5 Using Paraphrases & Quotations

Often, when you are writing a college essay, you will want to include other people’s ideas and research. This is a good way to enter the scholarly conversation about your topic, and to demonstrate your credibility as an author, because it shows that you have read and considered other experts’ ideas. Your audience will be able to see that you understand what has already been said about the topic, before you contribute your new ideas. In addition to summarizing (as discussed in a previous chapter), there are two other ways to incorporate other people’s ideas: by writing a paraphrase, or by using a direct quotation.

In general, paraphrasing means using your own words to express another person’s idea. When writers talk about using “a paraphrase,” they mean something a bit more specific: a paraphrase is a re-statement of another person’s idea, using your own words, and  in about the same length as the original. Note that successful paraphrasing is not the same thing as “patchwriting,” which happens when you  just change a couple of words or re-arrange a few words. You want to avoid patchwriting and use paraphrases instead, to preserve academic integrity and avoid plagiarism.

Quoting means using the exact words of another person in your work. When you use quotations, you must always use quotation marks (“….”) to show that these words belong to someone else.  When you write a paraphrase or use a quotation, you must include citations to stay honest with your academic work. After we practice paraphrasing and quoting, we will work on citations in the next chapter.

Paraphrases & Quotations

In general, it is preferable to use paraphrases rather than long quotations in a short academic essay. Using a paraphrase demonstrates that you understand the original author’s ideas thoroughly; using quotations can make it seem like you are just “dropping in” a quote that seems related into your paper. Sometimes, however, a quotation is preferable, as when the original author captures an idea so perfectly that their exact words are an important part of the message. Other times, it may be that the original quotation is full of discipline-specific jargon , and needs to be quoted as is. The next two sections will discuss both strategies so that you can choose which is better for your audience, purpose, and context.

Using Paraphrases

Paraphrasing well is very useful, but paraphrasing can be a difficult skill to master. It takes a great deal of practice to paraphrase academic material well, and even more practice to paraphrase well in a second language. You need to have excellent command of sentence structure and vocabulary in order to be an expert at paraphrasing. Working on this skill will help you to develop other language skills as well. The more you practice, the better you will be at paraphrasing. And remember: always include information about where you got the information you are paraphrasing in an in-text citation. That way, your readers can find the original author’s work to read, if they are interested in learning more.

Once you have found a piece of writing – perhaps a sentence or two – that you would like to paraphrase, what do you do? Allow yourself time to follow the steps below.

Steps for Paraphrasing Successfully

  • Read and annotate the original piece. Take notes on the author’s main ideas in your own words.
  • Put the original aside. Go for a walk, stretch, take a nap.
  • Re-read the original piece and look at your notes. Did you miss any main ideas?
  • Find a friend, or use your phone or computer to record yourself. Using your notes, talk about the author’s main ideas.
  • Write a first draft of a paraphrase. Your paraphrase should be about the same length as the original. If you get stuck, try using the paraphrasing strategies below. Think of this as an English-to-English translation of the author’s ideas.  Remember to include information about your source (title, author) so that you remember where you found the original work.
  • Re-read the original piece, and your paraphrase. Did you miss any main ideas? Did you remember to indicate whose original ideas these are (the in-text citation)? Remember to include only the author’s ideas here; do not add your own opinion or analysis.
  • Revise your paraphrase as necessary. Make sure it sounds like something YOU have written – not the original author.

In an essay, you will also need to connect your paraphrase to your own ideas, and explain why you are using the author’s ideas. Often, writers will start by paraphrasing another author’s work, and then writing a response to it to express their own opinions and ideas.

As you practice writing paraphrases, it might be helpful to use a bilingual dictionary, an English-to-English dictionary, a translator, and/or a thesaurus. Ask your instructors about their policies for using these resources.

Paraphrasing Strategies

  • use synonyms (unique -> uncommon)
  • use antonyms (unique -> not ordinary)
  • change word forms (unique individual -> individual’s uniqueness)
  • switch active voice to passive voice (They made mistakes. -> Mistakes were made.)
  • switch passive voice to active voice (Lunch was served. -> They served lunch.)
  • use different conjunctions (but -> however)
  • change sentence structure (simple to compound, compound to complex, compound to two simple sentences, etc.)

Note : You will want to use these strategies in combination to achieve the most successful paraphrases.

Activity ~ Paraphrasing Practice

Here is a brief passage from Sarah Boxer’s article in The Atlantic, “ An Artist for the Instagram Age ”:

“The fact that some folks have managed to make the scene while others get left out in the cold is integral to the excitement of participatory art. The thrill is akin to exotic travel, or getting to see Hamilton . Because not everyone who wants the experience actually gets the experience, these works, even if their intentions and messages are democratic, tend to become exclusive affairs.”

Which of the following is an appropriate paraphrase of this passage? (Focus on the paraphrases, not the incomplete in-text citation.) Why is that one better? Why is the other one less useful as a paraphrase? Discuss with your partner.

  • The truth that many people have been able to attend these events as others have been shut out of them is key to what makes this kind of art appealing. The excitement is similar to visiting foreign countries or attending a showing of a sold-out musical. Since some people who wish to attend can’t do so, these art forms, despite not necessarily wanting to, often end up denying access to many would-be attendees.
  • Boxer notes that this kind of art only maintains its appeal as long as there are more people clamoring to view it than can possibly actually view it. This reliance on scarcity means these artists are ultimately relying on elitist principles to find their success and remain in demand.

Quoting and Paraphrasing

College writing often involves integrating information from published sources into your own writing in order to add credibility and authority–this process is essential to research and the production of new knowledge.

However, when building on the work of others, you need to be careful not to plagiarize : “to steal and pass off (the ideas and words of another) as one’s own” or to “present as new and original an idea or product derived from an existing source.”1 The University of Wisconsin–Madison takes this act of “intellectual burglary” very seriously and considers it to be a breach of academic integrity . Penalties are severe.

These materials will help you avoid plagiarism by teaching you how to properly integrate information from published sources into your own writing.

How to avoid plagiarism

When using sources in your papers, you can avoid plagiarism by knowing what must be documented.

Specific words and phrases

If you use an author’s specific word or words, you must place those words within quotation marks and you must credit the source.

Information and Ideas

Even if you use your own words, if you obtained the information or ideas you are presenting from a source, you must document the source.

Information : If a piece of information isn’t common knowledge (see below), you need to provide a source.

Ideas : An author’s ideas may include not only points made and conclusions drawn, but, for instance, a specific method or theory, the arrangement of material, or a list of steps in a process or characteristics of a medical condition. If a source provided any of these, you need to acknowledge the source.

Common Knowledge?

You do not need to cite a source for material considered common knowledge:

General common knowledge is factual information considered to be in the public domain, such as birth and death dates of well-known figures, and generally accepted dates of military, political, literary, and other historical events. In general, factual information contained in multiple standard reference works can usually be considered to be in the public domain.

Field-specific common knowledge is “common” only within a particular field or specialty. It may include facts, theories, or methods that are familiar to readers within that discipline. For instance, you may not need to cite a reference to Piaget’s developmental stages in a paper for an education class or give a source for your description of a commonly used method in a biology report—but you must be sure that this information is so widely known within that field that it will be shared by your readers.

If in doubt, be cautious and cite the source. And in the case of both general and field-specific common knowledge, if you use the exact words of the reference source, you must use quotation marks and credit the source.

Paraphrasing vs. Quoting — Explanation

Should i paraphrase or quote.

In general, use direct quotations only if you have a good reason. Most of your paper should be in your own words. Also, it’s often conventional to quote more extensively from sources when you’re writing a humanities paper, and to summarize from sources when you’re writing in the social or natural sciences–but there are always exceptions.

In a literary analysis paper , for example, you”ll want to quote from the literary text rather than summarize, because part of your task in this kind of paper is to analyze the specific words and phrases an author uses.

In research papers , you should quote from a source

  • to show that an authority supports your point
  • to present a position or argument to critique or comment on
  • to include especially moving or historically significant language
  • to present a particularly well-stated passage whose meaning would be lost or changed if paraphrased or summarized

You should summarize or paraphrase when

  • what you want from the source is the idea expressed, and not the specific language used to express it
  • you can express in fewer words what the key point of a source is

How to paraphrase a source

General advice.

  • When reading a passage, try first to understand it as a whole, rather than pausing to write down specific ideas or phrases.
  • Be selective. Unless your assignment is to do a formal or “literal” paraphrase, you usually don?t need to paraphrase an entire passage; instead, choose and summarize the material that helps you make a point in your paper.
  • Think of what “your own words” would be if you were telling someone who’s unfamiliar with your subject (your mother, your brother, a friend) what the original source said.
  • Remember that you can use direct quotations of phrases from the original within your paraphrase, and that you don’t need to change or put quotation marks around shared language.

Methods of Paraphrasing

  • Look away from the source then write. Read the text you want to paraphrase several times until you feel that you understand it and can use your own words to restate it to someone else. Then, look away from the original and rewrite the text in your own words.
  • Take notes. Take abbreviated notes; set the notes aside; then paraphrase from the notes a day or so later, or when you draft.

If you find that you can’t do A or B, this may mean that you don’t understand the passage completely or that you need to use a more structured process until you have more experience in paraphrasing.

The method below is not only a way to create a paraphrase but also a way to understand a difficult text.

Paraphrasing difficult texts

Consider the following passage from Love and Toil (a book on motherhood in London from 1870 to 1918), in which the author, Ellen Ross, puts forth one of her major arguments:

  • Love and Toil maintains that family survival was the mother’s main charge among the large majority of London?s population who were poor or working class; the emotional and intellectual nurture of her child or children and even their actual comfort were forced into the background. To mother was to work for and organize household subsistence. (p. 9)
Children of the poor at the turn of the century received little if any emotional or intellectual nurturing from their mothers, whose main charge was family survival. Working for and organizing household subsistence were what defined mothering. Next to this, even the children’s basic comfort was forced into the background (Ross, 1995).
According to Ross (1993), poor children at the turn of the century received little mothering in our sense of the term. Mothering was defined by economic status, and among the poor, a mother’s foremost responsibility was not to stimulate her children’s minds or foster their emotional growth but to provide food and shelter to meet the basic requirements for physical survival. Given the magnitude of this task, children were deprived of even the “actual comfort” (p. 9) we expect mothers to provide today.

You may need to go through this process several times to create a satisfactory paraphrase.

Successful vs. unsuccessful paraphrases

Paraphrasing is often defined as putting a passage from an author into “your own words.” But what are your own words? How different must your paraphrase be from the original?

The paragraphs below provide an example by showing a passage as it appears in the source, two paraphrases that follow the source too closely, and a legitimate paraphrase.

The student’s intention was to incorporate the material in the original passage into a section of a paper on the concept of “experts” that compared the functions of experts and nonexperts in several professions.

The Passage as It Appears in the Source

Critical care nurses function in a hierarchy of roles. In this open heart surgery unit, the nurse manager hires and fires the nursing personnel. The nurse manager does not directly care for patients but follows the progress of unusual or long-term patients. On each shift a nurse assumes the role of resource nurse. This person oversees the hour-by-hour functioning of the unit as a whole, such as considering expected admissions and discharges of patients, ascertaining that beds are available for patients in the operating room, and covering sick calls. Resource nurses also take a patient assignment. They are the most experienced of all the staff nurses. The nurse clinician has a separate job description and provides for quality of care by orienting new staff, developing unit policies, and providing direct support where needed, such as assisting in emergency situations. The clinical nurse specialist in this unit is mostly involved with formal teaching in orienting new staff. The nurse manager, nurse clinician, and clinical nurse specialist are the designated experts. They do not take patient assignments. The resource nurse is seen as both a caregiver and a resource to other caregivers. . . . Staff nurses have a hierarchy of seniority. . . . Staff nurses are assigned to patients to provide all their nursing care. (Chase, 1995, p. 156)

Word-for-Word Plagiarism

Critical care nurses have a hierarchy of roles. The nurse manager hires and fires nurses. S/he does not directly care for patients but does follow unusual or long-term cases. On each shift a resource nurse attends to the functioning of the unit as a whole, such as making sure beds are available in the operating room , and also has a patient assignment . The nurse clinician orients new staff, develops policies, and provides support where needed . The clinical nurse specialist also orients new staff, mostly by formal teaching. The nurse manager, nurse clinician, and clinical nurse specialist , as the designated experts, do not take patient assignments . The resource nurse is not only a caregiver but a resource to the other caregivers . Within the staff nurses there is also a hierarchy of seniority . Their job is to give assigned patients all their nursing care .

Why this is plagiarism

Notice that the writer has not only “borrowed” Chase’s material (the results of her research) with no acknowledgment, but has also largely maintained the author’s method of expression and sentence structure. The phrases in red are directly copied from the source or changed only slightly in form.

Even if the student-writer had acknowledged Chase as the source of the content, the language of the passage would be considered plagiarized because no quotation marks indicate the phrases that come directly from Chase. And if quotation marks did appear around all these phrases, this paragraph would be so cluttered that it would be unreadable.

A Patchwork Paraphrase

Chase (1995) describes how nurses in a critical care unit function in a hierarchy that places designated experts at the top and the least senior staff nurses at the bottom. The experts — the nurse manager, nurse clinician, and clinical nurse specialist — are not involved directly in patient care. The staff nurses, in contrast, are assigned to patients and provide all their nursing care . Within the staff nurses is a hierarchy of seniority in which the most senior can become resource nurses: they are assigned a patient but also serve as a resource to other caregivers. The experts have administrative and teaching tasks such as selecting and orienting new staff, developing unit policies , and giving hands-on support where needed.

This paraphrase is a patchwork composed of pieces in the original author’s language (in red) and pieces in the student-writer’s words, all rearranged into a new pattern, but with none of the borrowed pieces in quotation marks. Thus, even though the writer acknowledges the source of the material, the underlined phrases are falsely presented as the student’s own.

A Legitimate Paraphrase

In her study of the roles of nurses in a critical care unit, Chase (1995) also found a hierarchy that distinguished the roles of experts and others. Just as the educational experts described above do not directly teach students, the experts in this unit do not directly attend to patients. That is the role of the staff nurses, who, like teachers, have their own “hierarchy of seniority” (p. 156). The roles of the experts include employing unit nurses and overseeing the care of special patients (nurse manager), teaching and otherwise integrating new personnel into the unit (clinical nurse specialist and nurse clinician), and policy-making (nurse clinician). In an intermediate position in the hierarchy is the resource nurse, a staff nurse with more experience than the others, who assumes direct care of patients as the other staff nurses do, but also takes on tasks to ensure the smooth operation of the entire facility.

Why this is a good paraphrase

The writer has documented Chase’s material and specific language (by direct reference to the author and by quotation marks around language taken directly from the source). Notice too that the writer has modified Chase’s language and structure and has added material to fit the new context and purpose — to present the distinctive functions of experts and nonexperts in several professions.

Shared Language

Perhaps you’ve noticed that a number of phrases from the original passage appear in the legitimate paraphrase: critical care, staff nurses, nurse manager, clinical nurse specialist, nurse clinician, resource nurse.

If all these phrases were in red, the paraphrase would look much like the “patchwork” example. The difference is that the phrases in the legitimate paraphrase are all precise, economical, and conventional designations that are part of the shared language within the nursing discipline (in the too-close paraphrases, they’re red only when used within a longer borrowed phrase).

In every discipline and in certain genres (such as the empirical research report), some phrases are so specialized or conventional that you can’t paraphrase them except by wordy and awkward circumlocutions that would be less familiar (and thus less readable) to the audience.

When you repeat such phrases, you’re not stealing the unique phrasing of an individual writer but using a common vocabulary shared by a community of scholars.

Some Examples of Shared Language You Don’t Need to Put in Quotation Marks

  • Conventional designations: e.g., physician’s assistant, chronic low-back pain
  • Preferred bias-free language: e.g., persons with disabilities
  • Technical terms and phrases of a discipline or genre : e.g., reduplication, cognitive domain, material culture, sexual harassment

How to Quote a Source

Introducing a quotation.

One of your jobs as a writer is to guide your reader through your text. Don’t simply drop quotations into your paper and leave it to the reader to make connections.

Integrating a quotation into your text usually involves two elements:

  • A signal that a quotation is coming–generally the author’s name and/or a reference to the work
  • An assertion that indicates the relationship of the quotation to your text

Often both the signal and the assertion appear in a single introductory statement, as in the example below. Notice how a transitional phrase also serves to connect the quotation smoothly to the introductory statement.

Ross (1993), in her study of poor and working-class mothers in London from 1870-1918 [signal], makes it clear that economic status to a large extent determined the meaning of motherhood [assertion]. Among this population [connection], “To mother was to work for and organize household subsistence” (p. 9).

The signal can also come after the assertion, again with a connecting word or phrase:

Illness was rarely a routine matter in the nineteenth century [assertion]. As [connection] Ross observes [signal], “Maternal thinking about children’s health revolved around the possibility of a child’s maiming or death” (p. 166).

Formatting Quotations

Short direct prose.

Incorporate short direct prose quotations into the text of your paper and enclose them in double quotation marks:

According to Jonathan Clarke, “Professional diplomats often say that trying to think diplomatically about foreign policy is a waste of time.”

Longer prose quotations

Begin longer quotations (for instance, in the APA system, 40 words or more) on a new line and indent the entire quotation (i.e., put in block form), with no quotation marks at beginning or end, as in the quoted passage from our Successful vs. Unsucessful Paraphrases page.

Rules about the minimum length of block quotations, how many spaces to indent, and whether to single- or double-space extended quotations vary with different documentation systems; check the guidelines for the system you’re using.

Quotation of Up to 3 Lines of Poetry

Quotations of up to 3 lines of poetry should be integrated into your sentence. For example:

In Julius Caesar, Antony begins his famous speech with “Friends, Romans, Countrymen, lend me your ears; / I come to bury Caesar, not to praise him” (III.ii.75-76).

Notice that a slash (/) with a space on either side is used to separate lines.

Quotation of More than 3 Lines of Poetry

More than 3 lines of poetry should be indented. As with any extended (indented) quotation, do not use quotation marks unless you need to indicate a quotation within your quotation.

Punctuating with Quotation Marks

Parenthetical citations.

With short quotations, place citations outside of closing quotation marks, followed by sentence punctuation (period, question mark, comma, semi-colon, colon):

Menand (2002) characterizes language as “a social weapon” (p. 115).

With block quotations, check the guidelines for the documentation system you are using.

Commas and periods

Place inside closing quotation marks when no parenthetical citation follows:

Hertzberg (2002) notes that “treating the Constitution as imperfect is not new,” but because of Dahl’s credentials, his “apostasy merits attention” (p. 85).

Semicolons and colons

Place outside of closing quotation marks (or after a parenthetical citation).

Question marks and exclamation points

Place inside closing quotation marks if the quotation is a question/exclamation:

Menand (2001) acknowledges that H. W. Fowler’s Modern English Usage is “a classic of the language,” but he asks, “Is it a dead classic?” (p. 114).

[Note that a period still follows the closing parenthesis.]

Place outside of closing quotation marks if the entire sentence containing the quotation is a question or exclamation:

How many students actually read the guide to find out what is meant by “academic misconduct”?

Quotation within a quotation

Use single quotation marks for the embedded quotation:

According to Hertzberg (2002), Dahl gives the U. S. Constitution “bad marks in ‘democratic fairness’ and ‘encouraging consensus'” (p. 90).

[The phrases “democratic fairness” and “encouraging consensus” are already in quotation marks in Dahl’s sentence.]

Indicating Changes in Quotations

Quoting only a portion of the whole.

Use ellipsis points (. . .) to indicate an omission within a quotation–but not at the beginning or end unless it’s not obvious that you’re quoting only a portion of the whole.

Adding Clarification, Comment, or Correction

Within quotations, use square brackets [ ] (not parentheses) to add your own clarification, comment, or correction.

Use [sic] (meaning “so” or “thus”) to indicate that a mistake is in the source you’re quoting and is not your own.

How to Paraphrase | Step-by-Step Guide & Examples

Paraphrasing means putting someone else’s ideas into your own words. Paraphrasing a source involves changing the wording while preserving the original meaning.

Paraphrasing is an alternative to  quoting (copying someone’s exact words and putting them in quotation marks ). In academic writing, it’s usually better to integrate sources by paraphrasing instead of quoting. It shows that you have understood the source, reads more smoothly, and keeps your own voice front and center.

Putting an idea into your own words can be easier said than done. Let’s say you want to paraphrase the text below, about population decline in a particular species of sea snails.

Incorrect paraphrasing

You might make a first attempt to paraphrase it by swapping out a few words for  synonyms .

Like other sea creatures inhabiting the vicinity of highly populated coasts, horse conchs have lost substantial territory to advancement and contamination , including preferred breeding grounds along mud flats and seagrass beds. Their Gulf home is also heating up due to global warming , which scientists think further puts pressure on the creatures , predicated upon the harmful effects extra warmth has on other large mollusks (Barnett, 2022).

This attempt at paraphrasing doesn’t change the sentence structure or order of information, only some of the word choices. And the synonyms chosen are poor:

  • “Advancement and contamination” doesn’t really convey the same meaning as “development and pollution.”
  • Sometimes the changes make the tone less academic: “home” for “habitat” and “sea creatures” for “marine animals.”
  • Adding phrases like “inhabiting the vicinity of” and “puts pressure on” makes the text needlessly long-winded.
  • Global warming is related to climate change, but they don’t mean exactly the same thing.

Because of this, the text reads awkwardly, is longer than it needs to be, and remains too close to the original phrasing. This means you risk being accused of plagiarism .

Correct paraphrasing

Let’s look at a more effective way of paraphrasing the same text.

Here, we’ve:

  • Only included the information that’s relevant to our argument (note that the paraphrase is shorter than the original)
  • Introduced the information with the signal phrase “Scientists believe that …”
  • Retained key terms like “development and pollution,” since changing them could alter the meaning
  • Structured sentences in our own way instead of copying the structure of the original
  • Started from a different point, presenting information in a different order

Because of this, we’re able to clearly convey the relevant information from the source without sticking too close to the original phrasing.

Chrysotile asbestos, which is used to manufacture chlorine, sheet gaskets, and braking systems, may soon be banned by the Environmental Protection Agency. The proposed ban would prevent it from being imported into, manufactured in, or processed in the United States (Phillips, 2022).

“The concept of secrecy might evoke an image of two people in conversation, with one person actively concealing from the other. Yet, such concealment is actually uncommon. It is far more common to ruminate on our secrets. It is our tendency to mind-wander to our secrets that seems most harmful to well-being. Simply thinking about a secret can make us feel inauthentic. Having a secret return to mind, time and time again, can be tiring. When we think of a secret, it can make us feel isolated and alone” ( ). Research suggests that, while keeping secrets from others is indeed stressful, this may have little to do with the act of hiding information itself. Rather, the act of ruminating on one’s secrets is what leads to feelings of fatigue, inauthenticity, and isolation (Slepian, 2019).

Once you have your perfectly paraphrased text, you need to ensure you credit the original author. You’ll always paraphrase sources in the same way, but you’ll have to use a different type of in-text citation depending on what citation style you follow.

Generate accurate citations with Scribbr

It’s a good idea to paraphrase instead of quoting in most cases because:

  • Paraphrasing shows that you fully understand the meaning of a text
  • Your own voice remains dominant throughout your paper
  • Quotes reduce the readability of your text

But that doesn’t mean you should never quote. Quotes are appropriate when:

  • Giving a precise definition
  • Saying something about the author’s language or style (e.g., in a literary analysis paper)
  • Providing evidence in support of an argument
  • Critiquing or analyzing a specific claim

A paraphrase puts a specific passage into your own words. It’s typically a similar length to the original text, or slightly shorter.

When you boil a longer piece of writing down to the key points, so that the result is a lot shorter than the original, this is called summarizing .

Paraphrasing and quoting are important tools for presenting specific information from sources. But if the information you want to include is more general (e.g., the overarching argument of a whole article), summarizing is more appropriate.

When paraphrasing, you have to be careful to avoid accidental plagiarism .

This can happen if the paraphrase is too similar to the original quote, with phrases or whole sentences that are identical (and should therefore be in quotation marks). It can also happen if you fail to properly cite the source.

Paraphrasing tools are widely used by students, and can be especially useful for non-native speakers who may find academic writing particularly challenging. While these can be helpful for a bit of extra inspiration, use these tools sparingly, keeping academic integrity in mind.

To make sure you’ve properly paraphrased and cited all your sources, you could elect to run a plagiarism check before submitting your paper. And of course, always be sure to read your source material yourself and take the first stab at paraphrasing on your own.

To paraphrase effectively, don’t just take the original sentence and swap out some of the words for synonyms. Instead, try:

  • Reformulating the sentence (e.g., change active to passive , or start from a different point)
  • Combining information from multiple sentences into one
  • Leaving out information from the original that isn’t relevant to your point
  • Using synonyms where they don’t distort the meaning

The main point is to ensure you don’t just copy the structure of the original text, but instead reformulate the idea in your own words.

Paraphrasing without crediting the original author is a form of plagiarism , because you’re presenting someone else’s ideas as if they were your own.

However, paraphrasing is not plagiarism if you correctly cite the source . This means including an in-text citation and a full reference, formatted according to your required citation style .

As well as citing, make sure that any paraphrased text is completely rewritten in your own words.

Plagiarism means using someone else’s words or ideas and passing them off as your own. Paraphrasing means putting someone else’s ideas in your own words.

So when does paraphrasing count as plagiarism?

  • Paraphrasing is plagiarism if you don’t properly credit the original author.
  • Paraphrasing is plagiarism if your text is too close to the original wording (even if you cite the source). If you directly copy a sentence or phrase, you should quote it instead.
  • Paraphrasing  is not plagiarism if you put the author’s ideas completely in your own words and properly cite the source .

Quoting vs paraphrasing: what's the difference.

There are two ways to integrate sources into your assignment: quoting directly or paraphrasing.

Quoting  is copying a selection from someone else's work, phrasing it exactly as it was originally written. When quoting place quotation marks (" ") around the selected passage to show where the quote begins and where it ends. Make sure to include an in-text citation. 

Paraphrasing  is used to show that you understand what the author wrote. You must reword the passage, expressing the ideas in your own words, and not just change a few words here and there. Make sure to also include an in-text citation.

What Is a Long Quotation?

A quotation of more than 40 words. 

Rules for Long Quotations

There are 4 rules that apply to long quotations that are different from regular quotations:

  • The line before your long quotation, when you're introducing the quote, usually ends with a colon.
  • The long quotation is indented half an inch from the rest of the text, so it looks like a block of text.
  • There are no quotation marks around the quotation.
  • The period at the end of the quotation comes before your in-text citation as opposed to after, as it does with regular quotations.

At the end of Lord of the Flies the boys are struck with the realization of their behaviour:

The tears began to flow and sobs shook him. He gave himself up to them now for the first time on the island; great, shuddering spasms of grief that seemed to wrench his whole body. His voice rose under the black smoke before the burning wreckage of the island; and infected by that emotion, the other little boys began to shake and sob too. (Golding, 1960, p.186)

Changing Quotations

Sometimes you may want to make some modifications to the quote to fit your writing. Here are some APA rules when changing quotes:

Incorrect spelling, grammar, and punctuation

Add the word [sic] after the error in the quotation to let your reader know the error was in the original source and is not your error.

Omitting parts of a quotation

If you would like to exclude some words from a quotation, replace the words you are not including with an ellipsis - ...

Adding words to a quote

If you are adding words that are not part of the original quote, enclose the additional words in square brackets - [XYZ]

Secondary Source Quotes

What is a secondary source.

In scholarly work, a primary source reports original content; a secondary source refers to content first reported in another source.

  • Cite secondary sources sparingly—for instance, when the original work is out of print, unavailable, or available only in a language that you do not understand.
  • If possible, as a matter of good scholarly practice, find the primary source, read it, and cite it directly rather than citing a secondary source.

Rules for Secondary Source Citations

  • In the reference list, provide an entry only for the secondary source that you used.
  • In the text, identify the primary source and write “as cited in” the secondary source that you used. 
  • If the year of publication of the primary source is known, also include it in the in-text citation.

When you write information from a source in your own words, cite the source by adding an in-text citation at the end of the paraphrased portion as follows:

If you refer to the author's name in a sentence you do not have to include the name again as part of your in-text citation, instead include the year of publication following his/her name:

NOTE : Although not required, APA encourages including the page number when paraphrasing if it will help the reader locate the information in a long text and distinguish between the information that is coming from you and the source.

If your paraphrase is longer than one sentence, provide an in-text citation for the source at the beginning of the paraphrase. As long as it's clear that the paraphrase continues to the following sentences, you don't have to include in-text citations for the following sentences.

If your paraphrase continues to another paragraph and/or you include paraphrases from other sources within the paragraph, repeat the in-text citations for each.

When should you quote?

  • When the author’s exact language will support your ideas better than a paraphrase or summary of the information.
  • When the language is striking or highly nuanced, allowing for multiple interpretations that you need to demonstrate for your readers.
  • If you plan to spend time analyzing the quotation in your own text.
  • When you need to demonstrate what other people feel or think about a subject.
  • When the words come from highly respected authorities and speak directly to one of your main points.

How do you quote?

  • Read the source carefully to understand the context of the words you are thinking of quoting.
  • Copy the quotation exactly, making sure to transfer the words, capitalization, punctuation, and even any errors in the source. If the source author has quoted someone else, enclose that quotation in a pair of single quotation marks. Enclose the entire quotation you’re using in a pair of double quotation marks.
  • Check the quotation against the source word by word to make sure they match exactly.
  • Do not insert any other words into the quotation unless you enclose them in brackets: [like this].
  • Document the quotation fully, including page numbers or URLs.

Using Paraphrases Effectively

When should you paraphrase.

  • When you need to discuss details from the source material rather than just the main ideas found in a summary.
  • When the author’s ideas and facts are more important than the language used to describe them or when a quotation might be distracting.
  • When the original text uses language that differs greatly in style, tone, or voice from your writing.
  • When the language of the original is technical, arcane, or complicated.

How do you paraphrase?

  • Read the part of the source you want to paraphrase several times, until you are sure you understand not only its ideas, but also its tone and emphasis.
  • Find the key terms and think of synonyms you could use instead. If you must quote a key term, enclose the quotation in a pair of quotation marks and note the number of the page on which it appears.
  • Write the ideas in your own words, using a tone of voice that is similar to the source’s. Be sure that you emphasize the same ideas or examples the author did.
  • Check the draft against the source, and rewrite it as needed until it accurately represents the original. Be careful not to use the source’s language.
  • Check to be sure you haven’t included your own ideas or opinions in the paraphrase.
  • Document the paraphrase with the author’s name, the title of the work, and publishing information, including page numbers or URLs.

Using Summaries Effectively

When should you write a summary.

  • When a quotation or paraphrase would give unneeded detail or distracting minutiae.
  • When several different kinds of information from the same source and author were provided over many pages in the original.

How do you write a summary?

  • Read and reread the original until you are sure you understand it.
  • Identify the major ideas: the thesis statement, if there is one, and the topic sentences of paragraphs or sections. If the work is a narrative, write a very brief description of the major events in each section. If the work is very short, look for key ideas in repeated phrases. Annotate the pages if necessary to track the information.
  • Write one sentence that captures the main idea of the original. Rewrite the sentence as necessary until it works. Then write any supporting sentences that are needed so that your readers will grasp the major idea. Rewrite them until you have a summary that someone unfamiliar with the work will understand.
  • Check the summary against the source to make sure you have used all your own words. If you need to use any phrases from the source because they are unique, enclose the phrases in a pair of quotation marks. Note the page number of the material you have quoted.
  • Check to be sure you have not included your own thoughts and opinions in the summary. The summary should include only the source’s ideas, not yours.
  • Document your summary with the author’s name, title of the work, and publishing information, including page numbers or URLs.

Two Types of Summary: Descriptive vs. Informative Summary

Descriptive summary.

A descriptive summary explains the source from a reader’s perspective, like a blow-by-blow description of what an author writes or what people do. It focuses on action.

Descriptive summaries are most useful when the focus of your own writing is on something that has happened and the event is noteworthy in itself. They are useful for analysis and argument because they allow you to focus on another writer’s act—what he or she has said, why, and how.

Example: Faulkner begins his novel Absalom, Absalom! with a two-page-long sentence.

Informative Summary

An informative summary provides the content of a source in highly condensed form. It might be useful if you are writing to an audience that needs some background information, or when you need to provide a context for later analysis, such as a plot summary at the start of a film review.

Informative summaries are somewhat like the abstracts that you often see at the beginning of scholarly articles. They help an audience learn enough about a subject so that they can understand your argument or analysis.

Example: Miss Coldfield knows from the very start why Quentin Compson has decided to go to Harvard.

An essential skill in writing is the ability to ethically and accurately share the ideas of others. Quotations, paraphrases and summaries are all methods of including research in your writing or presentations. Here is a quick overview of the difference between quoting, paraphrasing and summarizing:

  • What it is: Using the exact words of your source; must be placed within quotation marks.
  • When to use it: Specific terminology, powerful phrases.
  • Example: McMillan Cottom explains that “Reading around a subject is about going beyond the object of study to unpack, examine, or pick apart what the person or the object of study represents” (1).

PARAPHRASING

  • What it is: Putting another’s ideas into your own words.
  • When to use it: To clarify a passage, to avoid over-quoting.
  • Example: McMillan Cottom contends that, in addition to reading about a subject itself, we also need to read about the ideas and concepts that are ingrained in a subject in order to truly understand its deeper meaning (1).

SUMMARIZING

  • What it is: Putting a larger main idea into your words.
  • When to use it: Overview of a topic, main point/idea.
  • Example: In McMillan Cottom’s article, “Sleep Around Before You Marry an Argument,” she describes the process of preparing to write about a subject and develop an argument. For her, the first and most important stage in this process is reading; however, she isn’t focused on simply reading everything ever written on a topic, but “reading around a subject.” In her view, the end goal is not just to compile facts, but to develop a thorough, but interesting final product that will connect with your audience. The guidelines and examples below will help you determine when and how to appropriately incorporate research into your writing.

General Guidelines

While you are still gaining experience and confidence in writing, there is often a temptation to rely heavily on the words and ideas of others. You might think, “How can I possibly say it as well as the expert?” or “How will anyone believe me unless I add in exhaustive research?” However, having confidence in your own ideas is one of the hallmarks of a more experienced writer, and this means that when incorporating the ideas of others, we should not allow them to “take over” our own ideas.

In addition, sometimes it is better to paraphrase or summarize an idea to keep it brief, rather than having an excessively long quotation. (See below for more info on both paraphrasing and summarizing ideas.)

That said, there are a number of reasons why we might want to quote the ideas of others. Here are some of the most common:

  • When wording is very distinctive so you cannot paraphrase it adequately;
  • When you are using a definition or explaining something very technical;
  • When it is important for debaters of an issue to explain their positions in their own words (especially if you have a differing viewpoint);
  • When the words of an authority will lend weight to your argument;
  • When the language of a source is the topic of your discussion (as in an interpretation).

Trying to balance your ideas and those of your sources takes a bit of skill and finesse. The goal is to make the ideas (both yours and those of your sources) feel and look like a conversation—a mutual exchange of voices and ideas that helps you and your audience work out your reasoning on a topic. (You can read more about this idea of academic conversations here.) Sometimes, in the process of trying to incorporate the ideas of others, things fall a bit short of the ideal. Here are some common missteps that can lead to your writing seeming less polished:

  • Over-using one source : If you find yourself repeatedly citing the same source again and again in your writing, it will begin to seem as if you are merely repackaging the other author’s ideas, rather than presenting your own. It also gives the appearance that your ideas are one-sided, due to the lack of a diversity of voices in the conversation.
  • Having more source material than your own original ideas *: Try color-coding your writing. Highlight each instance where you are quoting, paraphrasing or summarizing a source. What’s left? Is your essay a rainbow of colors, with little else? Or are the majority of ideas/sentences yours, with a few well-chosen instances of source material? Aim for the latter; otherwise, it will seem like you are just “reporting out” on all the research you have gathered, rather than developing your own thinking on a subject.
  • Does every aspect of this passage relate to my own paragraph ideas?
  • Can I cut out a section of this quotation to emphasize the points that are most relevant? (If yes, see below on proper formatting when you eliminate a portion of the quoted material.)
  • Would it be easier/better/more concise to paraphrase this idea? (If yes, see below on how to correctly and incorrectly paraphrase.)
  • Dropping in a random quote or source reference : Ideas without context are always confusing, whether they are yours or someone else’s. Make sure you provide adequate context and make connections between your ideas and those of your sources.
  • Signal phrase (a few words that introduce the author of the source; this might also include credentials of the author and/or title of work);
  • Quoted, paraphrased or summarized material, followed by a parenthetical citation;
  • Your own thinking that expands upon the ideas from the source material, and connects it back to your larger point.

*NOTE : This goal is more applicable to some writing situations than others. In a lab report or literature review, for example, the majority of your discussion might include restating/sharing research. Always confirm with your instructor if you are not sure what the appropriate balance of source material should be for your specific writing situation.

When quoting material from a source, wording and punctuation should be reproduced exactly as it is in the original. If you need to alter the quotation in any way, you must indicate this through punctuation or added material. Otherwise, you will be misrepresenting the ideas of others.

When paraphrasing or summarizing source info, you should still use quotation marks and cite any distinctive wording that you kept from the original.

In certain instances, you do not need to cite information. Some examples include “common knowledge,” “passing mentions,” allusions, or epigraphs. Direct Quotation of Sources

A. Quotations that are fewer than four lines should be included in the text and enclosed in quotation marks. If you introduce the quotation in a signal phrase with the author’s full name (or source title, if the author’s name is not provided), include the page number in parentheses after the end of the quotation and before the period. It is not necessary to repeat the name in the parenthetical citation:

On the efficacy and importance of religion, David Hume asserts , “The life of man is of no greater importance to the universe than that of an oyster” (319) .

B. If you do not introduce the quotation with the author’s full name (or source title, if the author’s name is not provided), include the author’s last name and page number in parentheses after the end of the quotation and before the period:

When considering the efficacy and importance of religion, one must understand that “the life of man is of no greater importance to the universe than that of an oyster” (Hume 319) .

C. If the quotation appears mid-sentence , end the passage with any applicable punctuation and a closing quotation mark, finish the sentence, and then cite the source in parentheses at the end of the sentence :

Based on the findings, Sommerfeldt argued that “the normative role of public relations in democracy is best perceived as creating the social capital that facilitates access to spheres of public discussion,” challenging dominant notions of democratic discourse (664).

(An exception to the mid-sentence example above would be if you have more than one source cited in the same sentence. In that case, include the parenthetical citation directly after each quotation in the sentence.)

Quotations that are more than four lines should be displayed in block quotation format . This is an indented passage that does not require quotation marks (the indent serves in place of quotation marks):

The question of voters’ reasons for picking a specific candidate or side in an issue is a complicated one.

Voters should have good grounds for thinking that they are voting for policies or candidates that will promote the common good. In general, there are three ways that voters will violate this norm. Bad voters might vote out of 1) ignorance, 2) irrational beliefs, or 3) immoral beliefs. In contrast, good voters not only know what policies candidates will try to implement, but also know whether those policies would tend to promote or harm the common good. Voters should aim to promote the common good rather than narrow self-interest. (Brennan 37)

Given that voters often don’t vote with the common good in mind, what steps can the community take to help change that?

Note that the period at the end of the block quotation is placed at the end of the sentence, rather than after the parenthetical citation. After the quotation is completed, continue your paragraph on the left margin (i.e., don’t indent as if it were a new paragraph).

If the quotation includes an alternate spelling (i.e., British English) or an error in grammar, punctuation, or spelling, write the word “sic” in brackets directly after the alternate spelling or error inside the quotation:

“VCU is well known for it’s [sic] diversity” (Jones 43). 

This lets the reader know that it is the original writer’s spelling or error.

It is often useful to omit material when you do not need all words or sentences included in the passage you are citing. If you omit material, use three spaced periods (. . .) within a sentence (the three periods are called an ellipsis) to indicate that you have omitted material from the original source:

Ariel Levy notes that “in the decades since the McKennas’ odyssey, the drug . . . has become increasingly popular in the United States” (34).

If you omit material after the end of a sentence, use four spaced periods (. . . .) . This is a period, followed by an ellipsis.

A. Though direct quotations must be accurate, the first letter of the first word in the quotation may be changed either as uppercase or lowercase to match the flow of your sentence. Additionally, the punctuation mark ending a sentence may also be changed if necessary for appropriate syntax.

B. It is sometimes important to insert material when it will help the reader understand a quotation. When inserting material, enclose it in brackets :

Original quotation : “By programming a variety of Twitter bots to respond to racist abuse against black users, he showed that a simple one-tweet rebuke can actually reduce online racism” (Yong 45).

Revised quotation with inserted material for clarity : “By programming a variety of Twitter bots to respond to racist abuse against black users, he [Kevin Munger] showed that a simple one-tweet rebuke can actually reduce online racism” (Yong 45).

C. If you decide to italicize part or all of a quotation to emphasize a point you’re trying to make, add “emphasis added” in the parenthetical citation directly after the quotation :

The Dalai Lama has said, “Whether you call it Buddhism or another religion, self-discipline, that’s important. Self-discipline with awareness of consequences” (1, emphasis added) .

Note : If words were already italicized in the quoted material, you do not need to include the “emphasis added” designation. It is assumed that all formatting is original to the quotation unless you indicate otherwise.

Paraphrasing source material

When a writer uses another person’s idea but puts it in their own words, the writer is paraphrasing . We use paraphrasing when we wish to preserve the original ideas in their entirety (as opposed to summarizing the main points). Some reasons a writer might choose to do this include preserving the flow of their writing, or if quoting the material directly would take up too much space.

It is important to remember that just as with quotations, paraphrased material requires an in-text citation to give credit to the original author.

When paraphrasing or referencing an idea from another source, make sure that you provide enough information for the reader to easily locate the passage from the source you reference (for example, the page number or the paragraph number).

Example paraphrase : Original passage : “Reading around a subject is about going beyond the object of study to unpack, examine, or pick apart what the person or the object of study represents” (McMillan Cottom).

Unacceptable paraphrase : It’s important to read around the subject that we are studying by examining what that subject represents.

  • Issue 1: Certain words from the original are simply moved around.
  • Issue 2: Certain words are only replaced with synonyms or similar words.
  • Issue 3: The sentence structure has remained the same.
  • Issue 4: The source citation is missing.

Acceptable Paraphrase : McMillan Cottom contends that, in addition to reading about a subject itself, we also need to read about the ideas and concepts that are ingrained in a subject in order to truly understand its deeper meaning (1).

Many writers are reluctant to paraphrase because they worry about making mistakes and unintentionally plagiarizing ideas in their writing. This is a valid concern, but with practice this skill can be developed just like any other. Learning to paraphrase effectively can demonstrate a deeper understanding and command of the ideas you are discussing, and aid in the flow of ideas in your essay or presentation. That said, there are some common mistakes that should be avoided:

  • When paraphrasing, make sure that you don’t copy the same pattern of wording as the original sentence or passage . This sometimes happens when a writer tries to just swap out a few words, but keeps the structure of the sentence the same or very similar.
  • Likewise, avoid using the same or very similar wording as the original . If your paraphrase includes a word or phrase borrowed from the original, make sure to put that portion in quotation marks.
  • As noted above, paraphrases require citations, just like direct quotations. Always include a signal phrase and parenthetical citation to indicate that the info you are sharing is not your own. This is especially important in paraphrasing to make a clear distinction between the writer’s own ideas and the source info. Also, citing your source makes sure that you provide enough information for the reader to easily locate the passage from the source you reference.

To make sure that you don’t fall prey to the above mistakes, read the passage you wish to paraphrase and then put it aside. Without looking at it, try to think about how you can say it in your own words, and write it down. Make sure you aren’t including your own ideas—just try to capture the essence of the original in as clear and straightforward a manner as possible.

Summarizing source material

As explained at the top of this page, a summary is when a writer wants to provide a brief overview of a larger idea. This is distinct from a paraphrase, which usually focuses on a single sentence or paragraph. A writer can summarize an entire essay, a section of an article, or the overall main idea of a composition. While summarizing is perhaps not used as frequently as quoting or paraphrasing in academic writing, it can be an effective critical thinking and reading tool. In fact, your instructor may ask you to do a summary as part of your reading and research gathering to demonstrate your understanding of the material. In most academic writing, summaries should be used sparingly, but can be an efficient way to provide additional context to the intended audience.

It is important to remember that just as with quotations and paraphrases, summarized material requires an in-text citation to give credit to the original author.

When summarizing an idea from another source, make sure that you provide enough information for the reader to easily locate the passage from the source you reference (for example, the page number or the paragraph number).

The following summary focuses on an online article written by Tressie McMillan Cottom, which you can read in full here .

In Tressie McMillan Cottom’s article, “Sleep Around Before You Marry an Argument,” she describes the process of preparing to write about a subject and develop an argument. For her, the first and most important stage in this process is reading; however, she isn’t focused on simply reading everything ever written on a topic, but “reading around the subject.” In her view, the end goal is not just to compile facts, but to develop a thorough, but interesting final product that will connect with your audience. There are some common mistakes that should be avoided when summarizing a source:

  • Providing too much detail : While a summary is by its nature longer than a paraphrase, too much detail means that you are getting a bit “in the weeds” with your writing. A summary should be focused on the big ideas of a piece of writing, rather than the individual sections or minor points. A good summary should be much shorter than the original; in most cases, a full paragraph will be more than enough.
  • Using the same or very similar wording for part of the summary : Just as with paraphrasing, you want to avoid words, phrases, or patterns of wording from the original source. Stick to your own wording/ideas; if your summary does include a word or phrase borrowed from the original, make sure to put that portion in quotation marks.
  • Not providing a citation : As with paraphrases and quotations, summaries also require citations. Always include a signal phrase and parenthetical citation to indicate that the ideas you are summarizing are not your own. This is especially important in summarizing to make a clear distinction between your own ideas and the source info. Also, citing your source makes sure that you provide enough information for the reader to easily locate the source you reference.

To make sure that you don’t fall prey to the above mistakes, read the item you wish to summarize and then put it aside. Without looking at it, try to think about how you would explain the main ideas from the source to someone else in your own words, and write that down. Paraphrasing is one tool writers use to avoid plagiarism. Along with direct quotations and summaries, its a fair use of another person's work which can be incorporated into your own writing. At times, you can make more impact by paraphrasing a quotation instead of quoting it verbatim.

What Is Paraphrasing?

Paraphrasing is a restatement of a quotation using your own words. When you paraphrase, you restate the original author's ideas in your own words. It's important to differentiate paraphrasing from patchwriting; patchwriting is a form of plagiarism in which a writer directly quotes portions of a text (without attribution) and then fills in the gaps with their own words.

When Should You Paraphrase?

Quoting a source directly can be powerful, but sometimes paraphrasing is a better choice. Usually, paraphrasing makes more sense if:

  • the quotation is long and wordy
  • the quotation itself is poorly written
  • the quotation itself is technical or uses difficult-to-understand or obsolete language

An Effective Method of Paraphrasing a Quotation:

Before you begin paraphrasing, it's important to fully understand the quotation, its context, and any important cultural, political, or hidden meanings. Your job, as a paraphraser, is to accurately convey the author's meaning as well as any subtext.

  • Carefully read the original quotation and make sure to understand its central idea.
  • Note down anything that grabs your attention. If you feel that some element (word, phrase, thought) contributes to the central idea of the quotation, make a note of it.
  • If there are any words, ideas, or meanings that are unclear, look them up. For example, if you're paraphrasing the work of a person from a different culture or time, you may want to look up references to people, places, events, etc. that are not familiar to you.
  • Write a paraphrase in your own words. Meticulously avoid using the original words, phrases, and expression. At the same time, make sure that your words convey the same central idea.
  • If you need to use an interesting word or phrase from the original text, use quotation marks to indicate that it is not your own.
  • Cite the author, the source, and the date given in the text, to credit the owner of the quotation. Remember: Though the words of the paraphrase are your own, the thought behind it isn't. To not mention the author's name is plagiarism.

How does a Paraphrase Differ From a Summary?

To the untrained eye, a paraphrase and a summary may look alike. A paraphrase, however:

  • May restate just a single sentence, idea, or paragraph rather than an entire text;
  • May be shorter than or just as long as the original text;
  • May be used in the context of a wide range of written materials such as an essay, letter to the editor, article, or book;
  • describes the original text in different words without omitting details.

A summary, by contrast:

  • is an abridged version of the entire original text.
  • must be shorter than the original text.
  • always eliminates details, examples, and supporting points.

Quoting ---You directly use a source’s words to convey their point. The quote should appear exactly as it does in the source being used, although you may use ellipsis or brackets to indicate any changes you make in order to make your sentence grammatically correct. Remember that you must put quotation marks around all quoted material. Quotes are most useful in situations when the author’s exact wording is important, or when you feel that the author’s wording is clear and concise. Hint: While quoting, think of yourself as a journalist.

Summarizing - You capture the overall point or main idea of a source. For example, you might summarize an entire movie’s plot or a book’s major theme. Summarizing is particularly useful for condensing “big picture” ideas into a discussion of the work in general and in its entirety. Hint: While summarizing, think of yourself as a film critic or book reviewer.

Paraphrasing - You use your own words to discuss a specific source’s idea. This is often useful in situations when you can state this idea more clearly or concisely than the source has. For paraphrasing, strive for brevity while capturing the idea of a sentence or paragraph’s point (think “smaller picture,” local ideas). For example, instead of quoting a whole paragraph, you might paraphrase the main idea in the paragraph in a sentence or two. Hint: While paraphrasing, think of yourself as a translator. 

What is a Summary?

A summary is an overview of a text. The main idea is given, but details, examples and formalities are left out. Used with longer texts, the main aim of summarizing is to reduce or condense a text to its most important ideas. Summarizing is a useful skill for making notes from readings and in lectures, writing an abstract/synopsis and incorporating material in assignments.

How to summarize

The amount of detail you include in a summary will vary according to the length of the original text, how much information you need and how selective you are:

Start by reading a short text and highlighting the main points as you read.

Reread the text and make notes of the main points, leaving out examples, evidence etc.

Without the text, rewrite your notes in your own words; restate the main idea at the beginning plus all major points.

When to summarize

Summarize long sections of work, like a long paragraph, page or chapter. 

  • To outline the main points of someone else's work in your own words, without the details or examples.
  • To include an author's ideas using fewer words than the original text.
  • To briefly give examples of several differing points of view on a topic.
  • To support claims in, or provide evidence for, your writing.

What is Paraphrasing?

Paraphrasing is a way of presenting a text, keeping the same meaning, but using different words and phrasing. Paraphrasing is used with short sections of text, such as phrases and sentences.

A paraphrase may result in a longer, rather than shorter, version of the original text. It offers an alternative to using direct quotations and helps students to integrate evidence/ source material into assignments. Paraphrasing is also a useful skill for making notes from readings, note-taking in lectures, and explaining information in tables, charts and diagrams.

How to paraphrase

  • Read the source carefully. It is essential that you understand it fully.
  • Identify the main point(s) and key words.
  • Cover the original text and rewrite it in your own words. Check that you have included the main points and essential information.
  • Meaning: ensure that you keep the original meaning and maintain the same relationship between main ideas and supporting points.
  • Words: Use synonyms (words or expression which have a similar meaning) where appropriate. Key words that are specialised subject vocabulary do not need to be changed.
  • If you want to retain unique or specialist phrases, use quotation marks (“ “).
  • Change the grammar and sentence structure. Break up a long sentence into two shorter ones or combine two short sentences into one. Change the voice (active/passive) or change word forms (e.g. nouns, adjectives).
  • Change the order in which information/ ideas are presented (as long as they still make sense in a different order).
  • Identify the attitude of the authors to their subject (i.e. certain, uncertain, critical etc) and make sure your paraphrase reflects this. Use the appropriate .
  • Review your paraphrase checking that it accurately reflects the original text but is in your words and style.
  • Record the original source (including the page number) so that you can provide a reference.

When to paraphrase

Paraphrase short sections of work only; a sentence or two or a short paragraph.

  • As an alternative to a direct quotation.
  • To rewrite someone else's ideas without changing the meaning.
  • To express someone else's ideas in your own words.

What is a Quotation?  

A quotation is an exact reproduction of spoken or written words. Direct quotes can provide strong evidence, act as an authoritative voice, or support a writer's statements. For example:

Critical debates about the value of popular culture often raise the spectres of Americanisation and cultural imperialism, particular issues for a 'provincial' culture. However, as Bell and Bell (1993) point out in their study of Australian-American cultural relations: "culture is never simply imposed 'from above' but is negotiated through existing patterns and traditions." (Bell & Bell 1993, p. 9)

How to quote

Make sure that you have a good reason to use a direct quotation. Quoting should be done sparingly and should support your own work, not replace it. For example, make a point in your own words, then support it with an authoritative quote.

  • Every direct quotation should appear between quotation marks (" ") and exactly reproduce text, including punctuation and capital letters.
  • A short quotation often works well integrated into a sentence.
  • Longer quotations (more than 3 lines of text) should start on a new line, be indented and in italics. 

When to quote

  • When the author's words convey a powerful meaning.
  • When you want to use the author as an authoritative voice in your own writing.
  • To introduce an author's position you may wish to discuss.

What is Plagiarism?

According to the RBC Student Handbook   (2016):

Plagiarism: the presentation, with intent to deceive, or with disregard for proper scholarly procedures of a significant scope, of any information, ideas, or phrasing of another as if they were one’s own without giving appropriate credit to the Page 17 of 71 original source.

a) One commits plagiarism when one includes the words of another without quotation or when one includes the substantive work of another without properly crediting the source with footnotes, quotation marks, or other appropriate citation.

b) A student’s intent may be inferred based on the extent and context of the improperly cited material and whether the student has provided false citation or has manipulated the original text such that a reasonable person may conclude the student did so in order to avoid detection.

c) Disregard for proper scholarly procedure that is minimal in scope may be addressed solely as an academic matter, and the instructor may determine whether an academic penalty should be applied without pursuing resolution under the Honor Code. But any intentional acts of plagiarism or disregard for the scholarly procedure of a significant scope should be treated as a violation of the Honor Code.

Depending on the conventions of your discipline, you may have to decide whether to summarize a source, paraphrase a source, or quote from a source.

When and how to summarize

When you summarize, you provide your readers with a condensed version of an author's key points. A summary can be as short as a few sentences or much longer, depending on the complexity of the text and the level of detail you wish to provide to your readers. You will need to summarize a source in your paper when you are going to refer to that source and you want your readers to understand the source's argument, main ideas, or plot (if the source is a novel, film, or play) before you lay out your own argument about it, analysis of it, or response to it.

Before you summarize a source in your paper, you should decide what your reader needs to know about that source in order to understand your argument. For example, if you are making an argument about a novel, you should avoid filling pages of your paper with details from the book that will distract or confuse your reader. Instead, you should add details sparingly, going only into the depth that is necessary for your reader to understand and appreciate your argument. Similarly, if you are writing a paper about a journal article, you will need to highlight the most relevant parts of the argument for your reader, but you should not include all of the background information and examples. When you have to decide how much summary to put in a paper, it's a good idea to consult your instructor about whether you are supposed to assume your reader's knowledge of the sources.

Guidelines for summarizing a source in your paper

  • Identify the author and the source.
  • Represent the original source accurately.
  • Present the source’s central claim clearly.
  • Don’t summarize each point in the same order as the original source; focus on giving your reader the most important parts of the source
  • Use your own words. Don’t provide a long quotation in the summary unless the actual language from the source is going to be important for your reader to see.

Stanley Milgram (1974) reports that ordinarily compassionate people will be cruel to each other if they are commanded to be by an authority figure. In his experiment, a group of participants were asked to administer electric shocks to people who made errors on a simple test. In spite of signs that those receiving shock were experiencing great physical pain, 25 of 40 subjects continued to administer electric shocks. These results held up for each group of people tested, no matter the demographic. The transcripts of conversations from the experiment reveal that although many of the participants felt increasingly uncomfortable, they continued to obey the experimenter, often showing great deference for the experimenter. Milgram suggests that when people feel responsible for carrying out the wishes of an authority figure, they do not feel responsible for the actual actions they are performing. He concludes that the increasing division of labor in society encourages people to focus on a small task and eschew responsibility for anything they do not directly control.

This summary of Stanley Milgram's 1974 essay, "The Perils of Obedience," provides a brief overview of Milgram's 12-page essay, along with an APA style parenthetical citation. You would write this type of summary if you were discussing Milgram's experiment in a paper in which you were not supposed to assume your reader's knowledge of the sources. Depending on your assignment, your summary might be even shorter.

When you include a summary of a paper in your essay, you must cite the source. If you were using APA style in your paper, you would include a parenthetical citation in the summary, and you would also include a full citation in your reference list at the end of your paper. For the essay by Stanley Milgram, your citation in your references list would include the following information:

When and how to paraphrase

When you paraphrase from a source, you restate the source's ideas in your own words. Whereas a summary provides your readers with a condensed overview of a source (or part of a source), a paraphrase of a source offers your readers the same level of detail provided in the original source. Therefore, while a summary will be shorter than the original source material, a paraphrase will generally be about the same length as the original source material.

When you use any part of a source in your paper—as background information, as evidence, as a counterargument to which you plan to respond, or in any other form—you will always need to decide whether to quote directly from the source or to paraphrase it. Unless you have a good reason to quote directly from the source , you should paraphrase the source. Any time you paraphrase an author's words and ideas in your paper, you should make it clear to your reader why you are presenting this particular material from a source at this point in your paper. You should also make sure you have represented the author accurately, that you have used your own words consistently, and that you have cited the source.

This paraphrase below restates one of Milgram's points in the author's own words. When you paraphrase, you should always cite the source. This paraphrase uses the APA in-text citation style. Every source you paraphrase should also be included in your list of references at the end of your paper. For citation format information go to the Citing Sources section of this guide.

Source material

The problem of obedience is not wholly psychological. The form and shape of society and the way it is developing have much to do with it. There was a time, perhaps, when people were able to give a fully human response to any situation because they were fully absorbed in it as human beings. Milgram (1974) claims that people's willingness to obey authority figures cannot be explained by psychological factors alone. In an earlier era, people may have had the ability to invest in social situations to a greater extent. However, as society has become increasingly structured by a division of labor, people have become more alienated from situations over which they do not have control (p.737).

When and how much to quote

The basic rule in all disciplines is that you should only quote directly from a text when it's important for your reader to see the actual language used by the author of the source. While paraphrase and summary are effective ways to introduce your reader to someone's ideas, quoting directly from a text allows you to introduce your reader to the way those ideas are expressed by showing such details as language, syntax, and cadence.

So, for example, it may be important for a reader to see a passage of text quoted directly from Tim O'Brien's The Things They Carried if you plan to analyze the language of that passage in order to support your thesis about the book. On the other hand, if you're writing a paper in which you're making a claim about the reading habits of American elementary school students or reviewing the current research on Wilson's disease, the information you’re providing from sources will often be more important than the exact words. In those cases, you should paraphrase rather than quoting directly. Whether you quote from your source or paraphrase it, be sure to provide a citation for your source, using the correct format. (see Citing Sources section)

You should use quotations in the following situations:

  • When you plan to discuss the actual language of a text.
  • When you are discussing an author's position or theory, and you plan to discuss the wording of a core assertion or kernel of the argument in your paper.
  • When you risk losing the essence of the author's ideas in the translation from their words to your own.
  • When you want to appeal to the authority of the author and using their words will emphasize that authority.

Once you have decided to quote part of a text, you'll need to decide whether you are going to quote a long passage (a block quotation) or a short passage (a sentence or two within the text of your essay). Unless you are planning to do something substantive with a long quotation—to analyze the language in detail or otherwise break it down—you should not use block quotations in your essay. While long quotations will stretch your page limit, they don't add anything to your argument unless you also spend time discussing them in a way that illuminates a point you're making. Unless you are giving your readers something they need to appreciate your argument, you should use quotations sparingly.

When you quote from a source, you should make sure to cite the source either with an in-text citation or a note, depending on which citation style you are using.  The passage below, drawn from O’Brien’s  The Things They Carried , uses an MLA-style citation.

On the morning after Ted Lavender died, First Lieutenant Jimmy Cross crouched at the bottom of his foxhole and burned Martha's letters. Then he burned the two photographs. There was a steady rain falling, which made it difficult, but he used heat tabs and Sterno to build a small fire, screening it with his body holding the photographs over the tight blue flame with the tip of his fingers.

He realized it was only a gesture. Stupid, he thought. Sentimental, too, but mostly just stupid. (23)

O'Brien, Tim. The Things They Carried . New York: Broadway Books, 1990.

Even as Jimmy Cross burns Martha's letters, he realizes that "it was only a gesture. Stupid, he thought. Sentimental too, but mostly just stupid" (23).

If you were writing a paper about O'Brien's The Things They Carried in which you analyzed Cross's decision to burn Martha's letters and stop thinking about her, you might want your reader to see the language O'Brien uses to illustrate Cross's inner conflict. If you were planning to analyze the passage in which O'Brien calls Cross's realization stupid, sentimental, and then stupid again, you would want your reader to see the original language.

A decline in standardized test scores is but the most recent indicator that American education is in trouble.

One reason for the crisis is that present mandatory-attendance laws force many to attend school who have no wish to be there. Such children have little desire to learn and are so antagonistic to school that neither they nor more highly motivated students receive the quality education that is the birthright of every American.

The solution to this problem is simple: Abolish compulsory-attendance laws and allow only those who are committed to getting an education to attend.

This will not end public education. Contrary to conventional belief, legislators enacted compulsory-attendance laws to legalize what already existed. William Landes and Lewis Solomon, economists, found little evidence that mandatory-attendance laws increased the number of children in school. They found, too, that school systems have never effectively enforced such laws, usually because of the expense involved.

There is no contradiction between the assertion that compulsory attendance has had little effect on the number of children attending school and the argument that repeal would be a positive step toward improving education. Most parents want a high school education for their children. Unfortunately, compulsory attendance hampers the ability of public school officials to enforce legitimate educational and disciplinary policies and thereby make the education a good one.

Private schools have no such problem. They can fail or dismiss students, knowing such students can attend public school. Without compulsory attendance, public schools would be freer to oust students whose academic or personal behavior undermines the educational mission of the institution.

Has not the noble experiment of a formal education for everyone failed? While we pay homage to the homily, "You can lead a horse to water but you can't make him drink," we have pretended it is not true in education.

Ask high school teachers if recalcitrant students learn anything of value. Ask teachers if these students do any homework. Quite the contrary, these students know they will be passed from grade to grade until they are old enough to quit or until, as is more likely, they receive a high school diploma. At the point when students could legally quit, most choose to remain since they know they are likely to be allowed to graduate whether they do acceptable work or not.

Abolition of archaic attendance laws would produce enormous dividends.

First, it would alert everyone that school is a serious place where one goes to learn. Schools are neither day-care centers nor indoor street corners. Young people who resist learning should stay away; indeed, an end to compulsory schooling would require them to stay away.

Second, students opposed to learning would not be able to pollute the educational atmosphere for those who want to learn. Teachers could stop policing recalcitrant students and start educating.

Third, grades would show what they are supposed to: how well a student is learning. Parents could again read report cards and know if their children were making progress.

Fourth, public esteem for schools would increase. People would stop regarding them as way stations for adolescents and start thinking of them as institutions for educating America's youth.

Fifth, elementary schools would change because students would find out early they had better learn something or risk flunking out later. Elementary teachers would no longer have to pass their failures on to junior high and high school.

Sixth, the cost of enforcing compulsory education would be eliminated. Despite enforcement efforts, nearly 15 percent of the school-age children in our largest cities are almost permanently absent from school.

Communities could use these savings to support institutions to deal with young people not in school. If, in the long run, these institutions prove more costly, at least we would not confuse their mission with that of schools.

Schools should be for education. At present, they are only tangentially so. They have attempted to serve an all-encompassing social function, trying to be all things to all people. In the process they have failed miserably at what they were originally formed to accomplish.

Example Summary, Paraphrase, and Quotation from the Essay:

Example summary: Roger Sipher makes his case for getting rid of compulsory-attendance laws in primary and secondary schools with six arguments. These fall into three groups—first that education is for those who want to learn and by including those that don't want to learn, everyone suffers. Second, that grades would be reflective of effort and elementary school teachers wouldn't feel compelled to pass failing students. Third, that schools would both save money and save face with the elimination of compulsory-attendance laws.

Example paraphrase of the essay's conclusion: Roger Sipher concludes his essay by insisting that schools have failed to fulfill their primary duty of education because they try to fill multiple social functions (par. 17).

Example quotation: According to Roger Sipher, a solution to the perceived crisis of American education is to "[a]bolish compulsory-attendance laws and allow only those who are committed to getting an education to attend" (par. 3).

Paraphrasing vs. Quoting: What’s the Difference?

When you write your next research paper, you may ask, “when should I use paraphrasing vs. quoting?” This guide will help you know. 

The question of paraphrasing vs. quoting is important for writers. You must get this right in your writing to avoid plagiarism, create ethical written works, and make clear points.

Both paraphrasing and quoting are tools you can use to do this, but many writers do not know the difference between these two words. If you do not use them correctly and cite them appropriately, you could be guilty of plagiarism, which puts your academic or professional career at risk.  

Quoting and paraphrasing are fairly similar, and they even require similar citations. Yet there are subtle differences you must understand, so you give the proper credit to the source. This guide will help you understand the difference between paraphrasing and quoting, so you can use both of these tools correctly in your next written piece.

Paraphrasing and quoting are both processes to use another author’s work in your writing. They are confusing because they have different best-case uses. After you understand their differences, you will be able to decide how to use them in your writing.

What Is a Paraphrase?

A paraphrase is a restatement of an original author’s idea in your own words. It would help if you completely changed the wording from the source material to count it as a paraphrase. You may do so by changing the:

  • Sentence structure

However, you must keep the main points the same and properly attribute the source material’s author in your writing based on the style guide assigned to your projects, such as MLA or APA. Check out our allegory vs. symbolism explainer.

Paraphrases are used when you want to restate a source and do not need to use the exact words to do so. It works well when you merge multiple sources into one written piece to

Paraphrases should make up the majority of your academic writing because you need to be able to convey the author’s ideas in your own words. Simply quoting many sources word-for-word does not show that you have truly understood the material and reached your conclusions.

Even though paraphrases are written in your own words, you will need to cite them when writing research papers and other types of academic writing. Failing to cite an idea from someone else and claiming it as your own violate copyright laws and is a form of plagiarism.

To cite a paraphrase, check the style guide or publication manual assigned to your project and add the citation appropriately. You might also be interested in our analogy vs. metaphor guide.

Paraphrasing can be a challenging skill to learn. To do it, you must be able to take someone else’s work and make it your own without changing the main ideas.

One tip that can make paraphrasing easier is reading the original text fully and closing it. Without opening it again, write your paraphrase. Then, look at the original text again to make sure the paraphrase seems unique but still conveys the right original thought.

What Is a Quote?

What is a Quote?

Quoting happens when you use the other author’s exact words. You change nothing of what they said, and you put the words in quotation marks or set them off with special indentation, depending on the length of the quote.

Quoting works best when using your ideas or restating an original idea would weaken the key points. It also works well when you need to create a sense of authority in your statement and lack that authority as the author. Some times when a quote is the best choice over a paraphrase include:

  • When using statistics and data from an authoritative source
  • When quoting a piece of literature in a literary analysis paper
  • When defining a word from a trusted dictionary
  • When including a court decision in a piece of writing

Over-quoting is a common mistake in academic writing, especially with inexperienced writers. It shows little academic prowess to string together a bunch of quotes with attribution and call it your work. Use quotation sparingly and in those instances when it is necessary to make the point you need to make.

Keep in mind that not all written works require a quote. For most papers, one to two quotes are all that is necessary, if any are necessary at all. The rest of the work should be your ideas or paraphrases.

Citing quotes is similar to citing paraphrases. You will use the APA, Chicago/Turabian, or MLA style citations. The main difference is that you must show that the piece is a quote.

Often, you will include in-text citations to introduce the quote. For example, you may say:

An example of simile can be seen in Alcott’s Little Women when the author writes, “. . . she tried to get rid of the kitten which had scrambled up her back and stuck like a burr just out of reach.” (Alcott, 183)

In this quote, the author’s name and the resource both show up in the dialogue, but the writer still uses proper parenthetical citations at the end of the quote. The quote itself has quotation marks, indicating it is a quote, and ellipses that show it starts in the middle of the author’s sentence.

If your quote is 40 words or longer, you will use a block quotation. Each style guide has its formatting for block quotations, but this style sets off the quote by indenting it and changing the spacing, which is visually different from the rest of the paper. Block quotations do not use quotation marks.

Citations for Quotes, Paraphrases, and Summaries

Whether you quote, paraphrase, or summarize a work, you will cite it in the same way. The citation style is based on the style guide for your work. The works you cite in the text also get included in the works cited or bibliography page at the end of the paper.

If you are writing a paper that requires APA style, then you will use in-text citations in the following format:

(Author’s last name, year of publication, page number)

If you put the author’s name in the actual text in APA style, you can omit it in the parenthesis. If the publication has no date, you put n.d. instead of the date. If there is not a page number, you can put some other identifier, such as paragraph number, chapter, section, or timestamp. However, this is only necessary for direct quotes. The page number or its substitutes are not necessary for paraphrases.

MLA style in-text citations follow this format:

(Author’s last name, page number)

Omit the page number for this format if it is unavailable in the source.

Chicago style requires a more complex citation format. It uses footnotes for both paraphrases and quotes. The first time you use a resource, you use this format for the footnote:

The author’s first and last name, title (publication city: Publisher, date), and the page number.

For additional citations using a previously listed resource, use this format:

Author last name, abbreviated title, page number.

Another consideration in this discussion is the idea of summarizing. Summarizing a work means condensing it to its main points. Typically, a summary is much shorter than the original work, while a paraphrase is fairly similar in length.

Like quotes and paraphrases, summaries require in-text citations in the expected format. You will choose to summarize if you are taking a large work, like a full book, report, or speech, and using most of its key points in your report.

The Issue of Common Knowledge

With quotes, paraphrases and summaries, you must cite the source any time you use someone’s ideas in your writing or quote someone directly. However, you do not have to cite something if it is considered common knowledge, even if you found the information in another work. As long as you are not taking a direct quote, if the fact is common knowledge does not require citation. 

According to MIT , something is common knowledge if it is “information that the average, educated reader would accept as reliable without looking it up.” For example, if you said that the sky is blue, you would not have to cite this because most people know and accept this as fact.

The idea of common knowledge becomes tricky when you are doing academic writing. Sometimes, a fact is a common knowledge to the chosen audience for your work. For example, laws of physics may not be something the average person knows, but a physicist or scientist would, and you may not have to cite the place you found the law if you are writing for an academic group.

Some questions that can help you decide if something is common knowledge include:

  • Who is my intended audience?
  • What does my intended audience know?
  • Is this an accepted fact in my field or niche?
  • Is there a specific fact or statistic being cited, or just general knowledge they already know?

After answering these questions, you might have a better idea of whether or not your information is common knowledge. If it is, then you don’t have to cite it. If you are not sure, go ahead and cite it. Better to cite too often than to end up being guilty of plagiarism.

Paraphrasing and quoting both have a place in academic writing. However, quoting, which refers to using another writer’s exact words, needs to be sparse in your work. Writing a work primarily of quotes is not really writing; it’s just taking other people’s work and putting it together in a new format.

Paraphrasing is far more common. Paraphrasing keeps the original meaning of the work but changes the wording into your own words. This strategy shows that you have understood the meaning of the works you cite but have pulled that out and used it to support your ideas and thesis statement. Most of your academic writing should be paraphrased, supporting your thoughts, ideas, and conclusions.

Regardless of whether you are quoting or paraphrasing, you will need to cite your sources for any idea you use that is not common knowledge or your idea. If in doubt, cite your source to avoid falling victim to plagiarism, leading to academic dismissal or a failing grade on your project.

FAQs about Paraphrasing vs. Quoting

When paraphrasing something, you reword it but keep the main idea in place. The structure of the sentences and the words themselves must be different. When you quote something, you use the writer’s actual words word-for-word, placing the quote within quotation marks or blocking text.

No, but summarizing and paraphrasing are similar. You are condensing the original work into its main points when you summarize. When paraphrasing, you restate the work in your own words without condensing. Both require citations, and both are good strategies to use in an academic or research paper.

Integrating Sources Into Your Paper

Integrating sources into a paper can be challenging. How much of a source do you use? When should you use quotation marks? It is important to remember that you are the author of a paper, so sources are properly used to back up your own arguments, not state an argument in themselves, so how you use them depends on the structure of your paper and your argument.

Let's use this paragraph from a scholarly article to illustrate examples of quoting, paraphrasing, and summarizing a source

  • Use quotations when you are repeating something from a source exactly word for word .
  • You should use quotation marks even if you are only taking just a few words from a source .
  • Quotes can help lend authority to an initial argument, but should not be relied upon too heavily in a paper. If you find yourself quoting an entire paragraph, a paraphrasing or summary of that content may often be more appropriate.
  • Quotes can and should be used when the original author’s wording is unusual, unique, or memorably states a point.

Examples using the paragraph above: Randler (2009) states that late risers have “a high misalignment of social and biological time” which results in a mismatch between their natural schedules and the normal workday (p. 2793). or “People with a high misalignment of social and biological time may be less able to act in a proactive manner, probably because of sleep delay” (Randler, 2009, p. 2793).

Note that there are two ways to incorporate the source:

  • Single phrase – using the author’s name in your own narrative, and then incorporating their idea or words into a sentence (first example)
  • Direct quotation – Using the words or ideas of the source independently and adding the author’s name in the in-text citation (second example)

Paraphrasing

  • Paraphrasing is taking the idea of a sentence or passage, and putting it into your own words .
  • Paraphrasing is NOT copying the sentence and replacing or changing a few words to be different from the original. (This is called “patchwriting” and may trigger plagiarism-detecting programs.)
  • You should paraphrase when the idea or point is more important than the actual words used.
  • You should paraphrase when the words are complex but the point is simple.
  • Paraphrasing should remain faithful to the original meaning of the material.

Examples using the paragraph above: Randler (2009) states that people who are naturally morning people often also display traits that are considered proactive. He also suggests that late risers may not show as many proactive traits because they naturally operate on a different sleep schedule (p. 2793). or People who are naturally morning people have been shown to also display traits that are considered proactive, and late risers display fewer of these traits because they don’t get enough sleep on days when they have to go to work or school. (Randler, 2009, p. 2793).

Summarizing

  • As with paraphrasing, summarize when the idea or point is more important than the actual words used.
  • Summarizing can condense much more material than paraphrasing – even an entire book or article.
  • Summarizing can often lead into your own points on the material.

Examples using the paragraph above: Recent research shows that people who are not naturally early risers often have persistent issues adjusting themselves to the morning-oriented schedule of most schools and workplaces, and because of this may be less proactive in their behaviors (Randler, 2009). or The natural alignment of sleep schedules to work and school schedules allows early risers to have more energy and display proactive traits, while people who are natural late risers, and thus often combating sleep delay in adhering to regular schedules, display fewer of these traits (Randler, 2009).

Note that when summarizing, you do not always have to include the page number as you are summarizing the findings from the whole study, rather than just a small part of it.

Paraphrasing : How to Avoid Plagiarism

In general, it is best to use a quote when: 

  • The exact words of your source are important for the point you are trying to make.  This is especially true if you are quoting technical language, terms, or very specific word choices.  
  • You want to highlight your agreement with the author’s words. If you agree with the point the author of the evidence makes and you like their exact words, use them as a quote. 
  • You want to highlight your disagreement with the author’s words. In other words, you may sometimes want to use a direct quote to indicate exactly what it is you disagree about. This might be particularly true when you are considering the antithetical positions in your research writing projects.

In general, it is best to paraphrase when: 

  • There is no good reason to use a quote to refer to your evidence. If the author’s exact words are not especially important to the point you are trying to make, you are usually better off paraphrasing the evidence.
  • You are trying to explain a particular a piece of evidence in order to explain or interpret it in more detail. This might be particularly true in writing projects like critiques.  
  • You need to balance a direct quote in your writing. You need to be careful about directly quoting your research too much because it can sometimes make for awkward and difficult to read prose. So, one of the reasons to use a paraphrase instead of a quote is to create balance within your writing.

In MLA, in-text citations are inserted in the body of your research paper to briefly document the source of your information. Brief in-text citations point the reader to the full citation on the works cited list at the end of the paper.

Create in-text citations for the following:

  • Direct quotes

If you're using information from a single source more than once in succession (i.e., no other sources referred to in between), you can use a simplified in-text citation.

Cell biology is an area of science that focuses on the structure and function of cells (Smith 15). It revolves around the idea that the cell is a "fundamental unit of life" (17). Many important scientists have contributed to the evolution of cell biology. Mattias Jakob Schleiden and Theodor Schwann, for example, were scientists who formulated cell theory in 1838 (20). 

 Note: If using this simplified in-text citation creates ambiguity regarding the source being referred to, use the full in-text citation format.

What Is a Long Quotation?

If your quotation extends to more than four lines as you're typing your essay, it is a long quotation.

Rules for Long Quotations

There are 4 rules that apply to long quotations that are different from regular quotations:

  • The line before your long quotation, when you're introducing the quote, usually ends with a colon.
  • The long quotation is indented half an inch from the rest of the text, so it looks like a block of text.
  • There are no quotation marks around the quotation.
  • The period at the end of the quotation comes  before  your in-text citation as opposed to  after , as it does with regular quotations.

Example of a Long Quotation

At the end of  Lord of the Flies  the boys are struck with the realization of their behaviour:

The tears began to flow and sobs shook him. He gave himself up to them now for the first time on the island; great, shuddering spasms of grief that seemed to wrench his whole body. His voice rose under the black smoke before the burning wreckage of the island; and infected by that emotion, the other little boys began to shake and sob too . (Golding 186)

Direct Quote  - Add an in-text citation at the end of the quote with the author name and page number:

Mother-infant attachment has been a leading topic of developmental research since John Bowlby found that "children raised in institutions were deficient in emotional and personality development" (Hunt 358).

Authors Name in the Sentence & with a Direct Quote -  If you refer to the author's name in a sentence you do not have to include the name in the in-text citation, instead include the page number (if there is one) at the end of the quotation or paraphrased section. For example:

Hunt explains that mother-infant attachment has been a leading topic of developmental research since John Bowlby found that "children raised in institutions were deficient in emotional and personality development" (358).

No Page Numbers & with a Direct Quote -  When you quote from electronic sources that do not provide page numbers (like Web pages), cite the author name only.

"Three phases of the separation response: protest, despair, and detachment" (Garelli).

  Note: The period goes outside the brackets, at the end of your in-text citation.

In-Text Citation For One, Two, or More Authors/Editors

Author Known:

In-Text Citation For More Than One Source

If you would like to cite more than one source within the same in-text citation, simply record the in-text citations as normal and separate them with a semi-colon.

(Smith 42; Bennett 71). 

( It Takes Two ; Brock 43).

 Note: The sources within the in-text citation do not need to be in alphabetical order for MLA style.

When creating an in-text citation or full citation, the authors should be listed in the original order displayed on the item (book, article, ...). 

Do not include academic credentials (e.g., MD, MPH, PhD,. DDS) when citing doctors in the in-text or full citation. 

The writer may refer to the physician by Dr. (name), when writing a paraphrase or inserting a direct quotation, although, it is not required.

Using the medical credential in the sentence:

Dr. Higgins, said the reason behind the complication was "direct quote here" (257). 

Dr. Price realized that nutrition was tied to health outcomes and encountered this observation in various regions of the world during his travels (390). 

Omitting the medical credential from the sentence:

He sad the reason behind the complication was "direct quote here" (Higgins 257). 

Price observed that nutrition was tied to health outcomes and encountered this in various regions of the world during his travels (390). 

When you write information or ideas from a source in your own words, cite the source by adding an in-text citation at the end of the paraphrased portion.

Paraphrasing from One Page

Include a full in-text citation with the author name and page number (if there is one). For example:

Mother-infant attachment became a leading topic of developmental research following the publication of John Bowlby's studies (Hunt 65).

Hunt discussed mother-infant attachment becoming a leading topic of developmental research following the publication of John Bowlby's studies (65).

Paraphrasing from Multiple Pages

If the paraphrased information/idea is from several pages, include them. For example:

Mother-infant attachment became a leading topic of developmental research following the publication of John Bowlby's studies (Hunt 50, 55, 65-71).

Author Unknown:

  • If the author's name is not given, then use the first word or words of the title. Follow the same formatting that was used in the works cited list, such as quotation marks. This is a paraphrase ("Trouble" 22).
  • Where you'd normally put the author's last name, instead use the first one, two, or three words from the title. Don't count initial articles like "A", "An" or "The". You should provide enough words to make it clear which work you're referring to from your Works Cited list.
  • If the title in the Works Cited list is in italics, italicize the words from the title in the in-text citation.
  • If the title in the Works Cited list is in quotation marks, put quotation marks around the words from the title in the in-text citation.

Sometimes an author of a book, article or website will mention another person’s work by using a quotation or paraphrased idea from that source. ( This may be called a secondary source.) 

For example, the Kirkey article you are reading includes a quotation by Smith that you would like to include in your essay.

  • The basic rule: in your Works Cited and in-text citation you will still cite  Kirkey NOT Smith.
  • A dd the words “qtd. in” to your in-text citation.  

Examples of in-text citations :

According to a study by Smith (qtd. in Kirkey) 42% of doctors would refuse to perform legal euthanasia.

Smith (qtd. in Kirkey) states that “even if euthanasia was legal, 42% of doctors would be against this method of assisted dying” (A.10).

Example of Works Cited list citation:

Kirkey, Susan. "Euthanasia."  The Montreal Gazette , 9 Feb. 2013, p. A.10.  Canadian Newsstand Major Dailies.

Writing in college often means using ideas from other sources. There are times when it may be best to quote the sources directly, while other times may be better served by paraphrasing or summary. In order to decide which technique to use, it is helpful to think about how you are using the information in your paper.

Definitions

  • Quotation reproduces a statement word-for-word as it appears in its original source
  • Paraphrase explains a statement by using your own words and sentence structure
  • Summary explains a statement using your words, but typically condenses a larger statement into a shorter explanation

How to decide which approach to use

Direct quotations can be useful when the exact wording of a statement is important. The exact wording of a quotation may be significant to your claim. In example 1 below, the contrast between adjectives are important to the claim. Also, direct quotation may be important when you want to make sure you are being precise in representing the author’s position. Finally, you might choose to use a direct quotation when the original statement is particularly well written or structurally persuasive. If a statement uses elements such as parallelism or alliteration, you might not be able to recreate that same effect. An important element of the quotation in example 1 is the parallel structure between "lowest and vilest alleys" and "smiling and beautiful countryside."

When Sherlock tells Watson "the lowest and vilest alleys in London do not present a more dreadful record of sin than does the smiling and beautiful countryside,” he intensifies suspense by equating innocence with evil ("The Adventure of the Copper Beeches" 502).

Paraphrasing is usually expected in research and argumentative essays. These type of papers benefit from paraphrasing because it shows that you understand the source and are therefore a reliable voice on that source. Paraphrasing can make the evidence more straightforward. Another reason to paraphrase is to adjust your tone for your audience. If the assignment asks you to write a presentation for your classmates, you do not want to quote scientific jargon. Your source is only persuasive and supportive if your readers understand it. The paraphrase of the quotation below is shorter, and more direct.

Original quotation:  “In the case of Facebook, it has changed its format multiple times, and merged other literacy practices – email, instant messaging, games – into its structure in an attempt to keep users on the site” (Keller 2014, 74).

Paraphrase: Facebook has tried to hold on to its users by incorporating new functions like games and email (Keller 2014).

Summaries can also be used in reviews, research papers, and argumentative essays. They have a similar purpose as paraphrasing, but they condense a large work (i.e. an entire chapter, article, or book) into a shorter text such as a paragraph or a short essay. Summaries allow you to focus your description on  the parts that are relevant to your discussion. Example 3 briefly summarizes Anne of Green Gables, focusing on Anne as a strong female character and could lead into a discussion of how the series teaches girls self-respect while also cherishing romance.

Anne of Green Gables is a book series that follows the life of an unruly red-headed orphan as she grows from an romantic adolescent into an independent young woman.

When do I use in-text citations?

When should you add in-text citations in your paper , there are several rules of thumb you can follow to make sure that you are citing your paper correctly in apa 7 format. .

  • Think of your paper broken up into paragraphs. When you start a paragraph, the first time you add a sentence that has been paraphrased from a reference -> that's when you need to add an in-text citation. 
  • Continue writing your paragraph, you DO NOT need to add another in-text citation until:
  • You are paraphrasing from a NEW source, which means you need to cite NEW information OR
  • You need to cite a DIRECT quote, which includes a page number, paragraph number or Section title. 
  • Important to remember : You DO NOT need to add an in-text citation after EVERY sentence of your paragraph. 

Paragraph Rules of Thumb: Cite after 1st paraphrase, continue writing, add a new cite for a new source or a direct quote.

Paraphrasing

Paraphrasing is recreating someone else's ideas into your own words & thoughts, without changing the original meaning (gahan, 2020). .

Here are some best practices when you are paraphrasing: 

  • How do I learn to paraphrase?  IF you are thoroughly reading and researching articles or book chapters for a paper, you will start to take  notes in your own words . Those notes are the beginning of paraphrased information.
  • Read the original information, PUT IT AWAY, then rewrite the ideas in your own words . This is hard to do at first, it takes practice, but this is how you start to paraphrase. 
  • It's usually better to paraphrase, than to use too many direct quotes. 
  • When you start to paraphrase, cite your source. 
  • Make sure not to use language that is TOO close to the original, so that you are not committing plagiarism. 
  • Use  theasaurus.com  to help you come up with like/similar phrases if you are struggling. 
  • Paraphrasing (vs. using direct quotes) is important because it shows that YOU ACTUALLY UNDERSTAND the information you are reading. 
  • Paraphrasing ALLOWS YOUR VOICE to be prevalent in your writing. 
  • The best time to use direct quotes is when you need to give an exact definition, provide specific evidence, or if you need to use the original writer's terminology. 
  • BEST PRACTICE PER PARAGRAPH:  On your 1st paraphrase of a source, CITE IT. There is no need to add another in-text citation until you use a different source, OR, until you use a direct quote.

Parenthetical citation:  Following American Psychological Association (APA) style guidelines will help you to cultivate your own unique academic voice as an expert in your field (Forbes, 2020). 

Narrative citation : Forbes (2020) shared that by following American Psychological Association (APA) guidelines, students would learn to find their own voice as experts in the field of nursing. 

An example with 2 authors: 

Parenthetical citation:  Research on the use of progressive muscle relaxation for stress reduction has demonstrated the efficacy of the method (Bennett & Miller, 2019). 

Narrative citation:  As shared by Bennett and Miller (2019), research on the use of progressive muscle relaxation for stress reduction has demonstrated the efficacy of the method. 

An example with 3 authors: 

Parenthetical citation:  Guided imagery has also been shown to reduce stress, length of hospital stay, and symptoms related to medical and psychological conditions (Jones et al., 2020).

Narrative citation:  Jones et al. (2020) shared that guided imagery has also been shown to reduce stress, length of hospital stay, and symptoms related to medical and psychological conditions.

When should I use a direct quote in my paper? 

Direct quotes should only be used occasionally: 

  • When you need to share an exact definition 
  • When you want to provide specific evidence or information that cannot be paraphrased
  • When you want to use the original writer's terminology

, therefore you need a different way to cite the information for a direct quote. There are two ways to do this:

Short Quotation

When you quote directly (i.e. use the exact words) from a source, enclose the words in quotation marks and add the page number to the in-text citation. There are two basic formats which can be used.:

The homeless were typically neglected growing up since they "commonly come from families who are riddled with problems and marital disharmony" (Rokach, 2005, p. 477).

As Rokach (2005) notes, the homeless "often have no one to care for them and no one knows them intimately" (p. 477).

Option one is the standard APA in-text citation format for quoting. The second option is used when the author's name for the work being cited is written in the lead in sentence before the quote.

Long Quotation

What Is a Long Quotation?

If your quotation contains more than forty words, it is a considered a long quotation. This can also be referred to as a block quotation.

Rules for Long Quotations

There are 4 rules that apply to long quotations that are different from regular quotations:

  • Place a colon at the end of the line that you write to introduce your long quotation.
  • Indent the long quotation 0.5 inches from the rest of the text, so it looks like a block of text.
  • Do not put quotation marks around the quotation.
  • Place the period at the end of the quotation  before  your in-text citation instead of  after , as with regular quotations.

Example of a Long Quotation

At the end of Lord of the Flies the boys are struck with the realization of their behaviour:

The tears began to flow and sobs shook him. He gave himself up to them now for the first time on the island; great, shuddering spasms of grief that seemed to wrench his whole body. His voice rose under the black smoke before the burning wreckage of the island; and infected by that emotion, the other little boys began to shake and sob too. (Golding, 1960, p.186)

No Page Numbers

When you quote from electronic sources that do not provide page numbers (like Web pages), provide another way to locate the quoted passage. You can use any of the following approaches:

Option 1 : Provide a heading or section name

Bowlby described "three phases of the separation response: protest, despair, and detachment" (Garelli, 2001, Bowlby's Initial Stance section).

Option 2 : Provide an abbreviated heading or section name, in quotation marks (use this if the heading or section title is very long)         note: full section title is: Get a Litter Box and Take Care of Sleeping Arrangements

Unpleasant odors can be minimized "with scrupulous maintenance of your cat's litter box" (Syufy, 2019, "Get a Litter Box" section).

Option 3 : Provide a paragraph number (count manually if they are not numbered):

It is important to remember that "study habits are very personal and what works for one student may not work for another" (Bennett, 2017, para. 3).

Option 4 : Provide a heading or section name in combination with a paragraph number:

It has been shown that "moods can vary depending on weather conditions" (Stark, 2015, Mood and Weather section, para. 2).

If a source has no page numbers and there is only one paragraph, skip that part of the in-text citation. The in-text citation would have the author(s) last name(s) and the year, e.g. (Garellio, 2001).

No Author and/or No Date

No Known Author:

Note that in most cases where a personal author is not named, a group author may be cited instead (eg. Statistics Canada). However, in certain cases, such as religious ancient texts, the author is unknown. Where you'd normally put the author's last name, instead use the first one, two, or three words from the title. Don't count initial articles like "A", "An" or "The". You should provide enough words to make it clear which work you're referring to from your References List.

If the title in the References list is in italics, italicize the words from the title in the in-text citation.

If you are citing an article, a chapter of a book or a page from a website, put the words in double quotation marks.

Capitalize the titles using title case (every major word is capitalized) even if the reference list entry uses sentence case (only first word is capitalized).

Where you'd normally put the year of publication, instead use the letters "n.d.".

Paraphrases—rewordings of text—need to be cited. Paraphrasing without providing a citation is plagiarism. Even paraphrases with citations can be instances of plagiarism if they are so similar to the original that the paraphraser claims credit for the original author's language.

A paraphrase that avoids plagiarism:

  • cites the source of the material being paraphrased.
  • differs enough from the original that it doesn't require quotation marks.

Paraphrase Examples

Wines drunk at Greek tables did not always come from Greece itself. The wine snobbery of the time extolled the merits of wines from the slopes of Mount Lebanon, from Palestine, Egypt and Magna Graecia-Greater Greece, i.e., southern Italy. The ten litres a day drunk by the famous wrestler Milo of Croton was a wine famous in Calabria, where Milo lived: this wine, Ciro, is still made.

Wines drunk by Greeks were not always made in Greece itself. The wine snobs of that period celebrated wines from Mount Lebanon, Palestine, and Egypt. The famous wrestler Milo of Croton, who consumed ten liters of wine a day, drank wine made in Calabria outside of Greece; this wine, Ciro, is still made.

This paraphrase plagiarizes in two ways:

1. By having no citation, the paraphrase misleads readers into believing that the ideas, facts and sense of the passage are a result of the author's own research and knowledge.

2. The language of the paraphrase is too similar to the original. Even if the author had provided a citation, some instructors would consider this plagiarism.

Not Plagiarism:

Although Greeks were picky about their wine, they enjoyed wine from outside Greece. Upstanding Greeks enjoyed wine from many of Greece's local trading partners—including Palestine, Egypt and southern Italy. One story tells of the famous wrestler Milo of Croton, who consumed ten liters of foreign wine daily (Toussaint-Samat 263).

This paraphrase cites the original and rephrases its words to create an original construction.

Paraphrase that Uses Too Much of the Original Language

Up, up, up, groping through clouds for what seemed like an eternity....No amount of practice could have prepared them for what they encountered. B-24s, glittering like mica, were popping up out of the clouds all over the sky.

from Thomas Childers. Wings of morning: the story of the last American bomber shot down over Germany in World War II , Reading, Mass.: Addison-Wesley (1990), 83. 

Up, up, up he went, until he got above the clouds. No amount of practice could have prepared the pilot and crew for what they encountered-B-24s, glittering like mica, were popping up out of the clouds over here, over there, everywhere.

This comes from The Wild Blue: The Men and Boys Who Flew the B-24s over Germany  by Stephen E. Ambrose. Ambrose cites but does not quote Childers' original work despite using its imagery and language.  Ambrose should have either used Childers' passage as a direct quotation or modified his own passage so that it consisted of his own language.

Not Plagiarism

 Despite their training, the pilot and crew's experience was surreal and surprising, seeing for the first time "B-24s, glittering like mica, ... popping up out of the clouds all over the sky" (Ambrose 83).

Changes to Quotations

You can change direct quotations under certain circumstances. Some changes require you to explain the change, and others you can make without indicating the change to readers.

Changes to a quotation not requiring explanation

Some changes can be made to direct quotations without alerting readers:

  • The first letter of the first word in a quotation may be changed to an uppercase or a lowercase letter to fit the context of the sentence in which the quotation appears.
  • Some punctuation marks at the end of a quotation may be changed to fit the syntax of the sentence in which the quotation appears, as long as meaning is not changed (e.g., it might alter meaning to change a period to a question mark, depending on how the sentence is written).
  • Single quotation marks may be changed to double quotation marks and vice versa.
  • Footnote or endnote number callouts can be omitted.
  • Any other changes (e.g., italicizing words for emphasis or omitting words) must be explicitly indicated.

Other changes require you to alert reader to the change:

  • Use an ellipsis to indicate that you have omitted words within a quotation (e.g., to shorten a sentence or tie two sentences together).
  • Either type three periods with spaces around each ( . . . ) or use the ellipsis character created by your word processing program when you type three periods in a row ( … ), with a space before and after.
  • Use four periods—that is, a period plus an ellipsis (. … )—to show a sentence break within omitted material, such as when a quotation includes the end of one sentence and the beginning of another sentence.
  • Use square brackets, not parentheses, to enclose material such as an addition or explanation you have inserted in a quotation.
  • If you want to emphasize a word or words in a quotation, use italics. Immediately after the italicized words, insert “emphasis added” within square brackets as follows: [emphasis added].

If the quotation contains an error, it is necessary to indicate the error .

A bizarre quote by Vice President Kamala Harris—“You think you just fell out of a coconut tree?”—is going viral once again as she mounts her presidential campaign after President Joe Biden dropped out of the race following his rough debate performance, with supporters and even other politicians adopting coconut emojis and memes inspired by the quote on social media to demonstrate support for Harris.

Harris’ quote: “You think you just fell out of a coconut tree? You exist in the context of all in which you live and what came before you,” which she said at a White House event last year, has become an ironic slogan in support of the vice president as she campaigns for the presidency.

Some supporting Harris have referred to her candidacy as “Operation Coconut Tree,” said they’re “ coconut-pilled ” and have used the coconut emoji in social media posts or their display names on X, formerly known as Twitter, to demonstrate support for the vice president.

Gov. Jared Polis, D-Colo., used a coconut emoji on X in his endorsement of Harris, and Sen. Brian Schatz, D-Hawaii, posted a picture of himself climbing a coconut tree to announce his support for the vice president.

The official campaign account on X, Kamala HQ , which has embraced various memes of Harris as she launches her campaign, updated its bio in an apparent nod to the quote: “Providing context.”

Chi Ossé, a Democratic member of the New York City Council, posted a video edit of various clips of Harris, captioned: “Coconut tree summer.”

Several users used the meme to defend Harris as their pick to replace Biden, instead of a different candidate at a possible open convention , pointing out another candidate “can't just fall out of a coconut tree.”

In an unprecedented move, Biden dropped his 2024 bid on Sunday and endorsed Harris as his successor, ending more than three weeks of chaos as Democrats urged Biden to step aside due to his rocky debate performance and worries about his age. Harris had remained publicly supportive of Biden before he bowed out of the race, but some Democrats still argued Harris should replace Biden. Harris has since earned many key endorsements , including from Former House Speaker Nancy Pelosi, D-Calif, former President Bill Clinton and former Secretary of State Hillary Clinton and many Democrats in Congress.

Why Did Harris Say The “coconut Tree” Quote?

Harris made her “coconut tree” remarks on May 10, 2023 at the White House while swearing in the President’s Advisory Commission on Advancing Educational Equity, Excellence, and Economic Opportunity for Hispanics. Harris spoke about the importance of equity in education policy, noting that not all students are offered the same opportunities to succeed, depending on financial resources and the environments they are raised in. She said “none of us just live in a silo” and “everything is in context,” adding that creating educational equity also depends on providing for the needs of parents, grandparents and communities, before telling a personal anecdote near the conclusion of her speech. “My mother used to — she would give us a hard time sometimes, and she would say to us, ‘I don’t know what’s wrong with you young people. You think you just fell out of a coconut tree?’” Harris said, while laughing. “You exist in the context of all in which you live and what came before you.”

Key Background

The “coconut tree” quote had already gone viral on social media, particularly TikTok, on which thousands of users have posted videos using Harris’ remarks as the audio. Users made jokes about Harris’ change in tone from lighthearted to serious before and after the “coconut tree” sentence and how the quote makes little sense out of context. “How I feel putting my glasses on in the middle of a conversation,” one TikTok user joked, putting on her glasses as Harris adopts a more serious tone after the “coconut tree” sentence. Another user joked the quote sounds like “when you and your friends are in bed after going out and you’re still drunk.” One user said the clip sounds like “me and my friend having two separate conversations on two different apps at the same time,” poking fun at how the quote is seemingly nonsensical out of context. Rapper Doja Cat tweeted part of Harris’ quote last month. The quote has also been used by Republicans and Harris’ detractors as a point of criticism. The GOP War Room YouTube account, which posts clips of Democratic politicians appearing to make gaffes or slip-ups, posted a video of Harris’ “coconut tree” quote on the day she made the remarks, which has since garnered more than 137,000 views.

Surprising Fact

Before the “coconut tree” quote became a rallying cry in support of Harris, Republicans had attempted to use it as a dig at the vice president. The RNC Research X account, which is managed by Trump’s campaign and the Republican National Committee, and the GOP War Room YouTube account both posted short clips of Harris saying the “coconut tree” quote on May 10, 2023, the day she made the remarks.

The Criteria We Consider

When reviewing an application, we implement a holistic review process, which includes looking at some of the following criteria:

  • Achievement in high school or college coursework
  • Personal qualities
  • Likely contributions to the intellectual and cultural vitality of our campus
  • Achievement in academic enrichment programs
  • Other achievements in any field of intellectual or creative endeavor, including the performing arts, athletics, community service, etc.

Academic Preparation

You must complete 15 A-G courses with at least 11 courses finished prior to the beginning of your last year of high school. To be competitive in the UCLA admission process, applicants should present an academic profile much stronger than any minimum UC admission requirements.  See below for a listing of the A-G requirements:

  • 2 years history/social science
  • 4 years of college-preparatory English
  • 3 years of mathematics (4 years recommended)
  • 2 years of laboratory science (3 years recommended)
  • 2 years of language other than English (3 years recommended)
  • 1 year of visual and performing arts (if available)
  • 1 year of college-preparatory elective

Keep in mind that there is no single academic path we expect all students to follow. However, competitive applicants earn high marks in the most rigorous curriculum available to them.   Each application for admission is reviewed within the context of courses available to that student. If a particular required subject is not available, we’ll consider your application without it.

Standardized Testing (SAT/ACT)

UCLA will not consider SAT or ACT scores for admission or scholarship purposes.

If you choose to submit test scores as part of your application, they may be used as an alternative method of fulfilling minimum requirements for eligibility or for course placement after you enroll.

Personal Insight Questions

These personal questions are just that — personal. This is your chance to augment the information elsewhere in your application and give us more insight into you during the review process.  Our hope is to hear your true, authentic voice in your responses.   As a first-year applicant, you may respond to four of eight questions. Each response is limited to a maximum of 350 words. Which questions you choose to answer is entirely up to you. You should select questions that are most relevant to your experience and that best reflect your individual circumstances.

Frequently Asked Questions

Because we receive more applicants than we have room to accept, admitted students usually have academic achievements far higher than the minimum requirements. So, to be “competitive” is to be among the strongest achieving students to apply.

We look for students who take advantage of the academic opportunities available to them. If you have advanced courses, we encourage you to take advantage of them. The University of California adds extra weight to grades received in UC-certified honors, AP, IB and transferable college courses.

We do not require or accept letters of recommendation in our process and we do not collect transcripts at the point of application . However, once admitted, students are required to submit official transcripts f rom any high school or college they have attended . Some professional schools may request a letter of recommendation as part of their supplemental application process.

We do not offer admission interviews. Applicants are considered for admission based upon the information they submit in the UC application . However, some majors in our  specialty schools require a supplemental application as part of their admission process. Supplemental applications may involve an audition, portfolio submission and/or letters of recommendation. Find out more from the supplemental applications page.

Supplemental Applications

Of course, a strong academic performance combined with sustained, meaningful involvement in extracurricular activities is the ideal. But if it comes down to a choice between excelling in your coursework or your extracurricular activities, choose your academics.

UCLA will honor full IGETC certification from a first-year student if the requirements were completed before entering UC. Partial IGETC, however, will not be accepted from entering first-years at any UC campus and IGETC is not recommended for applicants to the School of Engineering and Applied Sciences.
