Job Summary:

The Viczian Lab investigates the growth and response of blood vessels in the eye to genetic alterations ( https://viczianlab.godaddysites.com/). Our mission is to identify molecules and pathways whose alterations lead to blindness, with the aim of developing therapeutic targets to counteract this disease. We are seeking a self-motivated Research Support Specialist to join our team. The successful candidate will receive training to perform various experimental tasks, including maintaining the mouse colony, organizing the lab, and utilizing molecular biological techniques, such as DNA isolation, PCR and gel electrophoresis. Responsibilities will include setting up breeding pairs, collecting tissue samples, and identifying mice for experimental analysis. Additionally, the position may involve learning techniques such as cryostat sectioning, immunostaining, microscopy/imaging, and cell counting for cellular analysis. The candidate will be expected to take meticulous notes and report their findings to the Principal Investigator (PI) weekly. They will also attend weekly department-wide meetings with the Center for Vision Research, a renowned group of exceptional scientists. Our lab is part of a collegial department-wide team where collaboration and sharing each other's successes are appreciated. The ideal candidate is proactive, detail-oriented, and enjoys working independently within a collaborative environment. Strong organizational and critical thinking skills are essential. A positive attitude and enthusiasm for science will be highly valued. As a member of the Center for Vision Research, the candidate will have opportunities for professional development, including participating in the Visiting Lecture Series, exposure to research in other vision labs, and potential authorship on papers reflecting their experimental and intellectual contributions.

Minimum Qualifications:

Bachelors Degree in Biology, Neuroscience or related field.

Preferred Qualifications:

Experience working with mice preferred, but not required.

Monday - Friday; 8:00 - 5:00; Some evening or weekend hours may be required depending on experiments

What You Will Do

Position Summary

The Grant and Research Development Specialist will provide comprehensive, high-quality, customer-focused pre-award research administration support to assigned units at the Columbia Climate School. Working within the Climate School’s Office of Research, and reporting to the Office of Research (OOR) Senior Manager, the Grant and Research Development Specialist will perform key services that ensure timely submission of high-quality, responsive, compliant, and rigorously reviewed grant proposals. These services include the development and review of budgets and other administrative documents, preparation and review of application packages, and collection of appropriate institutional approvals prior to submission. The Grant and Research Development Specialist will also perform other essential duties including handling a variety of information requests, data entry, and compliance documents, all while building and maintaining positive relationships with internal and external customers.  

 In addition, the incumbent must have a strong interest in data maintenance and reporting, and a willingness to train others in standard processes in support of the pre-award endeavor. This position requires comprehensive knowledge of sponsor and University guidelines and procedures for engaging and stewarding a diverse portfolio of extramural funders.

Responsibilities

Pre-Award Management

  • Coordinate and assist with the preparation and pre-submission review process of all grant and contract proposal submissions for assigned units. Review RFP/sponsor guidelines, and provide guidance related to University and sponsor guidelines.
  • Perform initial compliance review and provide feedback and administrative expertise for proposals submitted by Climate School researchers, often within short time frames. Ensure proposals are fully compliant with and responsive to extramural sponsor requirements and guidelines; communicate clear, concise feedback regarding necessary revisions. Verify that compliance requirements are met and necessary internal forms are provided prior to proposal submission (i.e., Conflict of Interest disclosures, Pl Waivers, ICR Waivers, IRQ forms, Pre-Award Assessment forms).
  • As part of the review process, receive and review subaward and collaborator documents and confirm accuracy and compliance.
  • Review budgets for Climate School investigators participating in proposals submitted by other Columbia departments/divisions and verify compliance with Climate School requirements.
  • Ensure that Climate School-level approvals are obtained, and route proposals to central Sponsored Projects Administration (SPA) for final review and submission.

Data Analytics, Reporting and Communications

  • Support OOR Senior Manager with regular reporting requests, perform quality assurance review of data records, and, along with Manager of Administration and Outreach, collaboratively develop Office of Research systems to maintain such records and utilize data in response to a wide variety of reporting needs.
  • Maintain up-to-date records of proposal submissions, ensuring that internal records are updated in a timely manner.
  • Upon request, provide reports and data to internal and external stakeholders.
  • Regularly draft and issue Climate School-wide communications related to policy updates and other critical topics on behalf of the Pre-Award Unit. Respond to requests for guidance related to Pre-Award policy and procedures from a wide variety of stakeholders, including senior leadership of the Climate School.

Customer Support

  • During proposal review, at the time of award, and as otherwise determined by business needs, review Current and Pending support (C&P) documents of researchers within assigned portfolio and work with the researchers to reconcile discrepancies.
  • Review responses to pre-award information requests from agencies, including budget revisions, compliance documentation, updated C&P statements, and other revisions and clarifications as required by sponsors.
  • Note deliverables and interpret award conditions for the Pl and administrators.
  • Provide Climate School administrators and researchers with needed information and context regarding agency restrictions, allowable costs, and audit-related concerns.
  • Log and file submitted progress reports and notify researchers of overdue progress reports.

Special Projects

  • Stay up to date on sponsor guidelines and application systems such as Fastlane, research.gov, Workspace, etc. and maintain knowledge of resources available for proposal preparation.
  • Serve as backup to other Grant and Research Development Specialists as needed.
  • Other strategic initiatives and special projects as assigned.

Minimum Qualifications

  • Bachelor’s degree or equivalent. 
  • At least 3 years of relevant experience in research and/or financial administration. 
  • Eagerness to contribute to the construction and evolution of the Office of Research, and to create processes and administrative structures that endure. 
  • Demonstrated ability to collaborate effectively with a number of stakeholders, including researchers of all career levels, executive leadership, government employees and federal civil servants, vendors, and external partners. 
  • Must have excellent time management, computer, and communications skills. 
  • Ability to thrive in a fast-paced environment. 
  • Highly skilled in Microsoft Office, particularly Excel; must be comfortable with pivot tables and charts, and able to envision new ways to structure information. 
  • Experience with complex budget preparation and proposal processing for government and non-profit agencies.  
  • High level of discretion and good judgment, independent motivation and initiative, integrity, trustworthiness, diplomacy, respect, flexibility, and team collaboration. 
  • Must be able to work independently and communicate professionally with external parties including funding sponsors, Climate School leadership, and collaborators from other institutions.

What You Will Do:

ADP is hiring a Payroll Support Representative -- Level I. The Payroll Support Representative supports Major Accounts Comprehensive Services Client users on WFN, PayX, ezLM, Portal, HRB and related applications by providing guidance and research in response to a wide variety of questions and issues presented by Client Payroll Administrators. The person in this role will use multiple tools and research resources in order to develop an accurate and comprehensive response to a wide range of inquiries regarding payroll practices and tax considerations, taking into account the differences across states and localities. Due to the nature of the Comprehensive Services business, the person in this role will also interface with multiple ADP service organizations as well as third party vendors that provide services to our Clients. To support a unified Client experience, they will also have familiarity with common HR questions and will access systems in other service organizations and other knowledge bases. This person also works closely with the Comprehensive Services Relationship Manager to address Client requests for guidance and best practices. The Payroll Support Representative will also be assigned to a specific group of Clients for the purpose of providing proactive updates and information.

RESPONSIBILITIES:

  • Respond to questions from Clients regarding the use of the WFN, PayX, ezLM, Portal, and HRB applications. Provides application/navigation support.
  • Assist Clients with Client data maintenance, setup, configuration changes in AutoPay Mainframe, WFN, ezLM, HRB and the Portal and coordinates with all functional areas (e.g. PTO, Special Calcs, Time and Attendance schedule, 401k, etc.) as needed.
  • Performs new feature setup requests (e.g. Group Term Life, HSA, direct deposit calcs, special calcs, Benefit Accruals, Multi-J, split wraps, add'l locations, etc.).
  • Assists and supports Clients with Payroll processing questions and issues.
  • Use on-line tools and other resources to research and respond to Client inquiries requiring guidance on how to address a wide variety of payroll, pay practice and payroll tax questions and situations.
  • Collaborates with internal Clients/Partners (401k, FSA, Tax, etc.) and/or third party vendors involved in providing services to identify and resolve issues and ensure that these services meet Client expectations.
  • Escalates Client issues to SSS, Tech Services, Project Services, Connections Team, Carriers, Development or other 3rd parties as appropriate. Communicates status and resolution to Client.

Completes complex projects including:

1. Calculation updates, special reports, tax amendments, company setup, troubleshooting

2. PTO, OT, Double Time, etc. researches historical data for adjustments needed

3. Researches Benefit Accruals recalculates and imports corrections.

  • Assists Client with tax changes for understanding, conducts research and follow-ups as needed.
  • Performs other related duties as assigned.
  • Occasional extended hours during peak seasons. May work 5 - 10 hours of OT 6 - 8 weeks of the year.

  • Typically will focus on smaller and/or less complex clients.
  • Complexity may be measured by one or more of the following: # of employee, structure of client's PR Department, utilization of PR functionality, complexity of PR configuration, unique workflows, etc.
  • Decisions made are based on established processes and procedures. Exceptions are referred to manager or senior team members
