College seminars are conducted to test the presentation skills of a student or a group and also allow the student to convey their knowledge to the audience. When students don't come prepared, the presentation may become disorganized, unclear, and dull. It would make them confused during the presentation and lead to vague answers during the questionnaires.

Step 1 Connect with your audience.

  • Think of your main topic and break it down into 3 specific ideas. This will help you to focus your discussion and remain clear. Keep the 3 ideas simple and have them in your mind. Write out your main points, then picture what you're talking about so you can visualize what you're going to talk about.
  • To help you create the "soft humor," don't take yourself too seriously. Second, identify the fears and insecurities around the topic so you can address these in a way that shows we all have these fears, insecurities and taboos and that our feelings are normal. This helps keep you in the moment and present with the audience and allows you to recognize the reality of the effect of your topic on yourself and the audience.
  • Tell the audience you're excited about what you're talking about. This can make your excited mood infectious and lead them to be willing to come on this journey with you.

Step 2 Be studious.

  • You could try doing something fun, like bringing with you a relevant object, doing a magic trick or a dance move to take things out of the ordinary and add some life to your talk.
  • Another fun approach is to try a meditation and ask the audience to relax - feel your toes relax, your feet, etc.
  • If you want the audience to move around, don't hesitate to ask. Ask them to stand up and stretch, to shake hands with the person next to them, or to do a twirl on the spot.
  • You could try asking the audience to say a bunch of affirmations out loud with you, to get them caught up in the mood you're creating and help them to see its relevance to them too.

Step 4 Look at the audience when you are talking about the topic.

  • You can ask the audience to imagine something along with you, asking them to close their eyes and think about something with you, then resume with eye contact following this.

Step 5 Manage your time.

Whether for an introductory course, internship, or senior seminar, group presentations are part of everyone's college experience and can be a source of very real anxiety. Next time you are assigned a group presentation, don't panic—instead, embrace the opportunity to learn and demonstrate your abilities. Read to find out what you can do to make your next group presentation memorable.

Distribute the Work Evenly

The first step to planning an A-worthy presentation is to make sure everyone carries their own weight, though this is easier said than done. This step will set your presentation up for success but can be challenging to pull off. It is likely that at least some of the people in your group will have unmatched academic abilities and work ethics, but this problem can be overcome.

Outline the work that needs to be done for the whole project and divvy up roles based on what people are comfortable doing. Make the expectations of each person clear so that there is accountability from start to finish—if something gets sloppily finished or is left entirely undone, the issue can be traced back to whatever group member is responsible and handled accordingly. If necessary, discuss problems with the professor . Don't let one person's laziness sabotage your entire group's work.

Schedule Deadlines and Rehearsals in Advance

As a college student, it can be incredibly difficult to manage your own time let alone synchronize the schedules of several different group members. Planning to get together as far in advance as possible makes it less likely that other commitments are prioritized over important group planning time.

At your first group meeting, set a timeline for when things need to be done. Schedule meetings, deadlines, and rehearsals as far into the future as the assignment allows. Never plan to cram at an all-night stress fest the night before—tired and over-extended group members will have a hard time executing even the most well-planned presentation.

Present Together

Just as you should use the strengths and weaknesses of group members to assign planning roles before the presentation, you should consider the abilities of every group member when deciding how the presentation itself should actually be delivered. Cohesion is crucial to a great presentation. People will notice if one or more group members do not speak or the presentation gets off-topic each time a new person takes over, and weak delivery does not bode well for your grade.

When you are planning how you will present, ask yourself and your group members the following questions:

  • What is the best way to deliver this material?
  • What presenting strengths does each group member have?
  • What goals must be met during the presentation?
  • How will we divide and conquer scripting the presentation?
  • What will we do if the presentation gets off-topic or a member forgets their part?

Prepare for Emergencies

Hopefully, you have put the time into creating an outstanding presentation, so don't let small hiccups derail it. Make sure that you know each other's responsibilities well enough to take over for them in times of crisis.

You never know when someone will get unexpectedly sick , face a family emergency, or be otherwise unable to show up for a presentation. Have a system in place where one group member can serve as an understudy for another group member so that your presentation does not crash and burn if someone is not there. Make the most of your preparations by planning for any scenario and remember to work as a team when things go wrong.

For a crisp presentation that leaves a strong impression on your professor and classmates, you need to rehearse. At least one run-through from beginning to end can smooth out any wrinkles, help nervous members overcome their fear, and ensure that you haven't left anything out.

Go through your parts as planned and offer each other constructive feedback immediately after. This may be uncomfortable, but helpful peer feedback can prevent negative feedback and bad grades from professors. Frame comments to members positively with a "glow and a grow": one thing they did really well and one area for improvement.

You should also discuss a dress code right before you rehearse so that all group members don the appropriate attire for the occasion. Lend each other clothes to help each other out if needed.

Stay Present During the Presentation

As long as your group is up there presenting, you need to be giving the presentation your all. This means that, even if your part is over, you should remain alert, engaged, and undistracted. This will make your presentation look and sound better while also enabling seamless emergency transitions. If you pay attention to your whole presentation, you will be much better prepared to step in for someone that needs rescuing—also, odds are that everyone else (professor included) will be more likely to pay attention if they see you paying attention.

Group presentations can be very effortful and time-consuming, so celebration is definitely in order once it's over. Reward yourself as a team for a job well done to bond after the potentially traumatizing experience you have shared.

7.4 Public Speaking and Class Presentations

Public speaking—giving an oral presentation before a class or another group of people—is a special form of interaction common in education. You will likely be asked to give a presentation in one of your classes at some point, and your future career may also involve public speaking. It’s important to develop skills for this form of communication.

Public speaking is like participating in class—sharing your thoughts, ideas, and questions with others in the group. In other ways, however, public speaking is very different. You stand in front of the class to speak, rather than from your usual seat—and for most students, that changes the psychology of the situation. You also have time outside of class to prepare your presentation, allowing you to plan it carefully—and, for many, giving more time to worry about it and experience even more anxiety!

Overcoming Anxiety

Although a few people seem to be natural public speakers, most of us feel some stage fright or anxiety about having to speak to a group, at least at first. This is completely normal. We feel like everyone is staring at us and seeing our every flaw, and we’re sure we’ll forget what we want to say or mess up. Take comfort from knowing that almost everyone else is dreading giving class presentations the same as you are! But you can learn to overcome your anxiety and prepare in a way that not only safely gets you through the experience but also leads to success in your presentation. The following are proven strategies for overcoming anxiety when speaking in public:

  • Understand anxiety. Since stage fright is normal, don’t try to deny that you’re feeling anxious. A little anxiety can help motivate you to prepare and do your best. Accept this aspect of the process and work to overcome it. Anxiety is usually worst just before you begin and but eases up once you’ve begun.
  • Understand that your audience actually wants you to succeed. They’re not looking for faults or hoping you’ll fail. Other students and your instructors are on your side, not your enemy. They likely won’t even see your anxiety.
  • Reduce anxiety by preparing and practicing. The next section discusses the preparation process in more detail. The more fully you prepare and the more often you have practice, the more your anxiety will go away.
  • Focus on what you’re saying, not how you’re saying it. Keep in mind that you have ideas to share, and this is what your classmates and instructors are interested in. Don’t obsess about speaking, but focus on the content of your presentation. Think, for example, of how easily you share your ideas with a friend or family member, as you naturally speak your mind. The same can work with public speaking if you focus on the ideas themselves.
  • Develop self-confidence. As you prepare, you will make notes you can refer to during the presentation. You’re not going to forget what you want to say. The more you practice, the more confident you’ll become.

Guidelines for Presentations

Preparing and delivering a presentation in class (or in business or other settings) is a process very similar to the learning process discussed in Chapter 4 “Listening, Taking Notes, and Remembering” , Chapter 5 “Reading to Learn” , and Chapter 6 “Preparing for and Taking Tests” and the writing process discussed in Chapter 8 “Writing for Classes” . The process breaks down into these six basic steps:

  • Analyze your audience and goals
  • Plan, research, and organize your content
  • Draft and revise the presentation
  • Prepare speaking notes
  • Practice the presentation
  • Deliver the presentation

Step 1: Analyze Your Audience and Goals

Who will see and hear your presentation—and why? Obviously, other students and the instructor. But you still need to think about what they already know, and don’t know, about your topic. If your topic relates to subject matter in class lectures and readings, consider what background information they already have and be careful not to give a boring recap of things they already know. It may be important, however, to show how your specific topic fits in with subjects that have been discussed already in class, especially in the beginning of your presentation, but be sure to focus on your new topic.

New terms and concepts may become familiar to you while doing your research and preparation, but remember to define and explain them to other students. Consider how much explanation or examples will be needed for your audience to grasp your points. If your topic involves anything controversial or may provoke emotion, consider your audience’s attitudes and choose your words carefully. Thinking about your audience will help you find ways to get their attention and keep them interested.

Be sure you are clear about the goals for the presentation. Are you primarily presenting new information or arguing for a position? Are you giving an overview or a detailed report? Review the assignment and talk with the instructor if you’re unsure. Your goals guide everything in the presentation: what you say, how much you say, what order you say it in, what visual aids you use, whether you use humor or personal examples, and so forth.

Step 2: Plan, Research, and Organize Your Content

Starting with the assignment and your goals, brainstorm your topic. Jot notes on specific topics that seem important. Often you’ll do reading or research to gather more information. Take notes as you would with any reading. As you research the topic at this stage, don’t worry at first about how much content you are gathering. It’s better to know too much and then pick out the most important things to say than to rush ahead to drafting the presentation and then realize you don’t have enough material.

Organizing a presentation is similar to organizing topics in a class paper and uses the same principles. Introduce your topic and state your main idea (thesis), go into more detail about specific ideas, and conclude your presentation. Look for a logical order for the specifics in the middle. Some topics work best in chronological (time) order or with a compare-and-contrast organization. If your goal is to persuade the audience, build up to the strongest reason. Put similar ideas together and add transitions between different ideas.

While researching your topic and outlining your main points, think about visual aids that may help the presentation.

Also start thinking about how much time you have for the presentation, but don’t limit yourself yet in the outline stage.

Step 3: Draft and Revise the Presentation

Unless required by the assignment, you don’t need to actually write out the presentation in full sentences and paragraphs. How much you write depends on your own learning and speaking style. Some students speak well from brief phrases written in an outline, while other students find it easier to write sentences out completely. There’s nothing wrong with writing the presentation out fully like a script if that helps you be sure you will say what you intend to—just so you don’t actually get up and read from the script.

You can’t know for sure how long a presentation will last until you rehearse it later, but you can estimate the time while drafting it. On the average, it takes two to three minutes to speak what can be written on a standard double-spaced page—but with visual aids, pauses, and audience interaction, it may take longer. While this is only a rough guide, you can start out thinking of a ten-minute presentation as the equivalent of a three to four-page paper.

Never wait until the last minute to draft your presentation. Arrange your time to prepare the first draft and then come back to it a day or two later to ask these questions:

  • Am I going on too long about minor points? Could the audience get bored?
  • Do I have good explanations and reasons for my main points? Do I need more data or better examples? Where would visual aids be most effective?
  • Am I using the best words for this topic and this audience? Should I be more or less informal in the way I talk?
  • Does it all hold together and flow well from one point to the next? Do I need a better introduction or transition when I shift from one idea to another?

Visual Aids in Presentations

Except for very short informal presentations, most presentations gain from visuals—and visual aids are often expected. If encouraged or allowed to include visuals in your presentation, plan to do so. Consider all possible types:

  • Charts or graphs
  • Photos or other images
  • Video clips
  • Handouts (only when necessary—they can be distracting)

Use the available technology, whether it’s an overhead projector, PowerPoint slides, a flip chart, or posters. (Talk to your instructor about resources and software for designing your visuals.) Follow these guidelines:

Design your visuals carefully. Here are some basic rules:

  • Use a simple, neutral background. A light-colored background with text in a dark color works best for words; a dark background used like matting works best for photos.
  • Minimize the amount of text in visuals—more than eight words per slide is usually too much. Avoid simply presenting word outlines of what you are saying. Make sure text is large enough for the audience to read.
  • Don’t use more than two pictures in a slide, and use two only to make a direct comparison. Montages are hard to focus on and distract the viewer from what you’re saying. Use images only when they support your presentation; don’t use clip art just as decoration.
  • Don’t put a table of numbers in a visual aid. If you need to illustrate numerical data, use a graph. (Microsoft Excel can make them for you easily.)
  • Don’t use sound effects. Use a very brief recording only if directly related to your main points.
  • Don’t use visual special effects such as dissolves, spins, box-outs, or other transitions. They are distracting. Use animation sparingly and only if it helps make a point.
  • Don’t use so many visuals or move through them so quickly that the audience gives all its attention to them rather than to you.
  • Practice your presentation using your visual aids, because they affect your timing.
  • Explain visuals when needed but not when they’re obvious.
  • Keep your eyes on your audience, only briefly glancing at visuals to stay in synch with them.
  • Don’t hand out a printout of your visuals. Your audience should keep their eyes on you instead of fiddling around with paper.

Step 4: Prepare Speaking Notes

As mentioned earlier, it’s not a good idea to read your presentation from a written page rather than deliver it. To keep your audience’s attention, it’s important to make eye contact with them and to use a normal speaking voice—and you can’t do this if you keep your eyes on a written script.

Speaking notes are a brief outline for your presentation. You might write them on index cards or sheets of paper. Include important facts and data as well as keywords for your main ideas, but don’t write too much. (If you forget things later when you start practicing, you can always add more to your outline then.) Be sure to number your cards or pages to prevent a last-minute mix-up.

Think especially about how to open and close your presentation, because these two moments have the most impact of the whole presentation. Use the opening to capture the audience’s attention, but be sure it is appropriate for your audience and the goals. Here are some possibilities for your opening:

  • A striking fact or example (illustrating an issue or a problem)
  • A brief interesting or humorous anecdote (historical, personal, or current event)
  • A question to the audience
  • An interesting quotation

Then relate the opening to your topic and your main point and move into the body of the presentation.

Your closing mirrors the opening. Transition from your last point to a brief summary that pulls your ideas together. You might end with a challenge to the audience, a strong statement about your topic, or a personal reflection on what you have been saying. Just make sure you have a final sentence planned so that you don’t end up uncomfortably fumbling around at the end (“Well, I guess that ends my presentation”).

Step 5: Practice the Presentation

Practice may be the most important step. It is also the best way to get over stage fright and gain confidence.

Practice first in an empty room where you imagine people sitting, so that you can move your eyes around the room to this “audience.” The first time through, focus on putting your outlined notes into full sentences in your natural speaking voice. Don’t read your notes aloud. Glance down at your notes only briefly and then look up immediately around the room. Practice two or three times just to find the right words to explain your points and feel more comfortable working with your notes. Time yourself, but don’t obsess over your presentation being the exact length required. If your presentation is much too long, however, adjust it now in your notes so that you don’t start memorizing things that you might accidentally still say later on even though you cut them from your notes.

Once you feel good speaking from your notes, practice to add some more polish to your delivery. You might want to record or videotape your presentation or ask a friend or roommate to watch your presentation. Pay attention to these aspects of how you speak:

  • Try to speak in your natural voice, not in a monotone as if you were just reading aloud. If you will be presenting in a large room without a microphone, you will need to speak louder than usual, but still try to use a natural voice.
  • In usual conversation, we speed up and slow down and vary the intensity of our words to show how we feel about what we’re saying. Practice changes in your delivery style to emphasize key points.
  • Don’t keep looking at your notes. It’s fine if you use words that are different from those you wrote down—the more you rehearse without looking at your notes, the more natural sounding you will be.
  • Be sure you can pronounce all new words and technical terms correctly. Practice saying them slowly and clearly to yourself until you can say them naturally.
  • Don’t forget transitions. Listeners need a cue when you’re moving to a new idea. Practice phrases such as “ Another important reason for this is…” or “Now let’s move on to why this is so.…”
  • Watch out for all those little “filler” words people use so often, such as “like,” “you know,” “well,” and “uh.” They’re very distracting to most audiences. Listen to or watch your tape to see if you are using these fillers or ask your friend to point it out.
  • Pay attention to body language when practicing. Stand up straight and tall in every practice session so that you become used to it. Unless you have to stand at a podium to use a fixed microphone in your presentation, practice moving around while you speak; this helps keep the audience watching you. Use hand and arm gestures if they are natural for you, but don’t try to make up gestures for the presentation because they will look phony. Most important, keep your eyes moving over the audience. Practice smiling and pausing at key points.
  • Finally, it’s a good idea to be ready in case of an accident. Most likely your presentation will go smoothly, you’ll stay on track with your notes, and your PowerPoint slides will work fine, but sometimes a mishap happens. Be ready to joke about it, rather than becoming flustered. If the computer fails and you lose your visuals, say something like, “Well, that’s a shame, I had some really great photos to show you!” If you drop your index cards or notes, or accidentally skip ahead in your presentation and then have to backtrack, make a joke: “Sorry about that, I was so excited to get to my next point that I’m afraid I lost control there for a moment!” Let your audience laugh with you—they’ll still be on your side, and you can defuse the incident and move on without becoming more nervous.

Step 6: Deliver the Presentation

Be sure to get enough sleep and eat a healthy breakfast. Don’t drink too much caffeine or else you’ll become hyper and nervous. Wear your favorite—and appropriate—clothing and comfortable shoes.

Remember, your audience is on your side! If you’re still nervous before your turn, take a few deep breaths. Rehearse your opening lines in your mind. Smile as you move to the front of the room, looking at your audience. You’ll see some friendly faces smiling back encouragingly. As you start the presentation, move your eyes among those giving you a warm reception—and if you see some student looking bored or doing something else, just ignore them. But don’t focus on any one person in the audience for too long, which could make them nervous or cause them to look away.

Don’t keep looking at your watch or a clock: If your rehearsal times were close to your assigned time, your presentation will be also. If you do notice that you’re running behind schedule, it may be that you’re saying too much out of nervousness. Use your notes to get back on track and keep the pace moving. But it’s better to deliver your presentation naturally and fluidly and be a bit long or short than to try to change your words and end up sounding unnatural.

At the closing, deliver your last line with confidence, sweeping your eyes over the audience. If appropriate, ask if there are any questions. When you’re done, pause, smile, say “Thank you,” and walk back to your seat.

Later on, ask other students and your instructor for comments. Be open minded—don’t just ask for praise. If you hear a suggestion for improvement, file that in your memory for next time.

Group Presentations

You may be assigned to give a presentation in a small group. The six-step process discussed previously works for group presentations, too, although group dynamics often call for additional planning and shared responsibilities:

  • Schedule a group meeting as soon as possible to get started. Don’t let another student put things off. Explain that you’re too busy and won’t have time at the last minute.
  • Begin by analyzing your audience and your goals together as a group to make sure everyone understands the assignment the same. Discuss who should do what. While everyone should talk about what content to include, from here onward, you will take on specialized roles. One or more may begin research and gathering information. Others who are good writers may volunteer to draft the presentation, while one or more others may develop the visual aids. Those who have public speaking experience may volunteer to do all or most of the speaking (unless the assignment requires everyone to have a speaking role). You also need a team leader to keep everyone on schedule, organize meetings, and so on. The best team leader is an even-tempered student with good social skills, who can motivate everyone to cooperate.
  • Steps 2 and 3 can likely be carried out individually with assigned tasks, but group members should stay in touch. For example, the person developing the visuals should be talking to those doing the researching and drafting to see what visuals are needed and get started finding or creating them.
  • Before preparing notes in step 4, meet again to go over the content and plan for visuals. Everyone should be comfortable with the plan so far. Make final decisions about who will do each section of the presentation. Set the time for each segment. Then speakers should prepare their own speaking notes. Let someone with strong speaking skills open or close the presentation (or both), with others doing the other parts.
  • The whole group should be present for practice sessions in step 5, even if not everyone is speaking. Those not speaking should take notes and give feedback. If one student is doing most of the presenting, an alternate should be chosen in case the first choice is sick on the scheduled day. The alternate also needs to practice.
  • During the delivery, especially if using technology for visual aids, one student should manage the visuals while others do the presenting. If several students present different segments, plan the transition from one to another so that the presentation keeps flowing without pauses.

  • some differences among these students;
  • the use of PowerPoint slides within the presentation (some better than others);
  • the appropriate occasional use of humor;
  • the division of presentation responsibilities within the student group;
  • each presenter’s interaction with the audience.

Guide for Giving a Group Presentation

In certain academic and business situations, it is more valuable to deliver a group presentation than a solo one. Many people prefer group presentations because there is less pressure on the individual. However there are also unique challenges, such as having to ensure multiple individuals collaborate in order to produce a cohesive piece of work.

Preparing for the group presentation

As with any presentation, there is a significant amount of work during the preparation stage. The group must be well organised because there are multiple individuals, and therefore multiple personalities involved.

Presentation moderator

To assist with organisation, the group should first decide on a presentation moderator – this is essentially the “leader”. The presentation moderator can have the final say when decision-making is needed and, during the Q&A portion of the presentation, can decide which speakers will answer certain questions.

Understanding the audience

To make your presentation engaging you need to  think about the audience  so you can tailor it towards their needs. How much will the audience already know about this topic? What will they want to get from this presentation?

For example, if you are presenting the topic of building a bridge to a group of civil engineers, you can confidently use technical language. However, if you are presenting to secondary school students, you would need to use simpler language and not explain the methods in as much detail.

The presentation’s purpose

As a group, ensure you agree on the purpose of the presentation so that you all understand the message that needs to be conveyed e.g. “We want to find out which treatment works best for social anxiety.” Deciding on your message means that the group can start building key points around this – just keep in mind that each subtopic must contribute to the presentation’s aim.

Divide the presentation

The presentation needs to be  divided into main areas  so there is a clear beginning, middle and end. This is where can you decide on the order of the subtopics. Presentations usually follow this structure:

1. Introduction:

  • It is useful to agree on the first minute of the presentation as a team. This is because the audience should be interested from the start and convinced to listen.
  • The presentation’s aims are also discussed and an overview of the presentation’s structure is provided. For example, “We set out to explore the effectiveness of different treatments for social anxiety. We will first cover the symptoms and prevalence of social anxiety, before explaining the different treatments. This will then lead into a discussion about the pros and cons of each treatment route. Finally, we will explain which treatment route we decided was the most effective for this disorder.”

2. One or two middle sections:

  • These sections consist of providing the information that addresses your presentation’s aim.
  • There can be more of these sections depending on your topic.

3. Conclusion:

  • After summarising all of the key points, there must be a clear conclusion. It is beneficial to appoint the conclusion to the best speaker as this is where all the information is pooled together.

After segmenting the presentation, a time sequence can be created so the group understands the order in which tasks must be completed. It is important to set deadlines for this.

Share responsibility

A frequent problem when working within a group is unequal participation as this can subsequently cause disharmony.

But this is easily avoidable by assigning each speaker a section of the presentation to work on depending on their interests. This means that each speaker should be doing the research for their section and putting together a speech and slides (if being used).

  • It is important to specify exactly what each group member should be doing with their time.
  • Make sure the length of time per speaker is agreed on.
  • Do not change speakers more than necessary because this can reduce the coherency of the presentation.

Build the presentation together

For an audience to follow and enjoy a presentation, it must flow together. Meeting up and building the presentation helps with this because:

  • This prevents the duplication of content.
  • You can put the slides together, although only one individual should be responsible for merging the slides so there is consistency within the presentation.
  • It is useful to receive feedback on the speeches before presenting to an audience.
  • The team can agree on any edits.
  • The team can agree on the conclusion.
  • You can make sure that each speaker will talk for the same amount of time and cover a similar amount of information.
  • The team can come up with the first minute of the presentation together.

Use stories to engage the audience

A good presentation opening could  start with a story  to highlight why your topic is significant. For example, if the topic is on the benefits of pets on physical and psychological health, you could present a story or a study about an individual whose quality of life significantly improved after being given a dog.

The audience is more likely to remember this story than a list of facts and statistics so try and incorporate relevant stories into presentations.

Know what each speaker will say

Each speaker must know what the other group members will say as this prevents repetition and it may be useful to refer to a previous speaker to assist in explaining your own section.

Also, if a team member is unable to attend on the day it will be easier to find cover within the group.

Write and practice transitions

Clean transitioning between speakers can also assist in producing a presentation that flows well. One way of doing this is:

  • Briefly recap on what you covered in your section: “So that was a brief introduction on what social anxiety is and how it can affect somebody”
  • Introduce the next speaker in the team and explain what they will discuss: “Now Sarah will talk about the prevalence of social anxiety.”
  • Then end by looking at the next speaker, gesturing towards them and saying their name: “Sarah”.
  • The next speaker should acknowledge this with a quick: “Thank you Nick.”

From this example you can see how the different sections of the presentations link which makes it easier for the audience to follow and remain engaged.

Practice the presentation

Rehearse with the group multiple times to make sure:

  • The structure works
  • Everyone is sticking to their timing.
  • To see if any edits are needed.

The more you  rehearse a presentation  the more you will feel comfortable presenting the material and answering questions as your familiarity with the content increases.

Handling nerves before the presentation

It is  natural to feel nervous  when presenting in front of others, regardless of the size of the audience. Here are some tips:

  • Remind yourself that the audience is there to listen to you and wants you to do well; there is no need to be afraid of them.
  • Remember that the audience members will have to present their projects later and are almost certainly feeling just as nervous.
  • Practicing with your group and practicing your section at home will make you more comfortable and familiar with the material and increase your confidence.
  • Practice pauses  – when people feel nervous they tend to find silences uncomfortable and try to fill gaps, such as using “um” multiple times (filler words). Practicing pauses will help the silences feel less unnatural when you present therefore reducing the need for filler words.
  • When we are nervous we often begin breathing quickly and this in turn can increase our anxiety. Controlled breathing is a common technique that helps slow down your breathing to normal thus reducing your anxiety.

Exercises to control your breathing:

  • Sit down in an upright position as it easier for your lungs to fill with air
  • Breathe in through your nose and into your abdomen for four seconds
  • Hold this breathe for two seconds
  • Breathe out through your nose for six seconds
  • Wait a few seconds before inhaling and repeating the cycle

During the group presentation

Introducing the team.

The presentation should begin with the presentation moderator introducing the team. This is smoother than each individual presenting themselves.

Pay attention to the presentation

You may feel nervous as you wait for your turn to speak but try to listen to the presentation. The audience is able to see the whole team so it is important that you look interested in what is being said and react to it, even if you have heard it multiple times.

Body language and eye contact

Body language is a useful tool to engage the audience:

  • If it is your turn to speak then stand slightly in the foreground of the rest of your group.
  • Smile at the audience as this will make you look more confident.
  • Make eye contact  as this helps you engage with the audience.
  • Keep your arms uncrossed so your body language is more open.
  • Do not look down and read from your notes- glancing down occasionally is fine but keep in mind that you are talking to the audience.
  • This is the same for  presenting visual aids ; you may need to glance at the computer slide but make sure you predominantly face the audience as you are still speaking to them.
  • Keep your hands at your sides but use them occasionally to gesture.

Vocal variety

How you say something is just as is important as the content of your speech –  arguably, more so . For example, if an individual presented on a topic very enthusiastically the audience would probably enjoy this compared to someone who covered more points but mumbled into their notes.

Here are some pointers:

  • Adapt your voice depending on what are you saying- if you want to highlight something then raise your voice or lower your voice for intensity.
  • Avoid speaking in monotone.
  • Sound enthusiastic – the more you sound like you care about the topic, the more the audience will listen.
  • Speak loudly and clearly.
  • If you notice that you are speaking quickly, pause and slow down.
  • Warm up your voice  before a speech

Breath deeply for vocal variety

Take short pauses and breath deeply. This will ensure you have more vocal variety.

Handling nerves during the presentation

  • If you find that you are too uncomfortable to give audience members direct eye contact, a helpful technique is to look directly over the heads of the audience as this gives the impression of eye contact.
  • Try not to engage in nervous behaviours e.g. shifting your weight or fidgeting.
  • Remember that it’s unlikely that the audience knows that you are feeling nervous – you do not look as anxious as you feel.
  • Notice whether you are speaking too quickly as this tends to happen when nervousness increases. If you are, pause and then slow down.

Strong conclusion

Since the conclusion is the last section of your presentation the audience is more likely to remember it. Summarise the key points and lead into a clear concluding statement. For example, if your presentation was on the impact of social media on self-esteem you could list all the main points covered in the presentation and conclude “Therefore, from the amount of evidence and also from the quality of evidence, we have decided that social media is negatively/positively impacting self-esteem.”

Questions and answer session

The questions and answers session after the main presentation can be a source of anxiety as it is often difficult to predict what questions will be asked. But working within a group setting means that individually you do not have to know everything about the topic.

When an  audience member asks a question , the presentation moderator can refer a speaker who has the relevant knowledge to provide an answer. This avoids any hesitant pauses.

If you are answering group presentation questions:

  • Pause before answering- take the time to gather your thoughts and think about your answer
  • Make sure you answer the question- sometimes you may start providing more information than necessary. Keeping answers as concise as possible will help with this.
  • Ask the questioner for clarification if you do not understand- it’s better to ask rather than answering in a way that does not address the question.
  • You’re not expected to know everything- challenging questions will emerge and if you do not know the answer you can respond with: “That’s a really good question, I’m not certain so let me look into that.”

Ending the presentation

A good ending usually consists of the presentation moderator thanking the audience. If there is another group afterwards they should transition to the next group.

Practice, Practice, Practice – aim for group cohesiveness

Create one presentation.

  • Work together to have ONE introduction, body, and conclusion for the presentation.
  • Use only one template/slide style for the entire presentation.
  • Everyone works on their slides and sends/gives them to the one compiling.
  • Everyone must contribute (i.e. research, proofreading, etc.).
  • Keep a group mindset – Say “we found ...” not “I found ..."
  • Work together to build a strong supported case.
  • Explain how the next topic is relevant to the previous one.
  • If first time the next speaker has talked, introduce the speaker and his/her topic.
  • Sometimes an easy way to transition is to acknowledge the overlap in topics/points.

Appearance of all group members matter

  • Try to dress similar – does not have to be identical.
  • Consider professional attire (i.e. slacks, button-up shirt, etc.)

Delivery Tips

  • As part of opener/introduction, introduce the group members.
  • Include a preview slide of what will be covered.
  • When practicing, use your visual aids to check for typos or needed changes.
  • Rehearse as if an audience is present.
  • Share constructive feedback.
  • Do not hold your speech notes while speaking. Place them so you can see them.
  • Face the audience not the projected slides, no one wants to listen to your back.
  • Smiling during a sad story will hinder message you are trying to give.
  • Wild hand gestures can be very distracting.

How To Present With A Group: 14 Expert Tips

If we consider the research and writing part of a presentation, then a group presentation doesn’t seem that different from a single-person presentation. 

If you wish to deliver a successful presentation, you still need to put in a fair deal of individual research, writing, and practice. Even for the presenting bit: when you speak, the onus of delivering a great speech, as well as the audience’s attention, is going to be on you. 

However, a group presentation is significantly different from a normal presentation. 

While you’ll still have to do your own research, the amount of research you’ll have to do will probably be decreased, as the research material will be divided amongst all the members. Practice and delivery of the speech will not be merely an individual thing: you’ll have to work and synch it with the rest of the group.

Advance planning and division of work, having a strong leader, fostering a sense of comariderie between group members, as well as staying vigilant and supportive on the big day are the key to delivering an awesome group presentation.

What Is A Group Presentation?

A group presentation is a collaborative exercise in which a team of speakers works together to create and deliver a presentation on a given topic. The number of members in a group presentation can range from anything between two to over ten! Group presentations are used in a variety of settings like school, workplace, colleges, seminars, etc. 

While the task of presenting with a group of people might feel daunting, especially if you identify as a lone wolf, group presentations can be a great learning experience and teach you how to better navigate the task of dealing with a multitude of people with a multitude of opinions and experiences. 

By keeping in mind a few things, group presentations can be delivered just as efficiently as single-speaker presentations.

Is A Group Presentation For You? 

To decide whether you should deliver a group presentation or not, you need to decide whether the pros of a group presentation outweigh the cons for you. 

Group presentations are great because they decrease workload, increase efficiency, improve the quantity and quality of ideas, and also provide you with experience to work in a group setting. 

However, there are a few fall-backs to group presentation as well. 

Sometimes, a few group members might not work as hard as the other ones, thus increasing the workload on the other members. Also, group members might have different ideas and opinions, which can cause clashes within the group. Coordinating between the group members might be a problem. And if you’re a shy person, you might find it difficult to speak out and voice your opinion in front of other group members. 

So, there is no single answer to whether you should do a group presentation or not. Weigh in the pros and cons of doing one before making your decision. 

Tips For Delivering A Group Presentation: The Preparation Stage

1. Decide On The Purpose Of Your Presentation

First and foremost, you must determine what is the purpose of your presentation. It might seem like a redundant step, but trust me: it’s not. You’ll be surprised by how different people perceive and understand the same topic.

So, say you’re delivering a research paper on the topic “The Effect Of The Coronavirus Pandemic On Street Animals”, sit down together and ask your group members what each individual person thinks the topic is about and the points they feel we need to include in it.

If possible, one member can jot down all the points that the other speakers make, and once all the members are done talking, you can come to a consensus about what to and what not to include in the presentation. 

2. Choose A Presentation Moderator 

In the simplest terms, the presentation moderator is the designated “leader” of a group. That is, they’re the one responsible for the effective functioning of the group, and to make sure that the group achieves their shared purpose i.e giving the presentation.

They sort out any potential conflicts in the group, help out other members when they ask for guidance, and also have the final say on important decisions that the group makes. The best and the simplest way to select the presentation moderator is by vote. This will ensure that every member has a say, and avoid any potential conflicts in the future. 

3. Divide The Work Fairly  

The next step is to divide the work. The best way to do this is to break your presentation into equal parts, and then to assign them to group members. While doing so, you can keep in mind individuals’ preferences, experience, and expertise. For example, if there are three people, you can divide your presentation into three sections: the beginning, the middle, and the end.

Then you can ask which member would feel more comfortable with a particular section, and assign the sections accordingly. In case of any overlap, the individual members can be asked to decide themselves who’s the better fit for the part. Alternatively, if the situation doesn’t seem to resolve, the presentation moderator can step in and assign parts randomly to the members; the members can do this themselves, too. 

4 . Do A Member Analysis 

To know the individual strengths and weaknesses of group members, it’s important to carry out a member analysis. Not everyone feels comfortable in front of a crowd. Or, someone could be great at building presentations, but not so good with speaking into a mic. On the contrary, a member might be an excellent orator but terrible with technology.

So, in order to efficiently divide the work and to have a seamless presentation, carry out a member analysis beforehand. 

5. Individual And Group Practice Are Equally Important 

Individual practice is important as it helps you prepare the presentation in solitude, as you would if you were the only speaker. Practicing alone is generally more comfortable, as you do not have to worry about other people watching or judging you.

It also allows you to prepare at your own convenience and time, while for group practice you’ll have to adjust to when it’s convenient for the other members to practice, as well.

Besides, the individual practice also saves the group’s time as each member can simultaneously but separately prep their own part, while group practice sessions are often longer as the other members generally have to pay attention to the speaking member instead of their own bit.

However, it’s essential to do group practice at least three to four times before delivering your presentation. This is important not just for the smooth delivery of the presentation, but also for the group members to grow comfortable with each other.

Group practice sessions also help you time out the total duration of the presentation, have smooth transitions between speakers, avoid repetitions, and also sort out any potential hiccups or fallbacks in the presentation. 

6. Perfect The Transitions 

A common fallback of group presentations is having awkward transitions between members. Not only will this be an unpleasant experience for the audience, but it might also make you waste precious time.

So, make sure you practice and perfect the transitions before the big day. It doesn’t have to be too long–even a single line will do. What matters is how well you execute it. 

7. Bond With The Group Members 

Bonding with the group is a great way to enhance the overall presentation experience; both, for yourself as well as the audience. This is because a better bond between the group members will make for the smoother functioning of the group, reduce potential conflicts, make decisions quickly and more easily, and also make the presentation fun!

The audience will also be able to sense, maybe even witness, this camaraderie between the members. They will thus have a better viewing experience.

There are many ways to improve the bonding between group members. Before the presentation, you could go out for dinner, a movie, or even meet up at one location–like somebody’s house–to get to know each other better. Group calls are another option. You could also play an ice-breaker if you’re up for some fun games!

8. Watch Other Group Presentations Together 

This is another great way of bonding with the team and also improving your presentation skills as you do so. By listening to other group presentations, you will be able to glean a better idea of how you can better strategize your own presentation. As you watch the presentation, make note of things like the time division, the way the topics are divided, the transition between speakers, etc.

Tips For Delivering A Group Presentation: The Presentation Stage

1.Introduce All Members 

A good idea to keep in mind while delivering a group presentation is to introduce all members at the onset of the presentation. This will familiarize the audience with them, and also work to ease the member’s nerves.

Besides, an introduction will make the members feel more included, and if done correctly, can also give a more shy member a confidence boost. The simplest way of introducing members is to have the person beginning the speech do it. Alternatively, the presentation moderator could do it.

2. Coordinate Your Dressing 

What better way to make people believe that you’re a team than dressing up as one? 

Coordinated dressing not only makes the group stand out from the audience, but it can also make the group members feel more like one team. 

A general rule of thumb is to dress one level more formally than your audience. Don’t wear your casual clothes: remember that it’s a formal event and your clothing must reflect that. Also, keep in mind individual preferences and beliefs while choosing the clothing.

This is important as if a person is uncomfortably dressed, it can have a negative impact on their performance, which will eventually be detrimental to the group performance.

3. Make Sure To Incorporate Visual & Audio Aids

Visual elements like photographs, videos, graphs, etc. Are a must in all presentations, group or otherwise. This is because visual aids help the audience better understand the topic, besides making the presentation a better experience overall. Same goes with audio elements, which include things like audio clips, music, background sounds etc. 

So, if you wish to have your audience’s attention, make sure to incorporate tons of visual and audio elements in your presentation. You could also divide the kind of visual elements you use between different members: for example, one person could show a short documentary to expand on their point, and the other could make use of memes and animation to add a dose of fun to their part. 

4. Pay Attention To What Others Are Saying 

Another thing to keep in mind while delivering your speech is to pay attention to what the other speakers are saying. While it might be tempting to tune out others and use the extra time to rehearse your own presentation, it’s not a good idea to do so.

Remember that the audience can see each speaker on the stage. If you don’t look interested, then why should they pay attention? Besides, your lack of attention can make the speaker feel bad: if their own team members aren’t listening to them speaking, does that mean they’re doing a bad job? So, make sure to keep your eyes and ears on your teammate as they deliver their speech.

5. Remember All Speech Parts By Heart 

This is a great way to ensure that you have a seamless presentation. One of the primary benefits of having a team to work with is knowing that you can turn to them for help if something goes wrong.

So, it’s important to not just practice and work together but to also be well-versed in what other group members are going to be saying. This will make it easier for you to cue or help someone if they forget their part. Also, if there’s an emergency or if a member is not able to make it to the speech, the other members can easily take their place.

6. Work Together For A Question And Answer Session 

Q & A sessions are a common element in most presentations. They might seem daunting to an individual speaker, however, a group setting makes the session much easier. This is because an individual speaker doesn’t have to know everything about the topic.

The presentation moderator can simply refer to the speaker who is the most well-versed about the topic or is best able to answer the question from the group, and they can answer it. 

Creative Ideas To Make Use Of Multiple Presenters!

There are many ways by which you can use the fact that there’s not just one single presentator but many to your advantage. A few of them are: 

1. Add A Dose Of Fun With Skits! 

Adding a dose of creativity to your presentation will greatly enhance its appeal to the audience, and make it more likely that they will remember your presentation in the future! 

One way of doing this is by having a short skirt in the opening. This is another great way of introducing the members, and of warming up the audience to them.

A fun skit can not only expand on the topic you’re about to present but will also elevate the audience’s mood, which will improve their attention span as well as their opinion of you! What else could you ask for?

2. Make Them Engage With Cosplay! 

Cosplay is another great way of making your presentation stand apart! This can make the presentation more interactive for the audience, as well, and earn you that sought-after dose of chuckling.

It’s not necessary to buy the most expensive costumes or be perfect in your cosplay, either. You can pick an outfit that’s easy to drape over your other outfit, and pick props that are easy to carry as well as versatile so that you can use them in other parts of your presentation as well. 

3. Write & Sing A Song Together!

Listen, you don’t have to be a professional singer or composer to do this. You’re not trying to sell a studio album. All you need is a little dose of creativity and some brainstorming, and you can write a song that helps you explain a component of your speech better.

If you don’t want to have a live skit, another creative way to add fun to your skit is by recording a short film beforehand and playing it during your presentation. The film doesn’t have to be very long–even a few minutes work.

What matters is the content of the film, and how well-made it is. If not all members wish to act or record themselves, the ones that are not up for it can do the editing and compilation, or even write the script! Q. HOW DO I TRANSITION BETWEEN DIFFERENT SPEAKERS?

As mentioned before, having a smooth transition between speakers in the group is imperative to provide the audience with a seamless experience. The abrupt way of doing this would be to simply have the first speaker stop and for the other speaker to begin speaking.

However, a better way to transition would be by using transitional phrases. Pass the baton to the next speaker by introducing them. You could do this by saying something like, “To talk about the next topic we have…” Or something like, “Now I would like to invite…” 

After verbally introducing them, it’s also a good idea to motion towards or look towards the new speaker. Also, if you’re the next speaker, it’s always good manners to thank the previous one. 

Transitioning is one place where many presentations go wrong. Practicing the transition might seem redundant, but it’s anything but that. In fact, it’s as necessary as the practice of the other elements of your speech. Also, make sure to incorporate both, verbal and non-verbal cues while moving to the next speaker. That is, don’t just say that ‘A’ is going to be speaking now and then walk away.

Make eye contact with the speaker, motion for them towards the podium, or smile at them. That is, both speakers should acknowledge the presence of each other.

Make sure to practice this beforehand too. If you want, you could also have the moderator do the transitioning and introduce all speakers. However, make sure that your transitions are brief, as you don’t want to take up too much time from the main presentation.

Q. HOW DO I END A GROUP PRESENTATION? 

For the ending of the presentation, have the moderator or any other group member step forward again. They can provide a quick summary of the presentation, before thanking the audience and asking them if they have any questions.

The moderator doesn’t have to answer all the questions by themselves: the members can pitch in to answer the question that relates to their individual part. If there’s another group presenting after you, the moderator can conclude by verbally introducing them or saying that the next group will take over now. 

During the end, you could have all the presenters on the stage together, as this will provide a united front to your audience. If you don’t wish to finish the presentation with a Q & A, you could also end it by a call to action.

Or, you could loop back and make a reference to the opening of your presentation, or the main part of your speech. If you’d set up a question at the beginning, now would be a good time to answer it. This will increase the impact of your speech.

Make sure that the closing words aren’t vague. The audience should know it’s the end of the presentation, and not like you’re keeping them hanging for something more. Make sure to thank and acknowledge your audience, and any other speakers or dignitaries present. Lastly, just like the opening and the transitioning, practice the ending before you step onto the stage!

Q. HOW DO I INTRODUCE THE NEXT SPEAKER IN A GROUP PRESENTATION? 

There are many ways by which you can introduce the next speaker in the presentation. For starters, you could wrap up your presentation by simply summarizing what you said (make sure it’s a brief summary) and then saying the other speaker will take over from this point.

Or, you could finish with your topic and then give a brief introduction of the next speaker and what they’re going to be talking about. The introduction can be simply the name of the speaker, or you could also provide a brief description of them and their achievements if any.

To lighten the mood, you could even add a fun fact about the speaker in your introduction–this is, of course, provided that you’re both comfortable with it. You could also ask for a round of applause to welcome them onto the stage.

However you choose to approach the transition, make sure that your introduction is short, and not more than two minutes at the maximum. Remember that it’s the next speaker’s turn to speak–not yours. If you’re the incoming speaker, make sure to thank the speaker who introduced you. You could also respond to their description or fun fact about you. A smile doesn’t hurt, either!

Planning the logistics around giving a presentation should take place as the group project progresses and, most critically, coalesce immediately after results of your study are known and clear recommendations can be made. This can be based on either the member's interests or what they worked on during the group project. This means that each member should be responsible for developing an outline of what they will talk about and drafting the content of their section of the slides or other forms of visual aids.

NOTE: If , for whatever reason, a group member is  particularly anxious about speaking in front of an audience or perhaps they are uncomfortable because English is not their first language, consider giving them a role that can be easily articulated, such as, introducing the purpose of the study and its importance. Everyone must participate in speaking, but be cognizant of the need to support that person by discussing what would work best for them while still being an active contributor to the presentation.

Organizing the Content

The content of the presentation should parallel the organization of the research study. In general, it should include a brief introduction, a description of the study, along with its purpose and significance, a review of prior research and its relevance to your group's project, an analysis of the results, with an emphasis on significance findings or recommended courses of action, and a brief statement about any limitations and how the group managed them. The conclusion of the presentation should briefly summarize the study's key findings and implications and, if time has been allotted, ask for questions from the audience. The conclusion can also be used to highlight areas of study the require further investigation. Note that the group's time should be spent primarily discussing the results of the study and their implications in furthering knowledge about the research problem .

Developing the Content

The narrative around each section must flow together smoothly t o ensure that the audience remains engaged. An initial meeting to discuss each section of the presentation should include the following: 1) deciding on the sequence of speakers and which group member presents on which section; 2) determining who will oversee the use of any technology [and who steps up when it's that person's turn to speak]; 3) determining how much time should be allocated for each section in relation to the overall time limit; 4) discussing the use and content of slides or other visual aids; and, 5) developing a general outline of the presentation. Once everyone's roles and responsibilities have been negotiated, the group should establish a schedule of deadlines for when the work should to be completed.

Creating Transitions

Building the narrative of an oral presentation means more than imparting information; it also requires the group to work together developing moments of transition from one section to the next. Transitional statements ensures coordination among members about what is to be covered and helps your audience follow along and remain engaged. The transition from one section to the next should include both verbal cues [e.g., a recap what you just discussed and an introduction of the next speaker] and non-verbal gestures [e.g., stepping away from the podium or front of class to make room for the next speaker]. An example of this transition could be something like this:

Speaker 1: " ...so to summarize, the literature suggested that allegations of election fraud often created the conditions for massive street protests in democratized societies. Next Mike will discuss how we analyzed recent events in Mexico and determined why this assumption may not apply under certain conditions. "

Speaker 2: " Thank you, Jordan. Next slide. In our study, we coded and analyzed the content of twitter accounts to explore the rise of dissension among.... "

NOTE:   Each member of the group should learn the entire presentation and not just their section. This ensures that members can help out if the speaker becomes nervous and loses track of what to say or if they forget something. If each member knows the entire presentation, then there is always someone who can step up and support the speaker by maintaining the narrative and not losing the audience's attention.

Practicing the Presentation

The most critical thing to do before giving a group presentation is to practice as a group. Rehearse what will be said and how it will be said so you know that the overall structure works, that the time is allotted correctly, and that any changes can be made, if needed. Also, rehearsing the presentation should include practicing use of the technology and choreographing where people will stand. An effective strategy is to rehearse the entire presentation at least twice. Practice with each member taking turns speaking in front of the other members pretending that they are the audience. This way the group members can take turns offering suggestions about improving the presentation and the speaker gets more comfortable speaking in front of people. Practice a second time presenting as a group. This way, everyone can rehearse where to stand and coordinate transitions. If possible, practice in the room where your presentation will take place; standing in the front of a classroom feels very different from sitting there as a student.

During the Presentation

Before the Presentations Begin

If groups are presenting from a shared computer, ask your professor if you could pre-load your slides or other visual aids before the class begins . This will ensure that you're not taking time away from your presentation downloading and setting everything up. In addition, if there is a problem, it can be resolved beforehand rather than it being a distraction when you start the presentation.

Introduction

Begin by having the moderator introduce the group by giving each member's name and a brief description of what they will be presenting on. And, yes, this seems like a pointless formality because it's likely that everyone knows everyone else. However, this is expected because it reflects giving oral presentations in most professional and work settings. In addition, your group has a limited amount of time to present and introducing everyone before the presentation begins saves more time than having each individual introduce themselves before they speak.

When Not Speaking

Assuming your group has practiced at least twice [and preferably more], you have heard and seen the entire presentation multiple times. Keep in mind, however, that your audience has not and they can observe everyone in the group. Be engaged. Do not look bored or distracted while others are speaking. Pay attention to each other by watching what the presenter is doing. Respond positively to the presenter and use nonverbal cues [e.g., nodding your head] as a way to help emphasize keys points of the presentation; audiences notice when those not speaking react to something the speaker is saying.

Coordinate Moving from One Speaker to the Next

The person presenting should take a position in the foreground of where you are delivering the information. Group members not speaking should step back and take a spot behind or off to the side of the speaker. When the person speaking is done, the next person steps forward. This pre-planned choreography may seem trivial, but it emphasizes to your audience who the next speaker will be and demonstrates a smooth, coordinated delivery throughout the presentation.

Visual Aids

Plan ahead how to use slides or other visual aids. The person currently presenting should not be distracted by having to constantly move to the next slide, backup and show an earlier slide, or exit a slide to show a video or external web page . Coordinate who in the group is responsible for taking the cue to change slides or otherwise manipulate the technology. When it's time for that person to speak, have a plan in place for passing this responsibility to someone else in the group. Fumbling around with who does what when, distracts the audience. Note however that the role of moving from one slide to the next does not count as being a presenter!

The presentation should conclude with the moderator stepping forward and thanking the audience and asking if there are any questions. If a question relates to a specific part of the presentation, the group member who spoke during that part should answer the question; it should not be the moderator's responsibility to answer for everyone. If another group follows your presentation from a shared computer, be courteous and close out all of your slides or other visual aids before stepping away.

6 Tips For Giving a Fabulous Academic Presentation

One of the easiest ways to stand out at an academic conference is to give a fantastic presentation.

In this post, I will discuss a few simple techniques that can make your presentation stand out. Although, it does take time to make a good presentation, it is well worth the investment.

Tip #1: Use PowerPoint Judiciously

Images are powerful. Research shows that images help with memory and learning. Use this to your advantage by finding and using images that help you make your point. One trick I have learned is that you can use images that have blank space in them and you can put words in those images.

Here is one such example from a presentation I gave about immigration law enforcement.

PowerPoint is a great tool, so long as you use it effectively. Generally, this means using lots of visuals and relatively few words. Never use less than 24-point font. And, please, never put your presentation on the slides and read from the slides.

Tip #2: There is a formula to academic presentations. Use it.

Once you have become an expert at giving fabulous presentations, you can deviate from the formula. However, if you are new to presenting, you might want to follow it. This will vary slightly by field, however, I will give an example from my field – sociology – to give you an idea as to what the format should look like:

  • Introduction/Overview/Hook
  • Theoretical Framework/Research Question
  • Methodology/Case Selection
  • Background/Literature Review
  • Discussion of Data/Results

Tip #3: The audience wants to hear about your research. Tell them.

One of the most common mistakes I see in people giving presentations is that they present only information I already know. This usually happens when they spend nearly all of the presentation going over the existing literature and giving background information on their particular case. You need only to discuss the literature with which you are directly engaging and contributing. Your background information should only include what is absolutely necessary. If you are giving a 15-minute presentation, by the 6 th minute, you need to be discussing your data or case study. At conferences, people are there to learn about your new and exciting research, not to hear a summary of old work.

Tip #4: Practice. Practice. Practice.

You should always practice your presentation in full before you deliver it. You might feel silly delivering your presentation to your cat or your toddler, but you need to do it and do it again. You need to practice to ensure that your presentation fits within the time parameters. Practicing also makes it flow better. You can’t practice too many times.

Tip #5: Keep To Your Time Limit

If you have ten minutes to present, prepare ten minutes of material. No more. Even if you only have seven minutes, you need to finish within the allotted time. If you write your presentation out, a general rule of thumb is two minutes per typed, double-spaced page. For a fifteen-minute talk, you should have no more than 7 double-spaced pages of material.

Tip #6: Don’t Read Your Presentation

Yes, I know that in some fields reading is the norm. But, can you honestly say that you find yourself engaged when listening to someone read their conference presentation? If you absolutely must read, I suggest you read in such a way that no one in the audience can tell you are reading. I have seen people do this successfully, and you can do it too if you write in a conversational tone, practice several times, and read your paper with emotion, conviction, and variation in tone.

Group presentations

There is a different dynamic to group presentations because different individuals bring with them different ideas.

Working together

  • Exchange phone numbers and/or emails
  • Google docs or Prezi can be used so all members can contribute
  • Establish a timeline, when and where to meet, practice, etc.
  • Each individual may have a different idea
  • Come to an agreement on one topic
  • Topic needs to be relatable to the entire group
  • Identify a lead member to keep the group organized
  • One member can send out reminder emails/texts
  • One member can compile the various components needed for presentation

After the research

  • Symposium – a short speech given by the group
  • Forum – the group answers questions from the audience with short spontaneous speeches
  • Panel – each group member provides information and answers questions
  • Identify the role each member will have during the presentation
  • Who is speaking, when, and what points
  • Everyone will know transition points, especially if each member needs to speak
  • By chance someone is unable to make presentation other members will be familiar with the information and be able to fill in the gaps
  • All members will be confident with material

The presentation

  • The goal of the speech
  • The purpose
  • Should look and feel coordinated
  • All visual aids support the topic
  • Provide structure
  • Keep track of time
  • Ensures not one individual dominates the conversation
  • Use outline if needed
  • All group members need to be prepared to answer questions

Group appearance

  • Goal of speech is to keep it conversational
  • Think of a group of friends standing together. They do not necessary go in an order, they talk as the topic comes to interest them.  Organize the delivery of your speech in the same manner
  • Smiling, acknowledging one another will give the group credibility with the audience

The following is a brief list of alternatives for structuring a group presentation. It is by no means an exhaustive list of all the format options, but its enough to get you started. Keep in mind that your group can devise its own unique format by taking elements of each of the options presented below:

The group divides its topic up into a series of more or less equal parts, and each group member is assigned the task of presenting one part of the topic. The group needs to decide how to break up the presentation into several smaller topics, and the group should also plan the order in which the individual topics are to be presented. Each presenter should get the same amount of time to offer their part of the overall topic.

A big problem with this format is that one member might inadvertently cover material that another member thought was theirs to introduce. Groups which divide up the work and rarely meet to check in on each other’s progress are especially vulnerable to this problem. Groups doing a symposium have a high need to coordinate their efforts.

Timing is also a problem. Even if everyone understands that they have 10 minutes to speak, some group members may take longer than expected. This act forces other group members to compensate by rushing or eliminating ideas they had planned to present. Careful time management is essential in this format.

Finally, a symposium runs the risk of becoming a series of unrelated bits unless the group plans careful transition statements in between each of the individual presentations. These transitions help link the parts of the presentation together. It also helps if presenters refer to each other’s ideas — to integrate one person’s material with other ideas presented by different members of the groups. By referring to each other, the group communicates the “connectedness” of their material.

A panel is an interactive format. A moderator poses questions or makes statements to the group, and group members discuss. Each panelist speaks for only a short time — contributions continuing for more than two minutes uninterrupted run the risk of converting the interactive panel into a symposium! The idea is for the members of the group to have a discussion before the audience for the benefit of the audience. So, the panelists talk both to each other and the audience — shifting their focus of attention back and forth.

Panels are often lively, but run the risk of becoming disorganized! The group needs a good moderator and an outline of the topics to be discussed to ensure that the panel avoids becoming chaotic.

Additionally, panelists (other than the moderator) need to be aware of the following suggestions:

  • Know and stick to the outline of the discussion
  • Contribute frequently
  • Keep your contributions focused and BRIEF
  • Avoid repetition of points already made
  • Assert yourself-don’t wait to be called on
  • Listen carefully and critically
  • Indulge in friendly disagreements (productive conflict helps raise points
  • that might otherwise not surface)
  • Be fully prepared to discuss
  • Be sensitive to nonverbal communication (your own and others — look
  • like you’re interested and that you’re listening!)
  • Assist the moderator

Interrogation

Not nearly as threatening as the name sounds! In this approach, the group questions one or more “experts” before an audience of observers. These might be “bone fide” experts that the group has invited to be part of its presentation or members of the presenting group who “role play” an expert. (A group doing a presentation about global warming might ask a faculty member who has done research on the issue to answer questions; a group doing a presentation on a notable author might have one group member play the role of the author and answer questions about particular writings.)

Obviously, this format takes lots of planning. Experts are busy, and may be unable or unwilling to commit the necessary time to your project. Role playing presents different challenges. The group member(s) doing it must thoroughly research the person(s) they’re to become so that the simulation will be accurate and credible.

Because this format is somewhat untraditional in academic settings, it’s essential to check with your instructor to see if he/she will approve of the use of these approaches.

You can arrange a “pro/con” presentation in which members of the group are split. Some present information in favor of a particular issue, while the others in the group present the opposing side. There’s a separate link about debate where you can learn more.

This is a panel presentation where members of the audience can interact with the panel. The moderator asks for audience input during the discussion, and audience members who so desire either ask questions, make statements, or argue with the panel. (If you’ve seen a typical TV talk show, you’ve seen this approach.) The format works best with a skillful moderator who can easily bounce back and forth from panel to audience without getting rattled or confused.

Group presentations require the same skills we've covered so far in this module (e.g., well-structured ideas, visually appealing slides, etc.), but these assignments also need a different approach—creating an effective group presentation requires close collaboration, open communication, and lots of shared organization.

Guidelines for the Group Presentation Cycle

Group presentations have similar stages and milestones as solo presentations—however, group presentations have their own unique challenges, such as making space for individuals to collaborate and produce a cohesive piece of work.

Preparing the presentation

Choose a project manager.

Your project manager will be the team's chosen leader. In this role, the project manager will facilitate group discussions, ensure that the group agrees on a presentation structure, support group members during disagreements, moderate the Q&A period of the presentation, and oversee any other tasks that help the group stay organized.

Define Your Presentation

Review your assignment carefully and—as a group—define what you want to do and what you need to do for your presentation.

Some questions to consider include:

  • What is the main objective of our presentation?
  • What key points do we need to cover?
  • How would we summarize our presentation in a single sentence ?

Deciding on your message means your group can start building key points around the topic—but keep in mind that each subtopic must contribute to the main objective of your presentation.

Write a Group Contract

A group contract is a document you create with your group that formalizes how members will work together to complete a project (like a presentation!)

A few questions to answer at this stage include:

  • How will we divide the work among group members?
  • How much time will be given to each person to share their information?
  • What is our timeline for completing each part of the project?
  • How will we handle communication and updates within the group?
  • What visual aids will we use, and how will we share documents with each other?
  • Who will edit our slide deck and our script for clarity and consistency?
  • Who will handle the presentation tech during the session?

Build Your Presentation Together

It's tempting to work alone after you've divided up the work—but meeting regularly with your group to make shared decisions and agree on edits can lead to a stronger, more cohesive presentation.

A few benefits of close collaboration includes:

  • Immediate communication around edits or changes to your presentation content.
  • Creating a safe space to talk through challenges or ask for help from group members.
  • Preventing content duplication on slides and in the script.
  • Receiving feedback on your section's content with enough time to make changes.
  • Deciding who will handle specific types of questions during the Q&A portion of the session.

Make sure all group members have access to your group's shared files and folders—if a key person is sick on the day of the presentation, everyone in the group should be able to access that person's script and slide contributions.

Write and Practice Transitions

Clean transitions between speakers can guide your audience smoothly between topics and create a more professional experience.

One way to create transitions is to try the following:

  • Briefly summarize what you covered in your section of the presentation.
  • Introduce the next speaker in the team and explain what they will discuss.
  • End your introduction by looking at the next speaker, gesturing to them, and saying their name.
  • The next speaker will then acknowledge your transition.

It could sound like this:

Rupi : So, that was a brief introduction on what social anxiety is and how it can affect someone during a job interview. Now, Sarah will talk about the ways employers can reduce potential anxiety triggers for interviewees. Over to you, Sarah.

Sarah : Thank you, Rupi. Employers often have different approaches to job interviews…

Practice the Presentation

You should never run through your presentation for the first time in front of your class.

Rehearse your presentation multiple times before the due date to make sure:

  • Your ideas are well-structured.
  • Everyone is sticking to their time (and not going over time).
  • You can make edits where they're needed (e.g., correct a slide typo, shorten a spoken section, etc.).
  • You know who will answer specific questions during the Q&A section.

The more you rehearse your presentation, the more confident and comfortable you'll feel presenting the content and answering questions.

Introduce the Team

Your project manager can start the presentation with a brief introduction of the team—this is much smoother than each group member introducing themselves. The project manager should also provide a brief introduction to the presentation as well and what topics or subtopics will be covered.

Pay Attention to the Presentation

Stay attentive and engaged while each of your group members is presenting. Your audience can see your whole team throughout the presentation, so it's important to support your group by looking interested in what's being said and by reacting to their content, even if you've heard the content multiple times during rehearsals.

Agree on the Group's Appearance or Vibe

First impressions are important during any presentation, so make sure you're dressing the way you'd like your audience to perceive you. A good guideline is to dress more formally than the members of your audience.

In a group presentation, it can be helpful to decide who will be the subject expert on a particular topic during the Q&A period. For example, if your group presentation focused on social anxiety during job interviews, and you did research on the employer's perspective of this topic, then you would answer any questions relating to the employer's views on job candidates' social anxiety.

Your project manager could also act as a moderator during the Q&A period—they can be the person to address the audience and they can call on the team's subject experts to provide more information when needed.

Debriefing after the presentation

Debriefing refers to a follow-up discussion or a shared analysis of your presentation after it's happened. All experiences—whether positive or negative—can be identified, discussed, and reflected on as a group to improve your individual and shared performance ahead of your next presentation.

You could use the following guidelines to structure your group debrief:

Prepare Some Notes

Before meeting with your group, take some time to review your presentation goals, assignment criteria, and audience feedback. Reflect on what went well and why, what was challenging and why, what you learned from the presentation, and what you would do differently next time. Write down your thoughts and observations, and make sure to share them during the debrief discussion.

Set the Tone and Ground Rules for the Debrief

When you meet with your group, start by expressing gratitude for the opportunity to work together and learn from each other. Make sure to acknowledge and appreciate each other's efforts and contributions to help set a positive and respectful tone for your debrief session.

Before anyone shares their thoughts, make sure to set some ground rules—such as being honest and constructive, listening actively and with empathy, focusing on the process and outcomes, and seeking feedback and suggestions rather than criticism and complaints. Remember, the goal is to learn how you can improve for your next presentation, not to hurt each other's feelings.

Share Your Reflections and Feedback

Invite each group member to share their reflections and feedback. Use the questions you prepared earlier as a guide to structure your discussion.

For example, you might want to talk about what you want to 'Start', 'Stop', or 'Continue' doing in future group presentations. Ask each team member to share specific examples and evidence to support their points.

In addition, encourage each group member to receive feedback with openness and curiosity rather than defensiveness or resistance. Ask questions, clarify misunderstandings, and seek new perspectives.

Identify Key Learnings and Action Steps

Once everyone has shared their ideas, summarize the key learnings and action steps from the debriefing session. A simple format could include reflecting on what was learned, what you're proud of and want to celebrate, what you are dissatisfied with and want to change, and what your goals and plans for future presentations include. Make sure to share notes with everyone in the group.

There are both pros and cons to having to deliver a group presentation. On the plus side, you can share the workload and might feel more comfortable speaking within a group than being in front of the class alone. But, problems can arise in group presentations.

Group presentations are less successful when: 

  • Group members don't work together to make sure their component parts of the presentation flow smoothly together, resulting in what feels like 2 or 3 separate presentations  
  • Group members don't practice or know what other group members will be saying  
  • Group members don't plan ahead of time and certain parts of the presentation are stronger than others  
  •  Some group members don't adhere to an agreed upon time limit

To ensure a successful group presentation:

Divide up responsibilities 

  • Decide how you want the presentation to flow together. Will each member be covering a different point or subtopic, or will you alternate speaking between members?   
  • Plan to meet frequently and set deadlines for the group  
  • Set aside time a week in advance of the presentation to practice and edit the presentation together  
  • Communicate with your group members about any changes you want to make to your portion  
  • Look for and eliminate overlap. Avoid having group members repeat what was already said before.

How to successfully give an online group presentation

Today’s the big day, and your group’s turn has come. You open your mouth to introduce your group, and out pops...a slug . Dumbfounded, you look up to see 12 sneering faces on your screen. Gasp!

Luckily, that was just a dream. 

Maybe your subconscious is unveiling that you’re feeling a tad more stressed about that upcoming presentation than you thought. You aren’t sure why it chose that Harry Potter scene , but it’s now got you wondering:

What if I forget my lines?

What if I suddenly drop out of the session?

What if I get asked a point-blank question that stumps me?

Take a deep breath. You’ll be okay. 

To ensure that you and your team will deliver a smooth presentation, here are some tips to consider:

Getting ready—well in advance

1. notify others in your household.

Remind those you live with that you’ll be presenting. This way, you and your audience won’t see or hear things that may distract them during your presentation.

Also, if you have to present at a late hour, give a heads-up out of courtesy. Prep headphones so that nobody’s dreams (hopefully not about slugs?) will be disturbed.

2. Review the speakers’ list and prep a script

Knowing the order of presenters is one thing, but actually knowing when the hand-offs happen is another. 

Try preparing a shared script among everyone in your group. I like to divide each page into two columns; one column for images of slides from the presentation (rather than just “Slide #”), and the other for the script. Also consider organizing extra resources that can help you out in the Q&A period, like extra figures or stats.

Additionally, your audience might get restless from hearing lots of “Next slide, please”s. So, in case your group doesn’t have a shared script, prep a set of signals to communicate to one another during the presentation. For example, to prompt the person sharing the screen to move to the next slide, try:

  • Smiling and subtly nodding (if you’re video-sharing, of course!)
  • Sending likes in the group chat, e.g. via Messenger

Check in with your group to see what “code” you’d like to adopt!

3. Prep back-ups and protocols (for if/when things go off-script)

Occasionally, things might not unfold as smoothly as expected—but there are ways to preempt such hitches.

a) If you or a teammate’s Wi-Fi connection drops...

Spotty (or non-existent) Wi-Fi can be frustrating—prep for it by ensuring everyone on your team has a trained understudy (a.k.a. a backup who can cover their slides if needed). This way, if a presenter unexpectedly disappears, your team can still carry on.

b) If Zoom crashes...

Install Zoom on a backup device ahead of time—and you'll be set!

c) If it’s a groupmate’s turn and they’re not saying anything...

Give this person a few seconds to respond before asking if they’re there or not. Should the silence continue, cue their understudy. 

d) If an audience member accidentally turns their mic on...

Distracting sounds are cutting into your presentation. Avoid plowing ahead or raising your voice, as you might have to repeat everything you just said. Instead, pause and ask them to turn their mic off.

e) If anyone in your group is stumped during the Q&A period...

Return to the shared script (which everyone should plan to have opened on their laptop) and type up some hints there to help your groupmate out. Should everyone be stumped, have someone thank the individual for their thoughtful question—and share that the group will send them an answer post-presentation.

4. Complete some practice rounds

To get a sense of the flow and timing, have everyone participate in a mock presentation—if time allows, do multiple run-throughs!

Just before your presentation

It’s starting in 30 minutes—not to worry! Here are some quick questions to check off:

1. Is the content ready to present?

Open up all relevant materials on your screen!

2. Is your tech plugged in—and sitting where you want it?

Make sure your laptop is plugged in. You don’t want to talk, talk, talk—and then realize you’re projecting at the “Shutting Down” screen. Also, delay any automatic software updates.

Position your camera at eye level, and double-check that it's showing your face. You don’t want to turn on the video to show the bottom of your chin, unless your presentation discusses the physiology of the human jaw.

Standing up to present can be a good idea, too; it will almost be like presenting live and might even feel more natural!

3. Is there stuff in your physical or virtual background that you don’t want shown?

Check that your physical background is appropriate and free of anything that could distract your audience. For example, you could close the door and shut the window. Like, what if a fly comes for a visit?

Also, if you’re the one sharing the screen, it’s a smart idea to present just the browser window containing the presentation. Close tabs and bookmarks that might appear sus.

If you live with others, smack a note on your door: “Presentation in Progress. Do Not Disturb.”

4.  Is your appearance professional?

Try to avoid eating just before a presentation, as you may forget to check for telltale remnants in your teeth. Is your hair tidy? And check what you’re wearing, waist-down included—in case you ever change your position...and reveal your well-loved (and well-worn) pajama pants.

5. Do you know what to watch out for during the presentation?

Keep these 3 recommendations in mind:

a) Keep your mic off when it should be
