Cover letters are a place for you to tell your story outside of strictly formatted documents or question-and-answers that might be part of an application. They serve as a writing sample, giving a clear example of your written communication skills. You absolutely need a unique cover letter for every application, rather than just changing the name of the position you’re applying to.

What's included in a cover letter?

The goal of a cover letter is to convince the reader that you are genuinely interested in a specific position at a specific organization and highlight that you (due to your most relevant skills/experiences) are a good fit for the position, the organization and the industry.

Your cover letter should provide insight into how you are uniquely suited for the position. Read the job description a few times—what skills are being highlighted?

Use a formal letter format. Include your address, the date, the contact’s name and address. Whenever possible, address the letter to a (relevant) specific person. If not known, a phrase like “Hiring Manager” is acceptable.

Cover letters are typically three short paragraphs:

  • Opening paragraph . State why you are writing, what you’re applying for/type of work you’re looking for, and (if relevant) how you heard about this position. Overall, this paragraph should introduce why this letter exists and why you're interested in the position.
  • Middle paragraph . Explain why you are interested in working for this employer and in this kind of position. Relevant past experience can be helpful, but they’ll see your resume. Only include past experience if there’s something specific you want to say about it (like, the course you took being your motivation for this kind of work). Highlight your skills or abilities that are relevant to this job. Avoid words like “try,” “somewhat,” etc. when describing your experience. Stay factual, optimistic and confident. That’s who recruiters are trying to hire.
  • Closing paragraph . Reiterate your interest in the position and your enthusiasm to join this organization. Thank them for their consideration of your application, and state that you look forward to hearing from them, and to the opportunity to discuss the position further, etc.

What are some other tips for cover letters?

Cover letters should most often be a single, one-sided page. Keep it short and to the point! It’s ok if your first draft is longer. Editing it down from a longer draft helps you keep the best bits, making a stronger letter overall.

If you're not sure what a good cover should look like, research examples from reputable sources. There are hundreds of resources from job-finding websites to university career services that can help you find examples of good cover letters.

Another tip is to put the cover letter down for a few weeks, then pick it up and pretend you’re the hiring manager. Would you hire the letter writer? As with everything, get as many people (roommate, college career counselors, your undergraduate advisor) to review your documents and give their insight. Is it well-written? Would they hire you? Does it sound like you?

  • Don't apologize for skills you don’t have. Instead highlight why you are qualified.

Current passport processing times can take as long as 8 weeks for routine processing and up to 3 weeks for expedited processing . This is a significant delay if you have international travel plans. These delays could cause you to postpone or even cancel your trip abroad. So, what causes these delays and what can you do about them? 

There are various reasons why application processing times change or become delayed. Of course, some delays are beyond your control; however, other reasons can easily be avoided with careful attention to detail and due diligence.

Let’s look at some factors that can cause delays in passport application processing and find out what you can and can’t control as well as the actions you can take to navigate the passport application process best to avoid having to postpone or cancel your trip abroad.

1. Unprecedented Demand for Passports

When there is a surge in passport applications, the State Department can easily become overwhelmed. This backlog can lead to significant delays in processing times. 

For example, a busier travel season, such as spring break or the summer, can extend turnaround times for passport applications by weeks. Based on recent history, an expedited passport application could go from taking 2 to 3 weeks to two to three times as long—that’s a major delay!

2. Natural Disasters

Refugee travel document and certificate of identity services are now available

2. Complete the form

To save time, complete the form on a computer. Sign each page of the application.

Someone else can help you complete the form, like a family member or a friend you trust. However, they must be 18 years of age or older.

If you can’t write and won’t be able to sign your document once you get it, include a medical letter explaining that you don’t write.

  • in Canada or the US: contact us online or call us
  • outside Canada and the US: contact the closest Canadian government office abroad
  • Contact us for Braille instructions or large-print forms .

3. Gather all necessary documents and get a passport photo

Include the following documents with your application:

  •  a photocopy of your proof of immigration status in Canada
  • the original document or
  • a photocopy signed by your guarantor
  • We’ll keep it, but you can ask to get your old travel document back . We’ll destroy it if you haven’t asked for it back 2 years after it expires.
  • They can handwrite this or use a stamp.
  • Stick-on labels are not accepted.
  • Your guarantor (opens in a new tab)   must sign it and write, “I certify this to be a true likeness of (your name).”

All your documents must be in either English or French. If a document is in another language, you must provide an  official translation (opens in a new tab)   .

You may need extra documents if you’re

  • changing your name
  • replacing a lost, stolen or damaged travel document
  • changing the sex on your travel document

4. Find a guarantor and 2 references

You need a guarantor who meets the requirements for a travel document to sign

  • your application
  • the back of 1 of your passport photos
  • the front and back of all photocopies of your supporting identity documents (ID)

You also need 2  references to include on your application.

Your references and guarantor must have known you for at least 6 months. Learn who’s eligible to act as a guarantor and as a reference .

Apply for a travel document or certificate of identity for a child (under 16 years of age) (30 business days or less)

The application form is the same for refugee travel documents and certificates of identity. Once we receive your application, we decide

  • which type of travel document to give the child
  • how long it will be valid for
  • Under Type of application/enquiry , select Certificate of Identity/Refugee Travel Document .

While you wait for us to contact you, you can start getting the child’s application ready.

To save time, complete the form on a computer. All parents or legal guardians should sign the application form.

Include the following documents with the application:

  •  a photocopy of the child’s proof of immigration status in Canada
  •   proof of parentage   (opens in a new tab) or proof of legal guardianship (if applicable)
  •  all documents pertaining to the child that refer to custody, decision-making responsibilities, access, parenting time and/or mobility (including a divorce judgment or order)
  • Your guarantor   (opens in a new tab) must sign it and write, “I certify this to be a true likeness of (the child’s name).”

You need to provide extra documents if you’re

  • replacing a lost, stolen or damaged travel document   (opens in a new tab)
  • This may include a legal name change certificate, a court order or an adoption order displaying the child’s old and new name.
  • changing their gender identifier   (opens in a new tab)

4. Find a guarantor

  • the child’s application
  • the back of 1 of the child’s passport photos

The guarantor must have known you for at least 6 months and must know of your child.

Apply for a travel document or certificate of identity: Adults (31 business days or more)

1. complete the form, 2. gather all necessary documents and get a passport photo, 3. find a guarantor and 2 references.

You also need 2 references to include on your application.

4. Pay your fees

Your fees and payment methods depend on which document you apply for.

5. Submit your application

You need to apply by mail. In person services are not available.

We recommend you use a certified courier or traceable mail service to reduce delivery time, protect your documents and track delivery.

3. Find a guarantor

Proof of immigration status documents.

Documents you can use as proof of immigration status in Canada include

  • a valid permanent resident card
  • a temporary resident permit
  • a notice of decision from the Immigration and Refugee Board (IRB)
  • an IRCC verification of status (VOS) document
  • a positive pre-removal risk assessment (PRRA) results letter

You need to be in Canada to apply for a travel document

Travel document services aren’t available outside of Canada.

If you have an emergency, contact the nearest Government of Canada office abroad .

Unclaimed passports are destroyed 2 years after they expire

If there’s a valid visa in it, we’ll keep the passport until the visa also expires. We’ll destroy the passport when both have expired.

If you need the passport from your previous country of residence back

You can ask to get it back if any of the following are true:

  • you have become a Canadian citizen
  • it’s been 2 or more years since the passport expired
  • you need it and you will return your refugee travel document to us
