only the slide screen is visible. Your audience needs to see you as well as your slides.

5. Start Strongly

The beginning of your presentation is crucial. You need to grab your audience’s attention and hold it.

They will give you a few minutes’ grace in which to entertain them, before they start to switch off if you’re dull. So don’t waste that on explaining who you are. Start by entertaining them.

Try a story (see tip 7 below), or an attention-grabbing (but useful) image on a slide.

6. Remember the 10-20-30 Rule for Slideshows

This is a tip from Guy Kawasaki of Apple. He suggests that slideshows should:

  • Contain no more than 10 slides;
  • Last no more than 20 minutes; and
  • Use a font size of no less than 30 point.

This last is particularly important as it stops you trying to put too much information on any one slide. This whole approach avoids the dreaded ‘Death by PowerPoint’.

As a general rule, slides should be the sideshow to you, the presenter. A good set of slides should be no use without the presenter, and they should definitely contain less, rather than more, information, expressed simply.

If you need to provide more information, create a bespoke handout and give it out after your presentation.

7. Tell Stories

Human beings are programmed to respond to stories.

Stories help us to pay attention, and also to remember things. If you can use stories in your presentation, your audience is more likely to engage and to remember your points afterwards. It is a good idea to start with a story, but there is a wider point too: you need your presentation to act like a story.

Think about what story you are trying to tell your audience, and create your presentation to tell it.

Finding The Story Behind Your Presentation

To effectively tell a story, focus on using at least one of the two most basic storytelling mechanics in your presentation:

Focusing On Characters – People have stories; things, data, and objects do not. So ask yourself “who” is directly involved in your topic that you can use as the focal point of your story.

For example, instead of talking about cars (your company’s products), you could focus on specific characters like:

  • The drivers the car is intended for – people looking for speed and adventure
  • The engineers who went out of their way to design the most cost-effective car imaginable

A Changing Dynamic – A story needs something to change along the way. So ask yourself “What is not as it should be?” and answer with what you are going to do about it (or what you did about it).

For example…

  • Did hazardous road conditions inspire you to build a rugged, all-terrain jeep that any family could afford?
  • Did a complicated and confusing food labelling system lead you to establish a colour-coded nutritional index so that anybody could easily understand it?

8. Use your Voice Effectively

The spoken word is actually a pretty inefficient means of communication, because it uses only one of your audience’s five senses. That’s why presenters tend to use visual aids, too. But you can help to make the spoken word better by using your voice effectively.

Varying the speed at which you talk, and emphasising changes in pitch and tone all help to make your voice more interesting and hold your audience’s attention.

9. Use your Body Too

It has been estimated that more than three quarters of communication is non-verbal.

That means that as well as your tone of voice, your body language is crucial to getting your message across. Make sure that you are giving the right messages: body language to avoid includes crossed arms, hands held behind your back or in your pockets, and pacing the stage.

Make your gestures open and confident, and move naturally around the stage, and among the audience too, if possible.

10. Relax, Breathe and Enjoy

If you find presenting difficult, it can be hard to be calm and relaxed about doing it.

One option is to start by concentrating on your breathing. Slow it down, and make sure that you’re breathing fully. Make sure that you continue to pause for breath occasionally during your presentation too.

If you can bring yourself to relax, you will almost certainly present better. If you can actually start to enjoy yourself, your audience will respond to that, and engage better. Your presentations will improve exponentially, and so will your confidence. It’s well worth a try.

Effective communication, fresh perspectives, and enhanced teamwork have created some of the world’s best projects. People who can communicate their desires, goals, and wishful outcomes are game-changers, and those people are valuable for any architectural company. It’s hard to talk about where you could be in 10 or 20 years. However, focusing on mastering your communication skills while you’re still young and improving intellectually, will make you ideally suited for future leadership positions.

Words depict your personality

What makes architects unique is the way we think, and to let the world know what your ideas are about, you must know how to communicate well. The building design has evolved to incorporate innovative design, construction methods, and social elements, resulting in the opportunity for architects to integrate knowledge from various fields into the design process. Sometimes trying to convey everything in a particular design can create chaos. What I mean by that is if you’re trying to cram 8 ideas into one project, it muddles the water and none of your ideas are accurately communicated. Instead, try to focus on solving the problem with one or two ideas. You will meet a lot of new people from all walks of life. Take advantage of these opportunities to reflect on your career progress and learn from them.

The jury process is not always about your presentation skills but an opportunity to improve your active listening skills. Listening is an active form of communication. Listen to what people tell you. Design jurors and reviewers only want to explore the ideas behind the project. Give them what they want, and don’t refrain from talking about the process and how the structure has been developed. Concentrate on what they are saying and avoid interruptions until they are through speaking. Seek feedback and ask questions when in the position to speak. As we know, Practice makes you perfect. 10.5 Overcoming Obstacles in Your Presentation

  • Overcome common obstacles in public speaking.

We have examined steps to help you investigate and build an effective speech, and discussed some myths, and realities, associated with public speaking. In order to prepare you for success, let’s revisit some obstacles you’ll want to avoid in order to make your content as accessible to your audience as possible. To build on what we covered, let’s examine three key barriers to an effective speech: language, perception, and ethnocentrism. As a speaker, you will need to make an effort to consider each one and how you will create a bridge, rather than contribute to a barrier, with your audience.

Language serves both to bring us together and to help us reinforce our group status. Language can include established languages, like Spanish or French; dialects; or even subtle in-group language styles within a larger language context. Have you ever been part of a group that has its own words or phrases, expressions that have meanings understood only by the members of your group? It is not unusual for families, groups of close friends, classmates, and romantic couples to develop these kinds of “private language.” When a group communicates in its own way, it can create a sense of belonging, reinforcing your membership and place in that group.

People often tell each other stories, which often communicate a value or meaning in the culture. Perhaps you have heard the saying, “The early bird gets the worm,” with its underlying meaning that the one who is prepared and ready gets the reward. In North America, this saying is common, and reflects a cultural value about promptness and competition. Diverse cultures have diverse sayings that reflect differences in values, customs, and traditions

Judy Pearson, Paul Nelson, and Joseph DeVito describe two key areas of language that serve to bring us together, but because they involve a specialized knowledge unique to the group or community, they can create barriers to outsiders. These are often called co-languages , because they exist and interact with a dominant language but are nonetheless distinct from it. Jargon is an occupation-specific language used by people in a given profession. Think of the way medical caregivers speak to one another, frequently using abbreviations for procedures and medications. Slang is the use of existing or newly invented words to take the place of standard or traditional words with the intent of adding an unconventional, nonstandard, humorous, or rebellious effect. Think of how the words “cool,” “glitzy,” or “scam” are used in casual conversation. In addition to language-based barriers, there are also several factors, many of which we have visited in previous chapters, which can act as barriers to effective intercultural communication.

Nature of Perception

Perception is an important part of the communication process, and it is important to recognize that other people’s perceptions may be different from our own in several ways.

Your cultural value system , what you value and pay attention to, will significantly affect your speech and how your listeners perceive it. North American culture places an emphasis on space, with an “appropriate” distance while shaking hands, for example. If a North American travels to France, Spain, or Chile, he or she will find that a much smaller sense of personal space is the norm, and may receive a kiss on the cheek as a greeting from a new acquaintance. If the North American is uncomfortable, the person from France may not attribute his or her discomfort to personal space, and they may have a miscommunication. Learning about other cultures can help you adapt your speech in diverse settings, and make you more comfortable as you enter new situations where others’ perceptions are different from your own.

Role identities , which involve expected social behavior, are another aspect of intercultural communication that can act as a barrier to effective communication. How does your culture expect men and women to act and behave? How about children, or elders, and older citizens? The word “role” implies an expectation of how one is supposed to act in certain settings and scenes; just like in a play or a movie, each person has a culturally bound set of role expectations. Who works as a doctor, a lawyer, a nurse, or a welder? As times and cultures change, so do role identities. Business management was once perceived as a profession dominated by men, but in recent decades women have become actively involved in starting, developing, and facilitating the growth of businesses. As a speaker, your role will necessarily involve preparation and practice, and to a degree an element of leadership as you present your content and guide your audience through it. Your audience also has a role, which involves active listening and displays of interest. Your overlapping roles of interest in the topic are keys to an effective speech.

Goals reflect what we value and are willing to work for and vary widely across cultures. In some cultures, an afternoon lunch is the main meal of the day, a time with the family, which is followed by a siesta or resting period. In the United States and northern Europe, people often have a quick lunch or even a “working lunch,” with the emphasis on continuing productivity and the goal of personal and organizational achievement. The differences in values, such as family time versus work time, establish themselves in how we lead our lives. To a European who is accustomed to a full month of vacation each year, the thought of someone from the United States spending a few intense, three-day power weekends hiking, skiing, or sailing might seem stressful. To a goal-oriented North American, the power weekend may be just the rejuvenation required to get “back in the game.” Time, and limits on it, will be an important goal in your speech.

In our diverse world, awareness of difference in values is key to success.

Geert Hofstede has spent decades researching the concepts of individualism versus collectivism across diverse cultures. He characterized U.S. culture as strongly individualistic: people perceive things primarily from their own viewpoint, see themselves as individuals capable of making his or her own decisions, and feel responsible for their actions and solving their own problems (Hofstede, G., 1982). He also found many countries in Asia and South America to be much more collectivistic, focusing on the needs of the family, community, or larger group. In this context, cultural background can become a barrier to an effective speech if your fail to consider your audience and their needs.

In addition, there are other cultural dimensions that influence how we relate to the world that impact our intercultural communication. Carley Dodd discusses the degree to which cultures communicate rules explicitly or implicitly (Dodd, C., 1998). In an explicit context, the rules are discussed before we hold a meeting, negotiate a contract, or even play a game. In the United States, we want to make sure everyone knows the rules beforehand and get frustrated if people do not follow the rules. In the Middle East and Latin America, the rules are generally understood by everyone, and people from these cultures tend to be more accommodating to small differences and are less concerned about whether or not everyone plays by the same rules. Our ability to adapt to contexts that are explicit or implicit is related to our ability to tolerate uncertainty (Hofstede G., 1982).

In the United States, we often look to guiding principles rather than rules for every circumstance, and believe that with hard work, we can achieve our goals even though we do not know the outcome. In Peru, Chile, and Argentina, however, people prefer to reduce ambiguity and uncertainty, and like to know exactly what is expected and what the probable outcome will be (Samovar, L., Porter, R., and Stefani, L., 1998).

Table 10.2 Cultural Dimensions

When we consider whether a culture as a whole places more emphasis on the individual or the community, we must be careful to recognize that individual members of the culture may hold beliefs or customs that do not follow a cultural norm. Stereotypes , defined as generalizations about a group of people that oversimplify their culture (Rogers, E., and Steinfatt, T., 1999), can be one significant barrier to effective intercultural communication. Gordon Allport, a pioneer in the field of communication research, examined how and when we formulate or use stereotypes to characterize distinct groups or communities. He found that we tend to stereotype people and cultures with which we have little contact (Allport, G., 1958).

In addition, your first-hand experience will provide you with an increased understanding of prejudice. Prejudice involves a negative preconceived judgment or opinion that guides conduct or social behavior. Within the United States, can you make a list of people or groups that may be treated with prejudice by the majority group? Your list may include specific ethnic, racial, or cultural groups that are stereotyped in the media, but it could also include socioeconomic groups or even different regions of the United States. For example, Native Americans were long treated with prejudice in early Western films. Can you imagine, in other countries they may also treat groups with prejudice? In many parts of South America, indigenous people are treated poorly and their rights as citizens are sometimes not respected. Has treatment of Native Americans changed in North America? It has also changed, and continues to change in North and South America.

People who treat other with prejudice often make judgments about the group or communities. As Allport illustrated for us, we often assume characteristics about groups with which we have little contact. By extension, we can sometimes assume similarity that people are all basically similar, in effect denying cultural, racial, or ethnic differences. We sometimes describe the United States as a “melting pot,” where individual and cultural differences blend to become a homogeneous culture. This “melting pot” often denies cultural differences. The metaphor of a “salad bowl,” where communities and cultures retain their distinctive characteristics or “flavor,” serves as more equitable model. In this “salad bowl,” we value the differences and what they contribute to the whole.

We can also run the risk of assuming familiarity with cultures when we attribute characteristics of one group to everyone who has connections to the larger culture. For example, people may assume that we are familiar with all Native Americans if we know one tribe in our community, forgetting the distinct differences that exist between tribes and even between individual Native Americans who live either in urban areas or on reservations.

Ethnocentrism

Finally, your experience may help you to not view the world and its diversity of cultures in an ethnocentric way. Ethnocentrism means you go beyond pride in your culture, heritage or background and hold the “conviction that (you) know more and are better than those of different cultures” (Seiler, W., and Beall, M., 2000). This belief in the superiority of one’s own group can guide individual and group behavior. If you visit a new country where people do things differently, you would be considered ethnocentric if you viewed their way as wrong because it is not the same way you were taught. Groups are considered ethnocentric if they prejudge individuals or other groups of people based on negative preconceptions.

  • Consider the vocabulary that you and your classmates generally use in casual conversations. Are there slang expressions that you often use? Is there a jargon related to your career or major field of study? Make a list of slang and jargon words that you might want to use in a speech. Now, consider whether you can substitute standard English words that will be better understood by all your listeners, remembering that in a business context it is often best to avoid slang and jargon.
  • Pretend you were going to invite someone from a completely different culture to come home with you for a break or holiday. Make a list of ideas, words, or places you would want to share with them to gain insight of you, your family, or your community.
  • How can a speaker prepare a speech for a diverse audience? Explain and give some specific examples. Discuss your thoughts with a classmate.
  • Observe someone presenting a speech. Given the discussion in this chapter, what elements of their speech could you use in your speech? What elements would you not want to use? Why? Compare with a classmate.

What is effective communication?

Effective communication is the exchange of ideas, thoughts, opinions, knowledge, and information so that the message is received and comprehended clearly and purposefully. When we communicate effectively, all stakeholders are fulfilled.

Developing effective communication skills requires a delicate balance of active listening, verbal communication, nonverbal cues, body language, and emotional intelligence to ensure messages are clearly transmitted and understood.

What makes communication effective?

Now that you know what type of communication can be included in workplace communication, how do you start getting better at it? There are a few key tenets of effective communication that you can use, no matter what type of communication it is. In particular, good communication:

Aims for clarity. Whether you’re sending a Slack message, drafting an email, or giving an off-the-cuff reply, aim to be clear and concise with your communication.

Seeks to solve conflicts, not create them. In the workplace, we're often involved in problem solving and collaborating on projects or tasks. Good communication in the workplace can involve bringing up blockers or providing feedback—but make sure the goal is to get to a better place than where you are now.

Goes both ways. Every instance of effective communication in the workplace represents an exchange of information—even when the information is communicated solely through nonverbal cues.

Effective communication in the workplace is all about where, how, and when you’re communicating. Try these seven tips to develop better communication skills.

1. Know where to communicate—and about what

Communication happens in many different forms—face-to-face, over email, via instant messages, and in work management platforms. To be most effective, make sure you’re following communication guidelines and messaging about the right things in the right places.

Sometimes, knowing where to communicate is half the battle. Your company may have different communication tools , which makes knowing which tool to use all the more important. Which tool is appropriate for your question or comment? Do you need to communicate in real time, or is it ok to send an asynchronous message? If you’re not sure, ask a team member or manager where you should be sending different types of messages. It is important for everyone to be on the same page. For example, at Asana, we use:

2. Build collaboration skills

Collaboration is the bedrock of effective teamwork. In order to build strong team collaboration skills , you need to practice open and honest communication. This doesn’t necessarily mean always agreeing on things—knowing how to disagree and work through those differences is a key part of collaboration, too.

Collaboration and communication skills are kind of a “chicken and egg” scenario. You can build good collaboration by communicating effectively, but knowing how to collaborate is a key component of strong communication. Essentially, this just means you’ll have to practice improving both collaboration and communication skills over time. As you improve team collaboration, you’ll get better at conveying information and opinions in a work environment—and as a result, that honest communication will make collaboration feel more effortless.

3. Talk face-to-face when you can

Perhaps the most tried-and-true way to avoid miscommunication is to talk face-to-face. If your team is virtual, speaking via video conferencing also works. Eye contact is particularly important if you know a conversation is going to be hard. Tone can be difficult to communicate through writing so ideally, you want your team member to be able to see your facial expressions and body language.

If your team is remote or distributed, communicating via a phone call instead of a video conference could work as well. Video conferencing fatigue is real, and it can make collaboration and communication particularly difficult for remote teams. Communicating over the phone reduces some of the visual strain, while still giving you the ability to hear your team member’s voice and tone.

4. Watch your body language and tone of voice

Communication isn’t just about what you say—it’s also about how you say it. Make sure you aren’t crossing your arms or coming off as curt. Oftentimes, your body language may have nothing to do with the current situation—maybe you’re tired or stressed about something in your personal life. But your team members, who might not have that context, could see your actions and assume you’re angry or upset about something. Particularly for hard conversations, try to relax your body language and facial expressions to avoid giving off any unintentional cues.

5. Prioritize two-way communication

Listening skills are just as important to communication in the workplace as talking. Part of being a collaborative team member is listening to other people’s ideas instead of just trying to put your own ideas out there.

There are two common types of listening : listening to reply and listening to understand. When you listen to reply, you’re focusing on what you’re going to say next, rather than what the other person is saying. With this type of listening, you risk missing key information or even repeating what the other person just said.

Instead, try active listening—that is, listen to what the other person has to say without thinking about how you’re going to reply. If you do think of something you want to say, jot it down so you can go back to listening to understand , instead of trying to remember the thing you want to say next.

6. Stick to facts, not stories

“Facts vs. stories” is a technique recommended by the co-founder of the Conscious Leadership Group, Diana Chapman. In this case, “facts” are things that have actually happened—things that everyone in the room would easily agree on. A “story,” on the other hand, is your interpretation of the situation.

For example, say your manager gives you live feedback during a small team meeting. That is a fact. You weren’t expecting the feedback, and you feel like your manager shared the feedback—instead of saving it for your 1:1—because they’re dissatisfied with your work. This is a “story” because you have no way of knowing if it is true or not.

Stories are inevitable—we all create stories from facts. But try to separate stories from facts, and avoid acting on stories until you’re able to validate them. For example, in this case, you might want to talk to your manager during your next 1:1 and ask why they shared feedback in a team meeting.

7. Make sure you’re speaking to the right person

Effective workplace communication is as much about who you’re talking to as it is about what you’re saying. Poor communication often occurs when you’re talking to the wrong people or trying to share information in the wrong setting.

To avoid this, make sure the right people are in the room or receiving the message. If you aren’t sure who that would be, go through an exercise to identify any important project stakeholders who might be missing.

5 tips to build effective communication skills in the workplace

If you’re a leader, you have the power to set and establish communication conventions on your team. Effective communication skills can build healthy company culture , foster trust among your employees, and break down silos between cross-functional teams. Here’s how:

1. Address any underlying changes

Before you start improving your team’s communication skills, ensure there are no underlying issues that keep everyone from communicating honestly. Does everyone feel comfortable talking openly? Is there anything that might make a team member feel like they can’t be their full selves?

One of the most valuable things you can do as a leader is to make sure your employees feel comfortable showing up to work as their whole selves (or as much of themselves as they want to bring). Whether that means voicing disagreements, talking about their passions outside of work, or being honest about what type of communication works best for them, make sure to understand each team member’s needs and ensure they’re being met in the team environment.

2. Frequently ask for feedback

If you don’t ask for feedback on your communication style, you may never get it. By asking your employees for feedback on your communication style, you can continue to improve and develop clear communication strategies for your team.

3. Understand team communication styles

Another effective way to communicate with your team is to ask them how they want to communicate. Communication preferences shouldn’t be a secret—or a guessing game—and knowing off the bat if your team members prefer video conferences or phone calls, early morning meetings, or afternoon jam sessions can help you create an environment where they can thrive.

Important questions to ask include:

Are they an early bird or a night owl?

Do they like structured meetings or prefer free-flow brainstorming sessions?

Do they do their best thinking out loud, on the spot, or on paper?

What personality type do they identify with: introvert, extrovert, or ambivert?

Do they feel like they know their team members, or would they prefer more team bonding activities?

What types of meetings or tasks are most energizing for them?

4. Make time for team building or icebreakers

Getting to know your team is critical to developing good communication skills. It’s particularly important to make time to get to know your team outside of a workplace setting. Icebreaker questions can help bring an element of personality and fun to every meeting, so consider starting with a light chat before diving into your meeting agenda.

5. Set the tone

Remember: the way you communicate and collaborate will impact your entire team. It’s up to you to set the standard for open and clear communication in the workplace. Once you establish this standard, your team will follow suit.

Every few months, make a note to follow up with how everyone is feeling about team communication. Are there any habits that have cropped up in the last few months that you want to cull or encourage? Regularly thinking about how your team communicates—instead of “setting and forgetting” your team practices—can help you be more intentional about your communication methods.

More types of workplace communication

Most discussions about communication in the workplace assume the “workplace” is in person. But there are various forms of communication across different locations—from global offices to remote teams. Most effective communication best practices still apply to any type of team, but there are a few additional considerations and best practices you can use to help team members truly connect.

Distributed teams

Distributed teams work across multiple national or global offices. These teams might span different time zones and languages, and each office will have its own culture and habits. Don’t expect each distributed team to communicate in the same way—in fact, one of the advantages of distributed teams is the variety of thought you’re exposed to by working with teammates from all over the world.

If you work on a distributed team, it’s critical to over-communicate so that team members in different time zones and offices stay in the loop. Make sure to document everything in a central source of truth that team members can access when they’re online, and look for a tool that updates in real-time so no one has to slow down due to information lag.

Keep in mind that time zones might affect how people come to a conversation. Try to schedule meetings when everyone is available, or offer recordings and notes if team members can’t make it. It’s also critical to double check that the right people are in the loop, and that they aren’t just being left out because they’re in a different office than the majority of your team.

Online coworkers

If you’re working with a virtual team, it’s critical to establish where you’re going to communicate and how frequently. Knowing exactly what each communication tool should be used for can help team members feel connected—even while they’re remote.

While working remotely, we’ve had to re-learn how to communicate in many ways. Slack, Asana, and integrations between these tools has replaced or supplemented a lot of in-person ways we used to communicate.”

Remote team members can feel isolated and disconnected from one another, so consider doing an exercise with your entire team about preferred business communication habits. Some team members might love cold calls, while others might prefer scheduled meetings with concise agendas. Because team members have fewer chances to interact in person, it’s critical to establish these forms of communication as a team so you can keep the communication channels open.

Finally, make sure to bring team members in for regular team bonding events. Whether you’re doing icebreaker activities at the beginning of every meeting or scheduling some time to just chat at the end of each week, dedicated team time can help team members connect, no matter where they’re dialing in from.

The issue of transgenderism has been part of prominent public and academic discussions in recent years and as such ought to be addressed by communication scholars. One area of communication research that is missing from the current body of literature is that of preferred pronoun usage amongst religious groups, particularly Christians. This study offers insight into this issue by answering the following research questions: how do members of Generation Z attending a Christian university adapt or not adapt their communication to accommodate individuals who identify as transgender? and what motivates members of Generation Z attending a Christian university to adapt or not adapt their communication to accommodate individuals who identify as transgender? A qualitative survey of Generation Z college students attending a Christian university was conducted to assess their perspectives. This survey was then analyzed via thematic coding through the lens of Communication Accommodation Theory. Results indicate these students have varying approaches to communicating with and about those who identify as transgender, with some gravitating toward the use of accommodating language and some gravitating toward nonaccommodation. The desire to communicate love and express their own beliefs characterized their motivations for varying these approaches. The results of this study can be utilized by pastors, policy makers, political candidates, and other scholars to better understand the perspectives of young Christians and their interpersonal communication tendencies with those who identify as transgender.

Charles Barkley Rips TNT Management For Non-Existent Communication Regarding NBA Future

With multiple reports stating that Warner Brothers Discovery/TNT could possibly be on the verge of losing the NBA, Charles Barkley is feeling frustrated. Very frustrated.

TNT’s relationship with the NBA started in 1989, but there’s a strong chance it will be over after next season when the league partners up with ESPN, NBC and Amazon in a new round of television deals.

Appearing on the latest episode of SI Media With Jimmy Traina , Barkley lamented the possibility of TNT losing the NBA, but also voiced his exasperation with the lack of communication from his WBD bosses.

Last week, Barkley told Dan Patrick that morale at TNT “sucked.” He also called out WBD CEO and President David Zaslav for saying a few months ago that TNT didn’t need the NBA.

Did Barkley get a call from anyone at WBD about his comments to Patrick?

“Number one, they’re not gonna call me,” said Barkley on the podcast. “They know better.”

Barkley then doubled down.

“Secondly, he never should’ve said that. Plain and simple. I think this is our third negotiations and we’ve always signed during the exclusive window. It’s never come up for bidding. Clearly [commissioner] Adam [Silver] is upset. I’m assuming he’s upset. Something is going on, to be honest with you, because if we have the right to match, it would be a simple–‘yeah, we’re gonna match’ or ‘we’re not gonna match.’ That’s the thing that’s got us disturbed the most.”

In addition to being disturbed, Barkley is fed up with being kept in the dark about what’s going on with the negotiations between WBD and the NBA.

“They’ve done a really sh---y job of keeping us abreast,” said Barkley. “Just say, ‘hey, guys, we’re in the middle of negotiations. It’s 50-50.’ Just say something. We have not discussed it. And I don’t mean for me. The people who work there. They’re the ones on pins and needles. Just say something to let the people be able to breathe a little bit. I can’t imagine having a family and bills. Realistically, you probably gotta start looking for another job. You’re not gonna wait a year and get fired.”

Does Barkley have a relationship with Zaslav?

“None,” Barkley answered. “I met him twice. I saw him last week at the upfronts. He said hello and that was it. I thought he should’ve said something to when he has us there, to be honest with you, and he didn’t.”

Did Barkley think about asking Zaslav where things stand with the NBA?

“There were crowds around so I didn’t want to make a scene,” said Barkley, “but I thought he should’ve said something.”

In addition to his frustration with the lack of communication, Barkley is also tired of being asked about the future of Inside the NBA because of one specific reason.

“None of this s--- means anything because we still got to work together for another year,” said Barkley. “’Hey, would you guys go to Amazon? Would you guys go to NBC? Would you guys go to ESPN?’ I’m like, ‘dude, we got another year to be together.’ So worrying about something that’s a year-and-a-half away is stupid.”

Barkley said plenty more on the podcast about the future of Inside the NBA , the possibility of having to work for a full season as a lame-duck crew next year and being “pissed” at CNN for never calling him to tell him his show with Gayle King, King Charles was canceled.

Pope Apologizes After Reports That He Used an Anti-Gay Slur

Francis’ remark came as he spoke against admitting gay men to seminaries during what was supposed to be a closed-door meeting with Italian bishops last week.

The Vatican said on Tuesday that Pope Francis “extends his apologies” after reports that he used an offensive slang word referring to gay men at what was intended to be a private meeting with 250 Italian bishops last week.

Francis had been taking questions from the bishops at their annual assembly when the question of whether to admit openly gay men into seminaries, or priesthood colleges, came up.

According to several people present at the meeting, who spoke anonymously to Italian news outlets, Francis stated a firm no, saying that seminaries were already too full of “frociaggine,” an offensive Italian slang term referring to gay men.

“Pope Francis is aware of articles that recently came out about a conversation, behind closed doors,” Matteo Bruni, the press office director for the Holy See, said on Tuesday. “The pope never intended to offend or express himself in homophobic terms, and he extends his apologies to those who were offended by the use of a term, reported by others.”

The incident was first reported by the gossip website Dagospia and then picked up by mainstream Italian news organizations.

Francis has been widely credited with urging the church to be more welcoming to the L.G.B.T.Q. community, and he has delivered a mostly inclusive message.

Shortly after the start of his papacy in 2013, he said, “If a person is gay and seeks God and has good will, who am I to judge ?” He has also met often with gay-rights activists, and he decided last year to allow priests to bless same-sex couples , though he said their unions could not be blessed.

The opening to the L.G.B.T.Q. community has been met with a backlash from conservative Catholics. The decision to bless same-sex couples, for example, was widely criticized by bishops in conservative areas of the church, such as many in Africa , who say the practice contradicts church doctrine.

The Vatican quickly explained that blessings are not formal rites and do not undercut church teaching against same-sex marriage.

At the same time, the church has remained firm in its decision not to allow openly gay men to become priests.

A document issued in 2005 under Pope Benedict XVI, Francis’ predecessor, excluded most gay men from the priesthood with few exceptions, barring in strong and specific language candidates “who are actively homosexual, have deep-seated homosexual tendencies or support the so-called ‘gay culture.’”

The document allowed ordination only for candidates who had experienced “transitory” homosexual tendencies that were “clearly overcome” at least three years before ordination as a deacon, the last step before priesthood.

Under Francis, the Vatican’s Congregation for Clergy issued a document in 2016 that restated the 2005 ban. The document said that the church could not overlook the “negative consequences that can derive from the ordination of persons with deep-seated homosexual tendencies.”

In a 2018 interview, published as a book , Francis underscored that he was concerned about relationships between homosexual candidates for priesthood and other religious posts, who take vows of celibacy and chastity and then end up living double lives.

“In consecrated life or that of the priesthood, there is no place for this type of affection,” the pope said in the book. “For that reason, the church recommends that persons with this deep-seated tendency not be accepted for ministry or consecrated life.”

Francis had already made these concerns known to Italian bishops. In another closed-door session in 2018, reported by the Italian news media , Francis said men with “deep-rooted” homosexual tendencies should not be allowed to enter into seminaries.

“If in doubt, do not let them enter,” the pope told the bishops.

That comment prompted reaction , with some progressives warning that it could foster hostility within the church toward L.G.B.T.Q. Catholics.

Francis is reported to have used the slur last week in responding to questions at the conference of Italian bishops, which recently adopted a document regarding the regulations for seminaries. The document has not been made public, as it is awaiting Vatican approval.

While Francis DeBernardo, director of New Ways Ministry, which advocates on behalf of L.G.B.T.Q. Catholics, welcomed Francis’ apology for using “a careless colloquialism,” he said he was disappointed “that the pope did not clarify specifically what he meant by banning gay men from the priesthood.”

“Without a clarification,” Mr. DeBernardo said, “his words will be interpreted as a blanket ban on accepting any gay man to a seminary.” He called on the pope to “provide a clearer statement on his views about gay priests, so many of whom faithfully serve the people of God each day.”

An article published by The New York Times in 2019 took a look at some two dozen priests and seminarians in the United States who shared details of their lives as gay men within the church . Though only a handful of priests in the United States have come out publicly, gay priests and researchers estimate that gay men probably make up at least 30 to 40 percent of the Catholic clergy in the United States. Like all Catholic priests, they take a vow of celibacy.

In reporting the incident, some Italian news outlets have suggested that Francis used the term jokingly or that, as a nonnative Italian speaker, he was unaware of the gravity of the slur.

Known for an informal, avuncular style, Francis is no stranger to linguistic gaffes.

Shortly after his election as pope, he told a group of nuns that they should be mothers, “not a spinster.” Two years later, speaking to reporters during an i n-flight news conference , Francis said that should a friend ever insult the pope’s mother, “he’ll get punched for it! This is normal! It is normal.” Also in 2015, referring to contraception, Francis said: “Some people believe that — pardon my language — in order to be good Catholics, we should be like rabbits. No. Responsible parenthood.”

And this was not his first public apology. After a video showed Francis twice slapping the hands of a woman who had grabbed his while he was greeting the faithful in December 2020, he apologized. “Many times we lose our patience,” he said during his weekly audience the day after the incident. “I do, too, and I’m sorry for yesterday’s bad example.”

In its statement Tuesday, the Vatican spokesman avoided confirming that the pope had used the term reported in Italian media, as the Vatican does not reveal what the pope says behind closed doors. But the statement did say that Francis had “stated on several occasions, ‘In the church there is room for everyone, for everyone! No one is useless, no one is superfluous. There is room for everyone. Just as we are, everyone.’”
