Most speaking opportunities have time constraints, whether explicit or implicit. If you go far over the time, you risk a negative impact on your grade or evaluation, losing your audience’s attention, and even your own focus. Sometimes running over your speaking time indicates a lack of preparation or a lack of understanding of your material.

How to Shorten

Cutting down the length of your speech can seem daunting, but there are some simple things you can do to help:

  • Keep your focus on what you want to accomplish. If you cannot state the main point of your presentation in one sentence, you are probably not focused enough.
  • Narrow the points you want to make — ask yourself if each of the points you included really helps your overall focus. If not, cut it.
  • Break your speech into sections (e.g., introduction, main point 1, main point 2...). Look for places to tighten each of those sections.
  • Ask yourself if each detail or example is necessary. Often, one direct example is more impactful than a long list of tangential examples.
  • Practice! While you may not always hit the exact same time with each rehearsal, you should gain a better sense of your time. Plan for certain time points within the practices so that you know that if you haven't gotten to a certain point in the speech by a given time, you are running long.
  • Have someone else listen. Another set of ears (whether an OCC tutor or a friend) can provide valuable feedback about times when the focus strays or when examples could be cut.

How to Shorten a Speech or Presentation

Abraham Lincoln used only 272 words when he wrote the Gettysburg Address. It remains not only one of America’s most famous presentations but also a seminar in delivering big ideas in a small amount of time. It took him about two minutes to deliver the Gettysburg Address.

When was the last time you heard someone say at the end of a speech or presentation, “Wow, I wish that had been longer?” Probably never. The challenge with speeches and presentations isn’t making them longer. It’s making them shorter.

Legend has it Mark Twain once wrote a friend a three-page letter then added the post script, “Sorry I wrote such a long letter. Didn’t have time to write a shorter one.” Mark Twain understood an essential principle: Making things shorter requires editing, and that takes time.

Here are three ways (that won’t take too much time) that will help you shorten your speech or presentation:

  • Use Word Count

If you wrote out your speech or presentation, use your word processor’s word count tool. Whatever number you get, cut it in half. That smaller word count number is the ideal length of the speech or presentation. Cut out as much as possible to get down to that smaller word count without cutting out any essential ideas.

2. Build Around Three Big Ideas

Ask yourself, when this speech or presentation is finished what are the three big ideas I want people to remember and talk about? Three. Not four. Not five. Three. I originally set out to share five ways to shorten a speech or presentation. Once I began writing this section, I followed my own advice and made it three. Most people can remember one, two, or three things from watching a TV show, seeing a movie, reading an article, or sitting through a speech or presentation. Limit your big picture target to three things. If you currently have more than three in your speech/presentation, do what I did: Take them out.

3. Eliminate the Overview Slide

Great movies don’t start with a PowerPoint slide that outlines everything you’ll see in the movie. Why should presentations? Probably because either your boss told you to do that or because you’ve seen so many other presentations that did that. It doesn’t work. It bores people. Just get started. If you’re compelling the audience will follow you. If you’re not compelling you’ll lose the audience at the opening slide because they’ll see how much you’re going to cover, exhale, and start looking at their phone. Just get going. You speech or presentation will get up to speed much quicker and your audience will appreciate it.

At first, like Mark Twain, you’ll discover that it takes a little longer to come in a little tighter, but here’s something Mark Twain never got around to mentioning: As these practices become a habit, they’ll shave time off preparation because you will think more freely at first, knowing you’ll cut it down. You’ll build around three ideas in the first place, and you’ll start to uncouple the beginning of your program from PowerPoint.

Five Ways to Shorten a Speech

Most speeches can be dramatically improved by cutting down on their length.

If you doubt me, ask yourself when was the last time you wished a speaker had gone on longer.

Pity your poor audience. They’re drowning in facts and data, images and options. They have too much to do in too little time. Even while attending a morning presentation, they’re already behind schedule. As you speak, a clock ticks in the back of their minds, reminding them they’re late for their next engagement.

When you want to win people’s attention and cooperation, be brief.

1. Get to the Point.

Tell your audience straightaway what you’re talking about, what you’re going to cover and in what order

2. Sum Up Your Speech.

If you can’t state your main point in one sentence, you’re probably trying to accomplish too much.

3. Eliminate Opening Pleasantries.

Don’t waste time saying, “I’m happy to be here with you today to talk about a very important subject.” Cut to the chase. Don’t tell people what you have to say is important. Show them how important it is by getting right to it.

4. Break Your Speech into Three Elements.

What? What is your main idea or proposal? What product, service, process, or procedure are you talking about? Name it. Describe it. Explain it.

Why? Why does what you’re talking about matter to your audience? Why should they care? (Hint: show them how it will benefit them.)

How? How does it work? How can your audience use it? How is it better (more effective, less expensive, etc.) than the alternatives? How can the audience use the information you’re giving them?

5. Stop Talking When You’re Finished.

Stop talking and sit down when you’ve finished. Going on and on when you’ve already made your point will only weaken your impact. Write out your last sentence or two and memorize it. It sounds ridiculous to say, but end when you’re done. Shakespeare said, “Brevity is the soul of wit.” It’s also the bones and sinew of a strong, persuasive speech. Next time you give a speech, try it. Be brief and you’ll punch up the persuasive power of your speech.

You can shorten your presentation without losing impact.

Imagine, you’ve done all the work to prepare and rehearse a major presentation and at the last minute you’re told, “I’m so sorry, but we’re short on time. Can you give us the five-minute version?”

Is it possible to shorten a presentation without losing all of your impact? Yes. Don’t panic. After all, a sound bite is often more powerful than a lengthy dissertation. Here’s how to condense your speech without losing impact:

1. Don’t apologize or mention that you usually have much more time. Find confidence in the fact you’ve prepared. You can still get your central message across in five minutes. 2. Begin quickly. Start with an attention-getting statement such as, “Your job won’t exist five years from now,” or “I will convince you the best action to take is…”

3. Use a strongly visual story. A very brief story can illustrate your point – how it is now, how it will or could be. Choose a story so vivid that the audience can “see” it.

4. Divide your five minutes into three parts. For example, you might present a problem, your solution, and the payoff.  For example: “The best advice I can give you in facing this challenge today is…” Then, let your story illustrate and support your point. In closing, your words should emphasize the positive outcome your audience can expect when they go with your solution or approach to the challenge.

Whether in a work meeting or at an investor panel, you might give a speech at some point. And no matter how excited you are about the opportunity, the experience can be nerve-wracking . 

But feeling butterflies doesn’t mean you can’t give a great speech. With the proper preparation and a clear outline, apprehensive public speakers and natural wordsmiths alike can write and present a compelling message. Here’s how to write a good speech you’ll be proud to deliver.

What is good speech writing?

Good speech writing is the art of crafting words and ideas into a compelling, coherent, and memorable message that resonates with the audience. Here are some key elements of great speech writing:

  • It begins with clearly understanding the speech's purpose and the audience it seeks to engage. 
  • A well-written speech clearly conveys its central message, ensuring that the audience understands and retains the key points. 
  • It is structured thoughtfully, with a captivating opening, a well-organized body, and a conclusion that reinforces the main message. 
  • Good speech writing embraces the power of engaging content, weaving in stories, examples, and relatable anecdotes to connect with the audience on both intellectual and emotional levels. 

Ultimately, it is the combination of these elements, along with the authenticity and delivery of the speaker , that transforms words on a page into a powerful and impactful spoken narrative.

What makes a good speech?

A great speech includes several key qualities, but three fundamental elements make a speech truly effective:

Clarity and purpose

Remembering the audience, cohesive structure.

While other important factors make a speech a home run, these three elements are essential for writing an effective speech.

The main elements of a good speech

The main elements of a speech typically include:

  • Introduction: The introduction sets the stage for your speech and grabs the audience's attention. It should include a hook or attention-grabbing opening, introduce the topic, and provide an overview of what will be covered.
  • Opening/captivating statement: This is a strong statement that immediately engages the audience and creates curiosity about the speech topics.
  • Thesis statement/central idea: The thesis statement or central idea is a concise statement that summarizes the main point or argument of your speech. It serves as a roadmap for the audience to understand what your speech is about.
  • Body: The body of the speech is where you elaborate on your main points or arguments. Each point is typically supported by evidence, examples, statistics, or anecdotes. The body should be organized logically and coherently, with smooth transitions between the main points.
  • Supporting evidence: This includes facts, data, research findings, expert opinions, or personal stories that support and strengthen your main points. Well-chosen and credible evidence enhances the persuasive power of your speech.
  • Transitions: Transitions are phrases or statements that connect different parts of your speech, guiding the audience from one idea to the next. Effective transitions signal the shifts in topics or ideas and help maintain a smooth flow throughout the speech.
  • Counterarguments and rebuttals (if applicable): If your speech involves addressing opposing viewpoints or counterarguments, you should acknowledge and address them. Presenting counterarguments makes your speech more persuasive and demonstrates critical thinking.
  • Conclusion: The conclusion is the final part of your speech and should bring your message to a satisfying close. Summarize your main points, restate your thesis statement, and leave the audience with a memorable closing thought or call to action.
  • Closing statement: This is the final statement that leaves a lasting impression and reinforces the main message of your speech. It can be a call to action, a thought-provoking question, a powerful quote, or a memorable anecdote.
  • Delivery and presentation: How you deliver your speech is also an essential element to consider. Pay attention to your tone, body language, eye contact , voice modulation, and timing. Practice and rehearse your speech, and try using the 7-38-55 rule to ensure confident and effective delivery.

While the order and emphasis of these elements may vary depending on the type of speech and audience, these elements provide a framework for organizing and delivering a successful speech.

How to structure a good speech

You know what message you want to transmit, who you’re delivering it to, and even how you want to say it. But you need to know how to start, develop, and close a speech before writing it. 

Think of a speech like an essay. It should have an introduction, conclusion, and body sections in between. This places ideas in a logical order that the audience can better understand and follow them. Learning how to make a speech with an outline gives your storytelling the scaffolding it needs to get its point across.

Here’s a general speech structure to guide your writing process:

  • Explanation 1
  • Explanation 2
  • Explanation 3

How to write a compelling speech opener

Some research shows that engaged audiences pay attention for only 15 to 20 minutes at a time. Other estimates are even lower, citing that people stop listening intently in fewer than 10 minutes . If you make a good first impression at the beginning of your speech, you have a better chance of interesting your audience through the middle when attention spans fade. 

Implementing the INTRO model can help grab and keep your audience’s attention as soon as you start speaking. This acronym stands for interest, need, timing, roadmap, and objectives, and it represents the key points you should hit in an opening. 

Here’s what to include for each of these points: 

  • Interest : Introduce yourself or your topic concisely and speak with confidence . Write a compelling opening statement using relevant data or an anecdote that the audience can relate to.
  • Needs : The audience is listening to you because they have something to learn. If you’re pitching a new app idea to a panel of investors, those potential partners want to discover more about your product and what they can earn from it. Read the room and gently remind them of the purpose of your speech. 
  • Timing : When appropriate, let your audience know how long you’ll speak. This lets listeners set expectations and keep tabs on their own attention span. If a weary audience member knows you’ll talk for 40 minutes, they can better manage their energy as that time goes on. 
  • Routemap : Give a brief overview of the three main points you’ll cover in your speech. If an audience member’s attention starts to drop off and they miss a few sentences, they can more easily get their bearings if they know the general outline of the presentation.
  • Objectives : Tell the audience what you hope to achieve, encouraging them to listen to the end for the payout. 

Writing the middle of a speech

The body of your speech is the most information-dense section. Facts, visual aids, PowerPoints — all this information meets an audience with a waning attention span. Sticking to the speech structure gives your message focus and keeps you from going off track, making everything you say as useful as possible.

Limit the middle of your speech to three points, and support them with no more than three explanations. Following this model organizes your thoughts and prevents you from offering more information than the audience can retain. 

Using this section of the speech to make your presentation interactive can add interest and engage your audience. Try including a video or demonstration to break the monotony. A quick poll or survey also keeps the audience on their toes. 

Wrapping the speech up

To you, restating your points at the end can feel repetitive and dull. You’ve practiced countless times and heard it all before. But repetition aids memory and learning , helping your audience retain what you’ve told them. Use your speech’s conclusion to summarize the main points with a few short sentences.

Try to end on a memorable note, like posing a motivational quote or a thoughtful question the audience can contemplate once they leave. In proposal or pitch-style speeches, consider landing on a call to action (CTA) that invites your audience to take the next step.

How to write a good speech

If public speaking gives you the jitters, you’re not alone. Roughly 80% of the population feels nervous before giving a speech, and another 10% percent experiences intense anxiety and sometimes even panic. 

The fear of failure can cause procrastination and can cause you to put off your speechwriting process until the last minute. Finding the right words takes time and preparation, and if you’re already feeling nervous, starting from a blank page might seem even harder.

But putting in the effort despite your stress is worth it. Presenting a speech you worked hard on fosters authenticity and connects you to the subject matter, which can help your audience understand your points better. Human connection is all about honesty and vulnerability, and if you want to connect to the people you’re speaking to, they should see that in you.

1. Identify your objectives and target audience

Before diving into the writing process, find healthy coping strategies to help you stop worrying . Then you can define your speech’s purpose, think about your target audience, and start identifying your objectives. Here are some questions to ask yourself and ground your thinking : 

  • What purpose do I want my speech to achieve? 
  • What would it mean to me if I achieved the speech’s purpose?
  • What audience am I writing for? 
  • What do I know about my audience? 
  • What values do I want to transmit? 
  • If the audience remembers one take-home message, what should it be? 
  • What do I want my audience to feel, think, or do after I finish speaking? 
  • What parts of my message could be confusing and require further explanation?

2. Know your audience

Understanding your audience is crucial for tailoring your speech effectively. Consider the demographics of your audience, their interests, and their expectations. For instance, if you're addressing a group of healthcare professionals, you'll want to use medical terminology and data that resonate with them. Conversely, if your audience is a group of young students, you'd adjust your content to be more relatable to their experiences and interests. 

3. Choose a clear message

Your message should be the central idea that you want your audience to take away from your speech. Let's say you're giving a speech on climate change. Your clear message might be something like, "Individual actions can make a significant impact on mitigating climate change." Throughout your speech, all your points and examples should support this central message, reinforcing it for your audience.

4. Structure your speech

Organizing your speech properly keeps your audience engaged and helps them follow your ideas. The introduction should grab your audience's attention and introduce the topic. For example, if you're discussing space exploration, you could start with a fascinating fact about a recent space mission. In the body, you'd present your main points logically, such as the history of space exploration, its scientific significance, and future prospects. Finally, in the conclusion, you'd summarize your key points and reiterate the importance of space exploration in advancing human knowledge.

5. Use engaging content for clarity

Engaging content includes stories, anecdotes, statistics, and examples that illustrate your main points. For instance, if you're giving a speech about the importance of reading, you might share a personal story about how a particular book changed your perspective. You could also include statistics on the benefits of reading, such as improved cognitive abilities and empathy.

6. Maintain clarity and simplicity

It's essential to communicate your ideas clearly. Avoid using overly technical jargon or complex language that might confuse your audience. For example, if you're discussing a medical breakthrough with a non-medical audience, explain complex terms in simple, understandable language.

7. Practice and rehearse

Practice is key to delivering a great speech. Rehearse multiple times to refine your delivery, timing, and tone. Consider using a mirror or recording yourself to observe your body language and gestures. For instance, if you're giving a motivational speech, practice your gestures and expressions to convey enthusiasm and confidence.

8. Consider nonverbal communication

Your body language, tone of voice, and gestures should align with your message . If you're delivering a speech on leadership, maintain strong eye contact to convey authority and connection with your audience. A steady pace and varied tone can also enhance your speech's impact.

9. Engage your audience

Engaging your audience keeps them interested and attentive. Encourage interaction by asking thought-provoking questions or sharing relatable anecdotes. If you're giving a speech on teamwork, ask the audience to recall a time when teamwork led to a successful outcome, fostering engagement and connection.

10. Prepare for Q&A

Anticipate potential questions or objections your audience might have and prepare concise, well-informed responses. If you're delivering a speech on a controversial topic, such as healthcare reform, be ready to address common concerns, like the impact on healthcare costs or access to services, during the Q&A session.

By following these steps and incorporating examples that align with your specific speech topic and purpose, you can craft and deliver a compelling and impactful speech that resonates with your audience.

Tools for writing a great speech

There are several helpful tools available for speechwriting, both technological and communication-related. Here are a few examples:

  • Word processing software: Tools like Microsoft Word, Google Docs, or other word processors provide a user-friendly environment for writing and editing speeches. They offer features like spell-checking, grammar correction, formatting options, and easy revision tracking.
  • Presentation software: Software such as Microsoft PowerPoint or Google Slides is useful when creating visual aids to accompany your speech. These tools allow you to create engaging slideshows with text, images, charts, and videos to enhance your presentation.
  • Speechwriting Templates: Online platforms or software offer pre-designed templates specifically for speechwriting. These templates provide guidance on structuring your speech and may include prompts for different sections like introductions, main points, and conclusions.
  • Rhetorical devices and figures of speech: Rhetorical tools such as metaphors, similes, alliteration, and parallelism can add impact and persuasion to your speech. Resources like books, websites, or academic papers detailing various rhetorical devices can help you incorporate them effectively.
  • Speechwriting apps: Mobile apps designed specifically for speechwriting can be helpful in organizing your thoughts, creating outlines, and composing a speech. These apps often provide features like voice recording, note-taking, and virtual prompts to keep you on track.
  • Grammar and style checkers: Online tools or plugins like Grammarly or Hemingway Editor help improve the clarity and readability of your speech by checking for grammar, spelling, and style errors. They provide suggestions for sentence structure, word choice, and overall tone.
  • Thesaurus and dictionary: Online or offline resources such as thesauruses and dictionaries help expand your vocabulary and find alternative words or phrases to express your ideas more effectively. They can also clarify meanings or provide context for unfamiliar terms.
  • Online speechwriting communities: Joining online forums or communities focused on speechwriting can be beneficial for getting feedback, sharing ideas, and learning from experienced speechwriters. It's an opportunity to connect with like-minded individuals and improve your public speaking skills through collaboration.

Remember, while these tools can assist in the speechwriting process, it's essential to use them thoughtfully and adapt them to your specific needs and style. The most important aspect of speechwriting remains the creativity, authenticity, and connection with your audience that you bring to your speech.

5 tips for writing a speech

Behind every great speech is an excellent idea and a speaker who refined it. But a successful speech is about more than the initial words on the page, and there are a few more things you can do to help it land.

Here are five more tips for writing and practicing your speech:

1. Structure first, write second

If you start the writing process before organizing your thoughts, you may have to re-order, cut, and scrap the sentences you worked hard on. I remember hearing an Ice Breaker in my Toastmasters club that went on for 13 minutes. When the new member who gave the speech was told of this faux pas, she was so embarrassed she almost quit. How I have often wished other long-winded speakers were as sensitive.

Why does any speaker go too long?

Because "they didn't plan and rehearse,"?says Tim Bete, director of the University of Dayton's Erma Bombeck Writers Workshop. "There's no reason to go long unless you ramble and get off topic.

"It's better to keep on schedule and allow time for attendees to ask questions at the end of your speech,"�he adds.

Darren _ LaCroix, a professional speaker and Toastmasters' 2001 World Champion of Public Speaking, says presenters need to know exactly what they want their speeches to accomplish.

The Price of Longwindedness

What's so bad about going over the time limit?

If you're speaking at a conference, you can cause a whole host of problems.

Presenters who can't rein in their speeches lose out in other ways, too. Talks that are too long rarely impress the audience, and listeners may miss the point of the speech - or worse.

"The immediate effect is that the audience is irritated,"?says Max Dixon, a professional speaking coach and consultant. "They look at their watches. One of my favorite speakers wanted to end [his presentation] on time but waited until the last three or four minutes to wind down. He started talking faster about one of the more important things; everyone knew he wasn't going to make it.

How to Shorten a Long Speech?

It's not easy. LaCroix has to force himself to scale back. On his world championship speech, he did a Herculean job of editing, chopping his presentation from its original length of 1,400 words.

Care enough about your message and your audience to edit your talk and give listeners the best information you have. Next, ask yourself, "What difference can I make in the allotted time I have?"

It's better to present sufficient information on a few selected topics, and inform your audience, than to touch inadequately on too many points, leaving your audience at a loss to understand what they just witnessed.

Have you ever been in a situation where you were told you'd have 30 minutes to speak - then when you arrived at the event, were asked to do it in 20 instead?

It may not happen at a Toastmasters gathering, but "it happens all the time in the 'real world,'"?says LaCroix. "Quite often I'm asked to give an hour-long speech, then I get to the place and find I have only 35 minutes."

But how do you cut down a speech on the spot?

Bete says he always organizes his speeches into separate sections.

"So it would be relatively easy to drop a section to shorten a speech,"?he notes.

He also says you should be over-prepared - yet ready to cut.

And, of course, make sure you practice.

"Lack of practice can lead to forgetting parts of the speech, or to long silent pauses that waste time,"?says Fred Price, Ph.D., who has taught many technical seminars as well as attending his fair share of them.

He suggests eliminating examples from a speech that are too complicated given the time limit. Also, avoid the tendency to use too many examples to make a single point.

  • People can watch you live, in person, and in three dimensions.
  • You can more easily convey warmth, emotion, and passion.
  • Audience interaction is more fluid and natural.
  • You can harness and feed off the energy in the room.
  • You can better gauge your audience’s response, making adjustments as you go.

All of that is vastly different from what you can accomplish in a memo, an online chat, or even a Skype session or Google Hangout.

So the question is, how can you put all those advantages to work for you? You can start by focusing less on information and more on inspiration. Less on lecture and more on conversation.

3. Don’t Settle for Sharing Information

A classic approach is to ask yourself what you want your audience to know, feel and do.

Unfortunately, most presentations emphasize just the “know” part of the formula. That’s the easy stuff—the information, the data.

Merely passing along information is the very least you can accomplish with a speech. If that’s all you’re doing, you might as well just send the audience a memo .

You’ve got these people in a room together—don’t squander that opportunity. Make your presentation about something more.

4. Appeal to Emotion

Countless studies have shown that you can throw all the facts you want at people, but you’re not going to change their minds unless you win their hearts.

Do you want them to feel:

  • Challenged?
  • Admonished?

Focusing on emotion helps you avoid the dreaded data dump and it provides the trigger that gets your audience to the next phase: the doing.

5. Drive Them to Act

Action is what it’s all about. Do you want them to:

  • Hire your firm?
  • Buy your product?
  • Implement your idea?
  • Approve your project or budget?
  • Join your cause?
  • Seek more information?

Whatever action you want them to take, make it clear, and let that serve as a filter for the information you choose to include and omit from your speech.

6. Stick to Your Point

Make the desired action your objective. And if you’re in the unfortunate position of writing by committee, or passing the draft around for approval, put the objective at the top of the document. That way, people at every stage of the review process are reminded of the speech’s purpose .

This helps reduce mission creep—the tendency for a presentation to expand and go off course because everyone has an idea for one more essential piece of information that absolutely, positively must be included.

If that starts to happen, point to the objective and remind people that the speech is not the one and only opportunity to get the message across.

7. Focus on Three Things

Steve Jobs was famous for focusing his presentation on just three points . It’s the way our brains work. We can grasp only a handful of ideas at a time—about three to five.

Plus, of course, if you’ve only got 20 minutes, you’re not going to have much time for more than three.

So take a look at your content and think about the three most important things for your audience to know. Make your speech about those three things and throw out the rest.

Leave Them Wanting More

With a short presentation especially, your goal should be to call your audience’s attention to an issue or problem, suggest a solution, hit a few key points, and get them intrigued enough to want to know more.

Remember, if you try to say everything, you’ll end up communicating nothing.

Sample Public Speaking Scenario

Here's a possible public speaking scenario:

You've just opened a small web design business in your town, and you join the town Chamber of Commerce. As a result, you're invited to give a short, five-minute presentation at the next Chamber of Commerce meeting.

Coming up with a public speaking speech for the scenario described above could be a challenge if you've never written or given a public speech before. Fortunately, there are some speech-writing steps that you can use that'll make speech writing easier.

Let's use this example and walk through the steps for writing a speech.

7 Steps for Writing a Speech

The steps for writing a speech for public speaking are like the steps for writing a presentation in general. But at each stage of the writing process, you need to keep your audience in mind:

1. Research Your Audience

Whenever you do any type of writing you need to consider who you're trying to reach with your writing. Speech writing is no different. The more you know about your target audience, the more effective your writing will be.

In the example above, you know that your audience is going to be the other members of the Chamber of Commerce. They're likely to be small business owners just like you are.

Knowing your audience is important in great speech writing.

What to Do After You Research Your Audience:

Once you've defined your audience, you can gear your speech towards them. To do this, ask yourself questions like:

  • What does this audience need?
  • What problem can I solve for them?
  • Is there anything else I need to consider about my listeners?

In the example we're using for this tutorial, most small businesses in your town fit one of the following three situations:

  • They've got a website that works well.
  • They've got a website, but the design is outdated or doesn't work well.
  • They don't have a website.

2. Select a Topic

In this example your topic is already given. You've been invited to introduce your business. But you also know that the speech is going to be fairly short--only five minutes long.

While it's always a good idea to keep a speech focused, this is especially important for a short speech.

If I were writing the public speaking speech for the scenario we're working with, I'd narrow the topic down like this:

  • Create a list of the strengths of my business.
  • Compare the list of business strengths to the problems I observed with the other members' websites in the previous step.
  • Focus my presentation on the areas where my business strengths meet weaknesses (needs) of other Chamber of Commerce members.

Let's say that I noticed that quite a few members of the chamber have websites that use outdated fonts, and the sites aren't mobile-friendly. Instead of listing everything my web design business could possibly do, I'd focus my short speech on those areas where I observed a need.

You can use a similar process to narrow the topic down any time you need to write a speech.

Avoid the temptation of trying to cover too much information. Most people are so overwhelmed by the sheer amount of new data they receive each day that they can't keep up with it all. Your listeners are more likely to remember your public speaking speech if it's tightly focused on one or two points.

3. Research Your Topic

In the example we've been going over, you probably don't need to do a lot of research. And you've already narrowed your topic down.

4. Write Your Speech

Once you've completed the steps above, you're ready to write your speech. Here are some basic speech writing tips:

  • Begin with an outline . To create a speech your audience will remember, you've got to be organized. An outline is one of the best ways to organize your thoughts.
  • Use a conversational tone . Write your speech the way you would normally talk. Work in some small talk or humor, if appropriate.
  • Use the speaker notes . Typically, speaker notes aren't seen by the audience. So, this is a good place to put reminders to yourself.
  • Be specific . It's better to give examples or statistics to support a point than it is to make a vague statement.
  • Use short sentences . It's likely you're not going to give your speech word for word anyway. Shorter sentences are easier to remember.

In this example scenario for the short speech we're preparing for the Chamber of Commerce, your outline could look something like this:

  • Introduction . Give your name and the name of your business. (Show title slide of website home page with URL)
  • Type of Business . Describe what you do in a sentence or two. (Show slide with bulleted list)
  • Give example of a recent web design project . Emphasize areas that you know the other businesses need. (Show slides with examples)
  • Conclusion.  Let the audience know that you'd be happy to help with their web design needs. Offer to talk to anyone who's interested after the meeting. (Show closing slide that includes contact information)
  • Give out handouts . Many presentation software packages allow you to print out your speech as a handout. For a networking-type presentation like the one in our example, this can be a good idea since it gives your listeners something to take with them that's got your contact information on it.

That simple speech format should be enough for the short speech in our example. If you find it's too short when you practice, you can always add more slides with examples.

If you've been asked to give a short speech, you can change the speech format above to fit your needs. If you're giving a longer speech, be sure to plan for audience breaks and question and answer sessions as you write.

5. Select a Presentation Tool

For most presentations, you'll want to use a professional presentation tool such as PowerPoint, Google Slides, or a similar package. A presentation tool allows you to add visual interest to your public speaking speech. Many of them allow you to add video or audio to further engage your audience.

Once you've chosen a presentation tool, you're ready to choose a template for your presentation.

6. Select a Template and Finish

A presentation template controls the look and feel of your presentation. A good template design can make the difference between a memorable public speech with eye-catching graphics and a dull, forgettable talk.

You could design your own presentation template from scratch. But, if you've never designed a presentation template before, the result might look less than professional. And it could take a long time to get a good template. Plus, hiring a designer to create an original presentation template can be pricey.

Select a template that works for your presentation.

7. How to Make a Public Speech

How to Make a Speech

Now that you've completed all the steps above, you're ready to give your speech. Before you give your speech publicly, though, there are a few things you should remember:

  • Don't read your speech . If you can, memorize your speech. If you can't, it's okay to use note cards or even your outline--but don't read those either. Just refer to them if you get stuck.
  • Practice . Practice helps you get more comfortable with your speech. It'll also help you determine how your speech fits into the time slot you've been allotted.
  • Do use visual aids . Of course, your presentation template adds a visual element to your public speech. But if other visual aids work with your presentation, they can be helpful as well.
  • Dress comfortably, but professionally . The key is to fit in. If you're not sure how others at your meeting will be dressed, contact the organizer and ask.
  • Speak and stand naturally . It's normal to be a little nervous but try to act as naturally as you can. Even if you make a mistake, keep going. Your audience probably won't even notice.
  • Be enthusiastic . Excitement is contagious. If you're excited about your topic, your audience will likely be excited too.

In the example we're using in this tutorial (and with many public speaking opportunities), it's important not to disappear at the end of the meeting. Stick around and be prepared to interact individually with members of the audience. Have answers to questions anyone might have about your speech. And be sure to bring a stack of business cards to pass out.

5 Quick Tips to Make a Good Speech Great (& More Memorable)

After reading about the basics, here are some more tips on how to write a great speech really stand out:

1. Have a Strong Opening

A strong presentation opening will make your presentation more memorable.

Start your speech with a strong opening by presenting surprising facts or statistics. You could even start with a funny story or grand idea.

Another way to start your speech is to open with a question to spark your audience’s curiosity. If you engage your audience early in your speech, they're more likely to pay attention throughout your speech.

2. Connect With Your Audience

You want a speech that'll be memorable. One way to make your speech memorable is to connect with your audience. Using metaphors and analogies help your audience to connect and remember. For example, people use one writing tool to put the speech's theme in a 15-20 word short poem or memorable paragraph, then build your speech around it.

3. Have a Clear Structure

When your speech has a clear structure to it your speech becomes more memorable.

When writing your speech, have a clear path and a destination. Otherwise, you could have a disorganized speech. Messy speeches are unprofessional and forgettable. While writing your speech, leave out unnecessary information. Too many unnecessary details can cause people to lose focus.

4. Repeat Important Information

A key to writing memorable speeches is to repeat key phrases, words, and themes. When writing your speech, always bring your points back to your main point or theme. Repetition helps people remember your speech and drives home the topic of your speech.

5. Have a Strong Closing

Create a strong closing to your speech to make it more memorable.

Since the last thing that your audience listened to what your closing, they'll remember your closing the most. So, if your closing is forgettable, it can make your speech forgettable. So, recap your speech and repeat essential facts that you want the audience to remember in your closing.

How to write a good speech in 7 steps

Did you know writing a speech doesn't have be an anxious, nail biting experience?

Unsure? Don't be.

You may have lived with the idea you were never good with words for a long time. Or perhaps giving speeches at school brought you out in cold sweats.

However learning how to write a speech is relatively straight forward when you learn to write out loud.

And that's the journey I am offering to take you on: step by step.

To learn quickly, go slow

Take all the time you need. This speech format has 7 steps, each building on the next.

Walk, rather than run, your way through all of them. Don't be tempted to rush. Familiarize yourself with the ideas. Try them out.

I know there are well-advertised short cuts and promises of 'write a speech in 5 minutes'. However in reality they only truly work for somebody who already has the basic foundations of speech writing in place.

The foundation of good speech writing 

These steps are the backbone of sound speech preparation. Learn and follow them well at the outset and yes, given more experience and practice you could probably flick something together quickly. Like any skill, the more it's used, the easier it gets.

In the meantime...

Step 1: Begin with a speech overview or outline

Are you in a hurry? Without time to read a whole page? Grab ... The Quick How to Write a Speech Checklist And come back to get the details later.

  • WHO you are writing your speech for (your target audience)
  • WHY you are preparing this speech. What's the main purpose of your speech? Is it to inform or tell your audience about something? To teach them a new skill or demonstrate something? To persuade or to entertain? (See 4 types of speeches: informative, demonstrative, persuasive and special occasion or entertaining for more.) What do you want them to think, feel or do as a result of listening the speech?
  • WHAT your speech is going to be about (its topic) - You'll want to have thought through your main points and have ranked them in order of importance. And have sorted the supporting research you need to make those points effectively.
  • HOW much time you have for your speech eg. 3 minutes, 5 minutes... The amount of time you've been allocated dictates how much content you need. You'll find estimates of the number of words required for 1 - 10 minute speeches by slow, medium and fast talkers.

Use an outline

The best way to make sure you deliver a perfect speech is to start by carefully completing a speech outline covering the essentials: WHO, WHY, WHAT and HOW.

Beginning to write without thinking your speech through is a bit like heading off on a journey not knowing why you're traveling or where you're going to end up. You can find yourself lost in a deep, dark, murky muddle of ideas very quickly!

Pulling together a speech overview or outline is a much safer option. It's the map you'll follow to get where you want to go.

Understanding speech construction

Before you begin to write, using your completed outline as a guide, let's briefly look at what you're aiming to prepare.

  • an opening or introduction
  • the body where the bulk of the information is given
  • and an ending (or summary).

Imagine your speech as a sandwich

If you think of a speech as a sandwich you'll get the idea.

The opening and ending are the slices of bread holding the filling (the major points or the body of your speech) together.

You can build yourself a simple sandwich with one filling (one big idea) or you could go gourmet and add up to three or, even five. The choice is yours.

But whatever you choose to serve, as a good cook, you need to consider who is going to eat it! And that's your audience.

So let's find out who they are before we do anything else. 

Step 2: Know who you are talking to

Understanding your audience.

Did you know a  good speech is never written from the speaker's point of view?  ( If you need to know more about why check out this page on  building rapport .)

Begin with the most important idea/point on your outline.

Consider HOW you can explain (show, tell) that to your audience in the most effective way for them to easily understand it.   

Writing from the audience's point of view

To help you write from an audience point of view, it's a good idea to identify either a real person or the type of person who is most likely to be listening to you.

Make sure you select someone who represents the "majority" of the people who will be in your audience. That is they are neither struggling to comprehend you at the bottom of your scale or light-years ahead at the top.

Now imagine they are sitting next to you eagerly waiting to hear what you're going to say. Give them a name, for example, Joe, to help make them real.

Ask yourself

  • How do I need to tailor my information to meet Joe's needs? For example, do you tell personal stories to illustrate your main points? Absolutely! Yes. This is a very powerful technique. (Click storytelling in speeches to find out more.)
  • What type or level of language is right for Joe as well as my topic? For example if I use jargon (activity, industry or profession specific vocabulary) will it be understood?

Step 3: Writing as you speak

Writing oral language.

Write down what you want to say about your first main point as if you were talking directly to Joe.

If it helps, say it all out loud before you write it down and/or record it.

You do not have to write absolutely everything you're going to say down * but you do need to write down, or outline, the sequence of ideas to ensure they are logical and easily followed.

Remember too, to explain or illustrate your point with examples from your research. 

( * Tip: If this is your first speech the safety net of having everything written down could be just what you need. It's easier to recover from a patch of jitters when you have a word by word manuscript than if you have either none, or a bare outline. Your call!)

Step 4: Checking tone and language

The focus of this step is re-working what you've done in Step 2 and 3.

You identified who you were talking to (Step 2) and in Step 3, wrote up your first main point.  Is it right? Have you made yourself clear?  Check it.

How well you complete this step depends on how well you understand the needs of the people who are going to listen to your speech.

Please do not assume because you know what you're talking about the person (Joe) you've chosen to represent your audience will too. Joe is not a mind-reader!

How to check what you've prepared

  • Check the "tone" of your language . Is it right for the occasion, subject matter and your audience?
  • Check the length of your sentences. You need short sentences. If they're too long or complicated you risk losing your listeners.

Check for jargon too. These are industry, activity or group exclusive words.

For instance take the phrase: authentic learning . This comes from teaching and refers to connecting lessons to the daily life of students. Authentic learning is learning that is relevant and meaningful for students. If you're not a teacher you may not understand the phrase.

The use of any vocabulary requiring insider knowledge needs to be thought through from the audience perspective. Jargon can close people out.

  • Read what you've written out loud. If it flows naturally, in a logical manner, continue the process with your next main idea. If it doesn't, rework.

We use whole sentences and part ones, and we mix them up with asides or appeals e.g. "Did you get that? Of course you did. Right...Let's move it along. I was saying ..."

And now repeat the process

Repeat this process for the remainder of your main ideas.

Because you've done the first one carefully, the rest should follow fairly easily.

Step 5: Use transitions

Providing links or transitions between main ideas.

Between each of your main ideas you need to provide a bridge or pathway for your audience. The clearer the pathway or bridge, the easier it is for them to make the transition from one idea to the next.

If your speech contains more than three main ideas and each is building on the last, then consider using a "catch-up" or summary as part of your transitions.

Link/transition examples

A link can be as simple as:

"We've explored one scenario for the ending of Block Buster 111, but let's consider another. This time..."

What follows this transition is the introduction of Main Idea Two.

Here's a summarizing link/transition example:

"We've ended Blockbuster 111 four ways so far. In the first, everybody died. In the second, everybody died BUT their ghosts remained to haunt the area. In the third, one villain died. His partner reformed and after a fight-out with the hero, they both strode off into the sunset, friends forever. In the fourth, the hero dies in a major battle but is reborn sometime in the future.

And now what about one more? What if nobody died? The fifth possibility..."

Go back through your main ideas checking the links. Remember Joe as you go. Try each transition or link out loud and really listen to yourself. Is it obvious? Easily followed?

Keep them if they are clear and concise.

Step 6: The end of your speech

The ideal ending is highly memorable . You want it to live on in the minds of your listeners long after your speech is finished. Often it combines a call to action with a summary of major points.

Example speech endings

Example 1: The desired outcome of a speech persuading people to vote for you in an upcoming election is that they get out there on voting day and do so. You can help that outcome along by calling them to register their support by signing a prepared pledge statement as they leave.

"We're agreed we want change. You can help us give it to you by signing this pledge statement as you leave. Be part of the change you want to see!

Example 2: The desired outcome is increased sales figures. The call to action is made urgent with the introduction of time specific incentives.

"You have three weeks from the time you leave this hall to make that dream family holiday in New Zealand yours. Can you do it? Will you do it? The kids will love it. Your wife will love it. Do it now!"

How to figure out the right call to action

A clue for working out what the most appropriate call to action might be, is to go back to your original purpose for giving the speech.

  • Was it to motivate or inspire?
  • Was it to persuade to a particular point of view?
  • Was it to share specialist information?
  • Was it to celebrate a person, a place, time or event?

Ask yourself what you want people to do as a result of having listened to your speech.

Write and test

Write your ending and test it out loud. Try it out on a friend, or two. Is it good? Does it work?

Step 7: The introduction

Once you've got the filling (main ideas) the linking and the ending in place, it's time to focus on the introduction.

The introduction comes last as it's the most important part of your speech. This is the bit that either has people sitting up alert or slumped and waiting for you to end. It's the tone setter!

What makes a great speech opening?

Ideally you want an opening that makes listening to you the only thing the 'Joes' in the audience want to do.

You want them to forget they're hungry or that their chair is hard or that their bills need paying.

The way to do that is to capture their interest straight away. You do this with a "hook".

Hooks to catch your audience's attention

Hooks come in as many forms as there are speeches and audiences. Your task is work out what specific hook is needed to catch your audience.

Go back to the purpose. Why are you giving this speech?

Once you have your answer, consider your call to action. What do you want the audience to do, and, or take away, as a result of listening to you?

Next think about the imaginary or real person you wrote for when you were focusing on your main ideas.

Choosing the best hook

  • Is it humor?
  • Would shock tactics work?
  • Is it a rhetorical question?
  • Is it formality or informality?
  • Is it an outline or overview of what you're going to cover, including the call to action?
  • Or is it a mix of all these elements?

A hook example

Here's an example from a fictional political speech. The speaker is lobbying for votes. His audience are predominately workers whose future's are not secure.

"How's your imagination this morning? Good? (Pause for response from audience) Great, I'm glad. Because we're going to put it to work starting right now.

I want you to see your future. What does it look like? Are you happy? Is everything as you want it to be? No? Let's change that. We could do it. And we could do it today.

At the end of this speech you're going to be given the opportunity to change your world, for a better one ...

No, I'm not a magician. Or a simpleton with big ideas and precious little commonsense. I'm an ordinary man, just like you. And I have a plan to share!"

And then our speaker is off into his main points supported by examples. The end, which he has already foreshadowed in his opening, is the call to vote for him.

Prepare several hooks

Experiment with several openings until you've found the one that serves your audience, your subject matter and your purpose best.

That completes the initial seven steps towards writing your speech. If you've followed them all the way through, congratulations, you now have the text of your speech!

Although you might have the words, you're still a couple of steps away from being ready to deliver them. Both of them are essential if you want the very best outcome possible. They are below. Please take them.

Step 8: Checking content and timing

This step pulls everything together.

Check once, check twice, check three times & then once more!

Go through your speech really carefully.

On the first read through check you've got your main points in their correct order with supporting material, plus an effective introduction and ending.

On the second read through check the linking passages or transitions making sure they are clear and easily followed.

On the third reading check your sentence structure, language use and tone.

Double, triple check the timing

Now go though once more.

This time read it aloud slowly and time yourself.

If it's too long for the time allowance you've been given make the necessary cuts.

Start by looking at your examples rather than the main ideas themselves. If you've used several examples to illustrate one principal idea, cut the least important out.

Also look to see if you've repeated yourself unnecessarily or, gone off track. If it's not relevant, cut it.

Repeat the process, condensing until your speech fits the required length, preferably coming in just under your time limit.

Step 9: Rehearsing your speech

And NOW you are finished with writing the speech, and are ready for REHEARSAL .

Please don't be tempted to skip this step. It is not an extra thrown in for good measure. It's essential.

The "not-so-secret" secret of successful speeches combines good writing with practice, practice and then, practicing some more.

Before you begin writing you need:.

  • Your speech OUTLINE with your main ideas ranked in the order you're going to present them. (If you haven't done one complete this 4 step sample speech outline . It will make the writing process much easier.)
  • Your RESEARCH
  • You also need to know WHO you're speaking to, the PURPOSE of the speech and HOW long you're speaking for

The basic format

  • the body where you present your main ideas

Split your time allowance so that you spend approximately 70% on the body and 15% each on the introduction and ending.

  • Write your main ideas out incorporating your examples and research
  • Link them together making sure each flows in a smooth, logical progression
  • Write your ending, summarizing your main ideas briefly and end with a call for action
  • Write your introduction considering the 'hook' you're going to use to get your audience listening
  • An often quoted saying to explain the process is: Tell them what you're going to tell them (Introduction) Tell them (Body of your speech - the main ideas plus examples) Tell them what you told them (The ending)

TEST before presenting. Read aloud several times to check the flow of material, the suitability of language and the timing.

7 steps to prepare a speech in a surprisingly short time

Most of my clients are entrepreneurs, CEOs or working in other leadership positions. I also meet many small business entrepreneurs. One common thread is that they’re very busy. Successful leaders are mindful about how they spend every single minute.

It’s no surprise then, that when these leaders are asked to speak in public, the one thing they are thinking is:

How do I prepare a speech in as little time as possible?

They realise very well that speaking well is important , and that preparation is necessary to deal with speaking anxiety . They just want to do it efficiently.

Today I’d like to share with you an excerpt of my CEO playbook for delivering speeches. The section on preparation contains tips that are useful to anyone looking to prepare a speech in half the time while doubling their impact .

I’ve compiled them into a handy list of 7 steps:

The 7 steps to efficiently prepare a speech

The steps are:

  • Identify your purpose . Why are you speaking?
  • Know your audience. What are their aspirations, pains, …?
  • Add significance. Why should the audience care?
  • Define your clear message. What should your audience remember?
  • Establish your structure . Develop a middle part with one or two points supported by an anecdote, story, and preferably backed up by facts and data.
  • Prepare a strong opening and a strong ending .

1. Define your purpose

For a speech to be effective, it must have a clear goal. A goal also helps you focus while creating the speech.

Ask yourself: do you mainly want to…

Note: these goals may overlap, and one does not exclude another. But one must be your main goal.

2. Know your audience

In order to connect with your audience during speeches, it is important to be able to place yourself in their shoes. Only from this perspective can you truly communicate understanding and establish rapport.

To know your audience is to engage your audience.

The Empathy Map is a handy technique from the world of user experience and marketing, where it is used to better understand potential or existing customers. It works remarkably well when you prepare a speech, too.

The big idea is to go over the different areas in the map and come up with the elements that create your listeners’ mental world in relation to the topic.

Suppose you are to deliver a speech on the use of sugar in processed foods. Some questions the empathy map would trigger are:

  • What do they think about the use of sugar and how does it make them feel ?
  • What do they hear about sugar from their environment or in the news?
  • What do they see when it comes to sugar, e.g. in terms of advertising or packaging?
  • What do they say about sugar to their peers? What do they do – what actions do they take (or not take)?
  • What  pain, or significant disadvantages, do they associate with sugar?
  • What  gain, or significant advantages, do they associate with sugar?

Note that the answers to some of these questions will overlap. Don’t worry about that — this is just a brainstorming tool to trigger relevant information stored in your memory. The point is not to organise information in any neat way.

Try it, even if it’s for 5 minutes! You’ll be surprised how helpful the answers are for:

  • finding an angle
  • finding the right words
  • creating goodwill
  • overcoming resistance
  • and much more.

3. Add significance

Why significance is key when you prepare a speech.

Crafting any good story starts with the why . What’s the point exactly?

There’s a saying in public speaking: you win the heart before you win the mind. Knowing the  why of your speech is essential in accomplishing that.

Speakers engage an audience by being significant; by creating meaning. Audiences feel engaged when they have the feeling the talk is also about them. A great example is Martin Luther King’s famous ‘I have a dream’ speech. The audience did not come to see Martin Luther King, they came because they identified with his ideas. They felt his speech was about them, their lives, and their dreams.

That explains the importance of step 2: Know your audience. You can only add significance if you have a clear image of the receiving end of your speech.

How to find your speech’s significance

To find the significance of your speech, ask yourself the following questions when you prepare a speech:

  • Why am I giving this speech?
  • What do I believe, that I want to share? What do I stand for?
  • So what?! Why should my audience care?

4. Define your clear message

Today, people are flooded with information. There is an image circulating on the web which goes so far to say that a person today receives more information in a day than a person in the middle ages in his entire life!

True or not, we can all agree that in a device-rich world, the information intake has never been more intense.

How does that translate to speeching? Well: to make your speech memorable, I suggest you focus on extracting one key message .

Your key message should be as simple as possible, regardless of the complexity of the issues and topics at hand. It will consist of one or two phrases that express your main point.

If that sounds daunting, let’s look at a model that can help.

The Message House model is a time-tested PR tool to condense complex stories into a thematic ‘house’. This house is made of a set of three messages that together form the overarching key message (called the Umbrella Statement in the model).

The Core Messages on the second level represent your Umbrella Statement, but in greater detail. They can be supporting arguments, sequential steps to take, conditional statements, descriptive (think: who, what, where, when, why and how), or of another kind.

Finally, the lower part of the house provides evidence, proof points and support. This is the foundation of your story.

How to use the Message House

In some cases, your Umbrella Statement (that’s your key message) will be very clear to you. If that’s so, it’s useful to come up with the 3 Core Messages that make up the Umbrella Statement.

At other times, you’ll have 2 or 3 messages in mind as you prepare a speech. In that case, consider those your Core messages and start to look for the single Umbrella Statement.

Examples of Umbrella Statements and their Core Messages

  • Employees lose time and energy in traffic.
  • Some employees report they feel less productive in larger office spaces.
  • Candidates for jobs that are hard to fill, are not attracted to our current policy.
  • First, I will introduce the idea at the annual shop owner’ meeting.
  • Then, I will have the team communicate the exact steps to each shop owner.
  • Finally, our sales representatives will check each shop they visit.
  • The Polish and Swedish teams did exceptionally well.
  • May and June were top periods for sales.
  • Orange bicycles are super popular and account for a large part of the profits.

5. Establish your structure

The way you organise information is essential if you want your audience to follow and understand your speech. Ideas must be put together in an orderly manner.

I therefore recommend every speaker to use an  outline as the backbone for their speech.

An outline is simply 10,000 feet view of your speech. It’s as if you would zoom out completely and see the major turns your speech takes.

Why use an outline?

That’s easy: our brains are simply not capable of creating quality content from beginning to end.

Compare it to cooking a meal. Imagine yourself standing in front of different foods. Without thinking ahead, you grab a couple of ingredients and start cutting, cleaning and preparing them.

Unless you’re an experienced chef, that won’t result in a remarkable meal, will it? Without a gameplan to prepare a speech, the end result of your creation will be underwhelming.

Here are a few general directions your outlines can take. These are based on effective storytelling principles:

  • Problem – pathway – solution
  • Problem – solution – reasoning
  • Situation – complication – solution
  • Past – present – future

After you’ve decided on the general direction, flesh out your outline. See if you can describe your speech in ten to fifteen bullets. Refer to your Message House (see previous point) to make sure your outline includes your Core messages.

What structure works best for your purpose? Do you have a preference? Try a few structures for your speeches and choose the one that is most persuading.

Next, integrate even more storytelling. Your bigger picture might be represented by a story, but can you integrate ‘mini-stories’ to illustrate specific points?

6. Prepare a strong opening and strong ending

Scientific research shows it again and again. If you ask people to rate a certain experience they had recently, they will base a lot of their opinion on how it began and how it ends. Looking back at an experience, whatever happens in the middle seems to carry less weight for us.

A classic example is a visit to a restaurant. Smart restaurant owners focus extra on doing two things impeccably: the welcoming and the dessert. Although they pay great attention to the overall experience, of course, they know that a sloppy greeting of their guests, or a below-standard dessert, can easily spoil their guests’ memory of the whole evening.

For you, it means it’s smart to think twice about how you open and how you close.

Ideas for a strong opening

Here are a few angles to inspire you in crafting your opening:

  • ‘Start with a bang’: use a quote, bold claim or striking fact, or ask a question.
  • ‘So what?’: Go straight to the point and open with why your audience should care.
  • ‘Introduce yourself’: But do it in a compelling way. Tell a juicy story. What would the tabloids write about you?
  • Make the purpose clear – What impact do you want to achieve?

Ideas for a memorable ending

  • Repeat your Key Message. Think ‘key takeaway’. This is a natural-feeling and effective way to make a firm point.
  • Refer to the beginning. Most good stories develop in a circular way. A problem introduced in the beginning gets solved in the end. Balance gets restored; etcetera.
  • Present a call-to-action . If you want your audience to take a certain action, always end with that.

7. Rehearse

1. write out, practice and tweak (optional).

At this point, you could write out your speech in full text – if you have the time.

Read your text out loud for a few times until you’re comfortable with the content. You will probably still tweak a few parts.

If you don’t have the time, or you feel comfortable working with just bullet points, feel free to skip to step 2!

I do highly recommend you write out your opening and ending.

2. Bring back to bullet points and practice again

Once on stage, you don’t want to hold the full text of your speech in your hand. You will be tempted to look at it often, which will break your connection with the audience.

So now, reduce your text to a list of main points, keywords, facts and anecdotes. And practice your speech again. Refer back your outline from step 5 for the general structure.

This will also help you memorise the speech completely by heart faster.

Do I have to know my whole speech by heart, you ask?

My answer is: not necessarily. But as just mentioned, do know your opening and ending from the inside out.

3. Take your practice to the next level

Here are my rehearsing tips for the best results:

  • Record yourself . Most beginning speakers find this tough, but it’s an essential way of spotting weaknesses in your speaking and improving them.
  • Practice for real people. The gap between practising in front of a mirror and practising in front of a crowd is just too large. Practice for a small group of colleagues or family members to get used to the stress that comes with having an audience.
  • Ask for specific feedback. If you practice in front of people, help them evaluate you by asking them specific questions. It could be the content, your body language, or your opening. Anything you feel you need feedback on.
  • Rehearse often. Once you’re happy with your speech’s content and your performance, practice your speech ten times – if you have that luxury of time. If you need more practice, go for it. There’s no better confidence booster as knowing you’ve rehearsed your speech until it hurt 🙂

That’s it!

Again, your word choice will depend on your audience. For example, you’ll want to steer clear of slang when speaking to an older, conservative crowd.

Use Transitions

Speech transitions are words and phrases that allow you to move smoothly from one point to another. Use transitional words and phrases like “besides” to help your audience follow your thought process and understand how your points are connected.

Add Variety to Speech

A speech that is monotonous or lacks variety may cause your audience to lose interest. 

Including a variety of elements in your speech, such as anecdotes, examples, and visual aids, can help keep your audience engaged and interested. 

Practice, Practice, Practice

How to Write an Elevator Speech

An elevator speech is a brief speech that’s used to pitch a product, service, expertise, or credentials.

You have 30–60 seconds to persuade someone to act how you’d like: the same time as a quick elevator ride.

An effective elevator speech should contain an introduction, a clear value proposition, and a strong conclusion.

Your introduction should be polite and clear. Briefly explain who you are, what you do, and what you are offering. For example, if you’re pitching your expertise, condense your background into two sentences. Include things that will make your audience remember you.

Preparing a speech isn't difficult if you have a process you can follow. There are tried-and-true steps for putting together a talk, so relax and read on to get your speech in order and your speech anxiety under control.

Starting With Your Audience

Types of speech broken up by their occassion.

  • Personal narrative. A narrative is just another word for story. If you're asked to tell a story about yourself, find out if the intention is to use something that's happened to you in order to teach a lesson, convey a moral, offer inspiration or simply to entertain.
  • Informative speech. [3] X Research source There are two kinds of informative speeches: process and expository. If you're charged with doing a process speech, the idea is for you to explain how something is done, how something is made or how something works. You take your audience step-by-step through the process. If your speech is meant to be expository, your job is to take what might be a complex subject and break it down into sections as a way of educating your audience about the topic.
  • Persuasive speech. [4] X Research source If you're meant to persuade, then your job is to convince your audience to adopt a particular way of thinking, a belief or a behavior that you advocate for.
  • Ceremonial speech. [5] X Research source Ceremonial speeches run the gamut from wedding toasts to eulogies, from graduation speeches to farewell addresses. Many of these speeches are intended to be short and the focus is often on entertaining, inspiring or increasing the audience's appreciation for someone or something.

Step 2 Pick a topic that will interest your audience.

  • Read the newspaper. If you can find a way to link your speech topic to something that's happening in the news, you can highlight the relevance of what you have to say to your audience.
  • Translate numbers. Using statistics in your speech can be impactful, but they can be even more meaningful if you translate them in a way the audience can understand. For example, you could say that worldwide, 7.6 million people die of cancer every year, but to make it more relatable, you might want to follow it up by saying that that number represents the entire population of Switzerland.
  • Express the benefits. It's a good idea to let an audience know exactly what they'll get out of your speech, so that they're primed to listen. If they'll learn how to save money, tell them. If the information you're about to share will make their lives easier in some way, make that clear. If they'll gain a new appreciation of someone or something, let them know.

Researching and Writing Your Speech

Step 1 Know your subject.

  • Outlines can be written in complete sentences or they can be a series of abbreviated phrases and reminders. Another approach is to begin by writing complete sentences and then transferring your outline on to note cards on which you abbreviate those sentences using just the words and memory prompts you need.
  • Pull out your old English textbooks and review things like similes, metaphors, alliteration and other kinds of figurative language. These kinds of devices can add to the impact of a ceremonial speech.
  • Beware one pitfall of the scripted speech: having a page full of words in front of you can cause you to fall into the trap of simply reading from your script without every looking up, making eye contact or engaging with the audience in any way. Thorough practice should help to eliminate your chances of falling into this trip.

Step 5 Be sure you have all the pieces in place.

  • Offer a preview. Think of a preview as kind of the "coming attractions" of your speech. Plan to tell your audience the main points you'll talk about in your speech. There's not need to go into any detail here; you'll get to that when you come to the body of your speech. You can write a preview that's simply one sentence in length to cover what you need to say here.
  • Body. The body is where the "meat" of your speech resides. The points you outlined or the information you scripted make up the body. There are several ways to organize the information within the body of your speech--in time sequence, in step order, from most important point to least important point, problem-solution, to name just a few. Choose an organizational pattern that makes sense based on your speech goal.
  • Give a summary. One of the ways an audience remembers what a speech was about is through intentional repetition. In your introduction, you gave a preview of what you'd be talking about. In your speech body, you talked about those things. Now, in your conclusion, you remind your audience what you talked about. Simply offer a brief review of the main points you touched on in your speech.
  • End with a clincher. A clincher is a memorable, definitive statement that gives your speech a sense of closure. One easy way to do this is to write a clincher that refers back to what you said in the attention-getter of your speech. This helps bring your presentation full circle and provides a sense of closure.

Choosing Visual Aids

Step 1 Choose visuals to benefit the audience.

  • Don't write everything you plan to say on your slides. We've all suffered through speeches where the speaker did little more that read off of his or her slides. That's boring for the audience, and they soon disengage. Instead, use word charts to preview, review or highlight key information. Remember, the sides should be a supplement to what you're going to say rather than an exact copy of it.
  • Make your slides readable. Use a font size that's easy for your audience to read and don't overcrowd your slides. If your audience can't see or get through the material on your slides, they won't have served any purpose.
  • Use animations sparingly. Having graphics fly around, zoom in and out ,and change colors can be engaging but can also be distracting. Be careful not to overdo the special effects. Your slides should be a supporting player rather than the star of the show.

Rehearsing Your Speech

Step 1 Give yourself plenty of time.

  • Leave yourself time to practice. If you're given to procrastinating, you could find yourself with very little or no time to practice before you deliver your speech, which could leave you feeling unprepared and anxious.

Step 2 Practice in front of people.

  • Look at your audience. Almost nothing does more to keep an audience engaged than eye contact from a speaker. As you rehearse your speech, be sure to look at the family members or friends who've agreed to be your audience. It takes a bit of practice to be able to look at your outline, script or note cards, capture a thought or two and then come up and deliver that information while looking at your audience. It's yet another reason why rehearsal time is so important.
  • If you don't have the opportunity to practice in front of people, be sure that when you do rehearse, that you say your speech aloud. You don't want your speech day to be the first time you hear the words of your speech coming out of your mouth. Plus, speaking out loud gives you a chance to double-check and correct any mispronunciations, practice articulating your words clearly and confirm the timing of your speech (We speak more quickly when we simply recite a speech in our heads).

Step 3 Be OK with changes.

Reducing Speech Anxiety

Step 1 Get physical.

  • Clench and release. Ball up your fists really, really tight and hold for a second or two and then release. Repeat this a few times. You can do the same thing by squeezing the muscles in your calves very tightly and then releasing. With each release, you should feel a reduction in your adrenaline-induced symptoms.
  • Take deep breaths. The adrenaline in your system causes you to take more shallow breaths that, in turn, increase your feeling of anxiety. You need to break the cycle. Take a deep breath through your nose and allow the air to fill your belly. Once your belly is full, let your breath fill and expand your ribcage. Finally, allow your breath to move fully into your chest. Open your mouth slightly and begin to exhale starting first with the air in your chest, then the air in your ribcage and finally the breath in your belly. Repeat this inhale-exhale cycle five times.

Step 2 Focus on your audience.

  • Negative thoughts are incredibly powerful--one estimate is that you need five positive thoughts to counteract every one negative thought you have, so steer clear of them.

How to Write a Speech in Just a Few Simple Steps

In fact, once you understand the concepts below, you can use our Online Speech Writer to organize and print your presentation. A little warning, though, the process is very simple if you follow every step . If you skip a step, you can get bogged down, and the process can take a lot of time. However, if you follow the steps, you can write an effective speech in just a few minutes (versus hours or days)!

This post is the second in a series designed to help people create a perfect speech from scratch. Last week, I gave you a few ways to start a speech . Next week, I will show you how to end a speech . We will also cover a few unique types of presentations in future posts such as writing a eulogy . We will cover a few other types of speeches that are common such as a wedding speech , a persuasive speech , and a graduation speech.

A Few Concepts You Need to Know Before Writing a Speech.

Remember that if you want to hold your audience’s attention, less is more . Short is better than long. No one ever said, “That meeting was so good, I wish everyone would have spoken longer.” So, a few concepts (bullet points) covered really well is much better than a bunch of stuff covered in a cursory way. Another great tip is that writing a presentation word-for-word and then trying to memorize your entire speech is hard. To make this writing process easier, people will often use note cards and try to practice in front of the mirror. This often will just make you more nervous. Instead, create a presentation outline and use literary devices to add “meat to the content.” For instance, examples and stories are fantastic reinforcement for your points or concepts. You can also use analogies, quotes, and visual aids to prove your points.

When you do practice, practice in front of an audience. Live audiences will let you practice making eye contact and make sure you are using proper body language when you present. A run-through in front of real people will also help you fit your speech into the proper time limit.

Step #1: narrow down your topic first, and your speech writing will be faster and easier..

So, the first thing you want to do is narrow down your topic. An easy way to do this is to use the five W’s from journalism: Who, What, When, Where, Why?

An Example of Using the Who, What, When, Where, Why Technique.

For instance, let’s say that I am giving a work presentation about our company financials last quarter. The who is the company. The when is last quarter. If I narrow down the where, I might want to focus on just the Midwest Region. So, now I have to ask, “What exactly happened with our company offices in the Midwest Region last quarter?”

Well. sales increased more in that region than anywhere else. The final question is, “Why?” Why was this region different from the other regions? They hired a new regional sales manager. She and her team focused on repeat business from past customers. After finding answers to each of these questions, I can create a much more narrow and focused title. Financials from Last Quarter Becomes… A Focus on Generating Repeat Business from Past Customers in the Midwest Region Generated a Sharp Increase in Revenue Last Quarter. If you have trouble narrowing down the focus of your topic, make sure to focus on the WHY? Why would your audience care about the topic that you are presenting? Why should they pay attention to you? If you can add the answers to these questions into your title, your presentation will be more narrow and interesting to your audience.

Step #2: Create a Speech Outline Out of Your Main Ideas.

Keep listing these important points until you have five to ten of them. Then, rank them from the most important idea to the least important. The process here is to brainstorm possible concepts or different points to cover, and then sort them from most important to least important.

By the way, you won’t be able to effectively cover ALL of the points that you brainstormed. You will only want to cover three, four, or five of these items. That is why you want to sort them by importance. If you can only cover a few points, why not cover the most important?

The number of items that you cover will be determined by the required length of time that you have to speak. A good rule of thumb is to cover one item or bullet for every seven to 10 minutes that you have to speak. However, you definitely want to limit your bullets to just five per sitting. For a short speech (less than 20 minutes,) three points is a good number. If you have 45 to 50 minutes, you probably want to cover five bullet points.

Pro Tip! Go through the same process of determining the “Why?” for each of your bullet points. This will make your entire presentation something that the audience will want to pay attention to. Just read each of your bullets and ask, “Why does my audience need to know this?” Whatever the answer is, add that why to the statement that you made in the bullet point.

Now that you have your topic and your three to five bullet points, you have a great presentation outline. You can also use this outline as your slide or visual aid.

Step #3: Insert “Impact Ideas” to Add Content to Your Presentation.

Instead, use what we call a Presentation Impact Idea to better explain each bullet point. Pretend that your audience members are a jury. The bullet points are the statements that you are trying to prove. And the “Impact Ideas” are the pieces of evidence that prove that each statement is true. Below are some of my favorite items, but anything that answers the question, “How can I prove this bullet point to my audience?” will do.

  • Add a Personal Story or Example : Relay a quick story that occurred to actual people. These stories are solid proof that what you are saying is true because it happened before. The funny thing about stories is that most presenters avoid stories like the plague. But professional speakers use almost nothing but great stories to make their points. (That is why most speakers are boring and most professional speakers are interesting.) Going back to the jury analogy, a story about a personal experience is like an eye-witness testifying in court.
  • Quotes : A simple quote from an expert that you can remember will add a lot of credibility to your speech. By inserting a quote, you are borrowing credibility from another expert. To continue with the jury analogy, this is like bringing in an expert witness.
  • Analogy : After you have used a quote from an expert or a story to verify that your bullet point is true, adding an analogy can add flavor to your presentation and make your points memorable. If you recall from literature class, an analogy is a comparison. You can use these to compare a point that you are trying to explain to something that the audience can better relate to. Five Tips to Give a Great Speech

Anybody can learn to give a great speech, says  Jane Praeger , a faculty member for the  Programs in Strategic Communication  at Columbia University’s School of Professional Studies. She offers five tips on how to keep speeches both simple and authentic.

1. Practice Beforehand

Practice replacing filler words like "um," "so," and "like" with silence. If you can rehearse in the space where you’ll be speaking, that’s a real plus. Go to the back of the room, imagine that you’re hard of hearing or distracted, and you’ll know how to reach those people.

2. Work the Room

Try to speak to audience members before your speech, so that you can focus on a few friendly faces, particularly if you get nervous. If you’re making eye contact with a friendly person in one quadrant, those nearby will think that you’re talking to them. Then do the same thing in another quadrant. You want to see your talk as a series of conversations with different people throughout the room.

3. Prepare with Relaxation Techniques

If you’re nervous before approaching the stage, take a few deep breaths. Picture yourself delivering a successful speech. Most people will be nervous for the first few minutes, but you want to channel that adrenaline into positive energy.

4. Don’t Read Your Speech

Tell your speech from heart or use a notecard with bullet points as a cheat sheet. Bring the card with you and place it on the lectern. If you freeze up mid-speech, you can take a deep breath, look at your card, and know exactly which story you’re going to tell next.

5. Stand Up Straight

Whether you walk across the stage or stand behind a lectern, try to maintain good posture. Imagine that your head is being held up by a string. Standing up straight shows that you have confidence in what you’re talking about and your audience will feel more inclined to listen.

A short speech – create a 3 minute speech that rocks

I’m in the Charles Pearson Theatre at the University of Melbourne, watching 12 short speeches. It’s a 3 minute speech competition called the  3 minute Thesis .

These annual, 3 minute speech competitions challenge Ph.D and Masters students to effectively communicate 3-1/2 years’ of technical research into a short speech. Their task is to convey only the most important ideas and findings to a non-technical audience – and with only a single slide.

A short speech is a great test

As you’d imagine, it can be difficult to condense all that research and knowledge into a 3 minute speech, yet still convey all the pertinent information .

But that’s exactly why it’s such a great exercise for all speakers .

That’s because, in order to be effective, your ideas must be able to be communicated in the most brief, simple and clear manner possible. You need them to stick in the listener’s mind.

Not everyone is good at this skill – indeed, few people are. But you need to be if you want other to see the value of your ideas.

By the way, if you think giving a good 3 minute speech is hard, try doing one in just 5 words! That’s what they do at the Webby awards .

What did the winning speakers do right?

Despite giving a short speech on very different topics, there were some common practices I noticed about the winning speakers.

  • They presented an exceptionally clear message .
  • They included a “ top and tail ” element.
  • They made use of metaphor and other verbal illustrations to simplify a complex idea.
  • They spoke like they were having a conversation with their audience – not ‘giving a formal speech’.

The losing speakers, by contrast, were more forced. Some were so unnatural they seemed to be giving a pantomime a speech for an audience of children. The engagement of conversation was missing. We’ve talked before about the importance of an unforced, natural style .

How to create a short speech.

1. use a simple structure..

Start by clearly saying the ‘headline’ and key idea underpinning your speech in simple, everyday language, and follow with a simple structure supporting your main point. Here are some examples:

A: Headline and 3 supporting reasons:

With this approach, follow your “headline” statement with 3 simple supporting reasons. State each reason clearly, and explain how each one helps achieve or support the objective.

“We must change the way we work – for 3 important reasons:

  • Thwack …,
  • Kapow…,
  • Whamm. “

B: Problem – solution:

This is a simple structure of only 2 parts. It’s an easy yet powerful way to capture people’s attention and interest when done well. But you’ll want to avoid the trap of rushing through the problem, and spending too much time on your brilliant solution.

If you really want to hook people, take some time to paint a vivid picture of the problem first. Your audience will then be clambering for a solution with both ears open.

C: Timeline:

In this type of short speech, you might cover:

  • The history of the issue …
  • The current situation …
  • What might happen in the future …
  • And the ramifications of agreeing (or disagreeing) with your main argument.

D: Metaphor/Top & Tail:

To “top and tail” simply means starting with a story/quote that hints at your message. At the end, you recall that story and link it to your message.

This short speech from a 3 minute speech competition makes excellent use of this approach.

Start your speech (“the top”) with a compelling metaphor to make a memorable point, and end the speech (“the tail”) with the same metaphor — but adjusted to show the benefit of adopting your central argument.

2: End with a memorable message:

Just as important as how you begin and structure your speech, is how you end it .

Consider the same techniques at the end of your speech. A metaphor that links back to your original premise, or finishing with a thought-provoking question, are two ways to burnish your speech in your listener’s mind.

People worry that time limitations mean they have to ‘dumb down’ their valuable research — this is not the case!

A vivid message and a compelling short speech can become a window to the depth of your research, and give clarity to the value of your ideas.

You can also open yourself up for a question-and-answer session after your speech. This would make your contribution longer with no change that would be required in your speech

What do you do when you realize that the top layer of your cake is burnt? Most possibly you will trim that layer while making sure that it doesn’t ruin the shape of your cake.

Similarly, after a few evaluations of your speech, you can start editing it. The idea is to remove anything extra, repetitive, and even flowery words . In case any idea is going off the topic, it can be dropped.

You might also want to change passive voice to active voice.

Other aspects of your speech can be edited depending on the areas that need improvement.

7. Final touch

Once we have given our cake a good shape, it is time for frosting and sprinkles!

Hence it is time for the Final touch in speech writing.

A few things you can use in your speech to enhance it more are:

a. Jokes : A little joke here or there would help lighten the mood of the audience. However, you must make sure that it is by no means derogatory to anyone.

It is okay if you are not confident in coming up with a joke yourself, You can even quote someone else’s joke.

An example of quoting someone to make your speech humorous is given below:

If in the first go you are not able to succeed in achieving your goals, do not give up right away. After all, it is your resilience and persistence that would eventually help you succeed and achieve your goals. But if at first, you don’t succeed, then skydiving definitely isn’t for you .” (Steven Wright)

A light-hearted and humorous story can also be added to your speech, provided it doesn’t make the speech unnecessarily long.

Ted talk by Vinay Menon is the best example of how you can casually add humor to your speech. He opens the speech by introducing himself when he says that he is both a lecturer and a stand-up comedian. He follows it by saying “ So most of you might be complaining about having a poorly-paying job; I’ve got two.”

Self-directed jokes would be a better option than targeting someone else or a community.

b. Quotes : Inserting quotes helps to enhance your credibility, especially if you are quoting some renowned personality.

If for example, your speech is about What is happiness? You might want to add a few quotes by personalities like Dalai Lama or even Buddha to your speech. One such quote could be:

Happiness is not something ready-made. It comes from your own actions. Dalai Lama

c. Props :  Props make any concept easier to understand. It can also increase the likelihood of the audience believing in what you are saying.

While using props, you should make sure to use the prop early in your speech to not distract the audience and have them wondering what the prop is for.

8. Practicing stage

The last thing to do with your cake before you munch on it is to let it set in the refrigerator for some time.

The practicing stage in speech writing is when we evaluate our final speech and practice it so that it sets perfectly for the day when we have to present.

You can practice using any technique that you are comfortable with. A few techniques you can use are:

  • Recording : You can practice your speech by recording it on your phone. This will give you an opportunity to go back and check how you did. It would also help in a comparative analysis of your progress. You can compare your first video recorded to your most recent one, to see your improvements.
  • Visualizing : Visualizing is a technique that involves visualizing or imagining as if you were giving a speech in front of a crowd. If convenient you can also go to the place where you will be presenting your speech and practice there while visualizing the place to be filled with a crowd.
  • Look for a volunteer crowd : If possible you can also look for people who might be happy to help you practice. This volunteer crowd could even be your friends and family members.

Now you don’t need to follow the same steps in speech writing. You may skip a few or even go back and forth, as per your convenience. The thing you need to understand is that there are no set rules for speech writing .

The last step would be to enjoy your cake or in our case, the delivery of your speech.

Delivering spectacular short speeches

The delivery of short speeches can be different depending on the situation. Two broad differences are when you have presented the topic on the spot, that is an impromptu speech. And the second case is when you are given enough time to prepare for your speech.

Delivery of a Prepared Speech

A. make sure that the audience can hear you..

At times your voice may not reach the ones sitting far behind. It is better to make sure that everyone can hear you before you start your speech. As it will give you time to rectify that limitation at the beginning itself.

This can prove to be helpful especially if the situation doesn’t give you enough time to clarify the audience’s doubts later through a questions and answers session.

b. Simple speech opener

When it comes to short speeches, we often do not have a lot of time to form an initial rapport with the audience.

What you can do is start with an open-ended question. Such rhetorical questions require the speaker to ask a question and pause for some time to let the audience think. It also helps in setting enough curiosity among the audience members to make them listen to what you have to say.

You can also start by adding some humor through jokes as we discussed.

You can further start by bringing the audience’s attention to some fact or statistical information . An example would be “Did you know an estimated 5.6 million people die each year due to poor countries’ lack of access to proper healthcare?”

c. Storytelling

Again, while we know that there is no set time for short speeches, it still doesn’t have the flexibility of elongated time to explain the concept in detail.

Stories are one of the best ways to get the audience engaged. In short speeches, stories can be used to explain a concept. You can structure your speech in a way that conveys a story as well.

Delivery of an Impromptu Speech

While delivering impromptu speeches, you might not have enough time to spare and structure the information in a sequential manner. In these cases, you can follow a few models that might make the task of giving the speech easier for you.

a. PREP Model

Point, Reason, Example and Point

The idea is to make a point, and give a reason that supports the point. The reason shall be followed by an example which would then introduce another point.

An example of using the PREP model when giving a best man speech could be

Hello everyone, I am XYZ, the best man of this amazing man who just got married (Point). All it took for me to get this title today was 10 years of ubering this fellow who is 32 and yet sits there proudly with no driving license (Reason). I still remember the first day of college when he made me wait for 2 hrs (Example). This day brings me immense joy as I gladly hand over my driver duties to (Bride’s name) (Point).

b. WWW model

The idea is to start by sharing who you are followed by some information on what you do. This shall be followed by answering the third question, that is, where are you going from here?

An example of the WWW model from a farewell speech could be:

Hello, I am XYZ (Who are you). I had been working as a product manager in this organization for the past 6 years (What do you do) and I’m grateful to all of you who have contributed to my journey here. I realized a few months ago that my contribution towards the work here and that my own venture was not meeting its mark. That was when I realized that it was the right time for me to bid goodbye so as to give my 100% to my own venture (Where you are going from here ) . Thank you again for such a wonderful working experience; I shall cherish them with me forever.

1. Leonardo DiCaprio

The speech given by Leonardo DiCaprio at the opening of the Climate Summit 2014 is an amazing example of a short 3-minute speech .

The way his speech has been structured is worth nothing. In the initial 1 minute, he introduces how humans have conveniently ignored the issue of climate change as if it were a work of fiction.
