Headers and footers in PowerPoint are ideal for displaying descriptive content, such as slide numbers , author info, the date and time, and more. We'll show you how to easily insert or edit info in a header or footer in PowerPoint.

To insert headers and footers in PowerPoint, open your presentation, and then click "Insert."

Insert tab in PowerPoint

In the "Text" group, click "Header and Footer."

Header and Footer option in Text group

When the window opens, you'll be in the "Slide" tab. You can select any of the following options to add them to your slides:

  • Date and time
  • Slide number

You might notice that there isn't an option for a header. This is because headers aren't actually available on slides, but there's a simple work-around for this we'll cover below.

After you make your selections, you can see in the "Preview" on the right where they'll appear on the slide.

Type the text you want to appear in the footer in the text box under "Footer." You can select the "Don't Show on Title Slide" option if you don't want PowerPoint to add the text to the title slide of your presentation.

After you have everything the way you want it, click "Apply" to add your content to the currently selected slide. We clicked "Apply to All" to add our content to all slides in our presentation.

The content now appears at the bottom of the PowerPoint presentation slides you selected.

This is difficult to see, though---let’s edit it!

There are a couple of ways you can edit headers and footers in PowerPoint. Since each slide in your PowerPoint presentation is likely different, you might only need to edit something on a single slide. If that's the case, just click the content and edit it as you would any other text in that slide.

You can edit the format of the text, too. Just click and drag your cursor over the text you want to edit to highlight it, and then use the formatting tools in the pop-up menu.

Edit format of text in PowerPoint footer

If you want to edit the footer on all of your slides, you can do so by going back to Insert > Header and Footer, but the formatting options aren't available there.

If you want to change the font size and color of the footer text on all slides, select "Slide Master" in the "Master Views" section under the "View" tab.

Slide master option

Click the top slide in the left pane.

Then, highlight and edit the footer text in this slide. We changed our font size to 14 pt., and the color to red.

Edited footer text in Master Slide

When you switch back to View > Normal, your changes will appear on all slides.

Adding a header isn’t so much of a hack, as it is just adding a new text box to the top of your slide. You can do this in the Slide Master, so it will then appear on every slide in your presentation.

To do this, navigate to View > Slide Master to open the Slide Master. Select the top slide, go to the "Text" group under the "Insert" tab, and then click "Text Box."

Text box in text group of insert tab

Click and dragging your cursor to draw a header text box in the appropriate location, and then type your text.

When you return to View > Normal, your new header box will appear at the top of each slide.

How to Edit Footer in PowerPoint? [An EASY Solution!]

I know the feeling! You try clicking, double-clicking, and everything else that you know, and you still can’t select the elements in the footer! It is really annoying, to say the least. Does that mean, you can’t edit the footer in PowerPoint? Well, you can!

To edit the footer in PowerPoint, click on the “View” tab. Then, select the “Slide Master” view. Select the “Master Slide” or the first slide. From this slide, you can add, edit or remove the footer in PowerPoint. Changes to the master slide will apply to all slides.

Some elements in the footer of a presentation are easier to edit than others. This is based on how they are placed when designing the presentation. If they are present directly on the slide, you may find it easier to edit. However, if the objects are placed using the “Slide Master”, this article will help you fix the problem!

My goal with this article is to help you understand everything you need to know about editing or adding a footer in PowerPoint.

So, let’s get started!

1. How to Change Footer Text in PowerPoint?

As mentioned earlier, if you are unable to select the footer elements directly on the slide, you will have to go to the “ Slide Master ” view and change the footer in the “ Master Slide. ”

Don’t worry, I’ve described the complete process in a step-by-step manner below.

Step-1: Select the “Slide Master View” option

powerpoint presentation title in footer

The first step of the process is to go to the “ View ” tab from the ribbon the select the “ Slide Master View ” option, which is located inside the “ Master Views ” section.

This will take you to the “ Slide Master ” view.

Step-2: Select the “Footer” in the “Master Slide”

powerpoint presentation title in footer

After you have opened the “ Slide Master ” view, you will notice that the slides in the “ Slide Navigation ” bar have changed.

Here, you can edit almost all parts of the layout of the slides in your presentation. The first slide in this view, the slide that is a little bit to the left from all the other slides is the “ Master Slide ”.

In this step, you have to select the footer which will enable you to edit the text inside the “ Text Box ” of the footer.

Step-3: Edit the text

In this step, after you select the “ Text Box ” of the footer, all you have to do is to edit the text of the footer and then select anywhere outside the “ Text Box ”.

After that, click on the “ Close Master Views ” option to close the “ Slide Master ” view and you will notice that the edit in the footer has been updated to all slides.

2. How to Remove Footer from All Slides in PowerPoint?

To remove Footers from all the slides in your PowerPoint presentation, you have to delete the footer in the “ Master Slide ” in the “ Slide Master ” view of your presentation.

Go to the “ Slide Master ” view and follow the process described in the 3 steps below.

Step-1: Open the “Slide Master” View

The first step is to open the Slide Master view in PowerPoint as we did in the previous section.

Step-2: Select the Footer in the “Master Slide”

powerpoint presentation title in footer

After accessing the “ Slide Master ” view, the first thing that you have to do is to go to the “ Master Slide ” and select the “ Text Box ” of the footer.

To do that, you have to “ Left click ” once on the “ Text Box ” and the border of the text box will appear indicating that it has been selected.

Step-2: Press the “Back Space” or “Delete” keys

While keeping the “ Text Box ” of the footer in the “ Master Slide ” selected, hit the “ Back Space ” on the keyboard of your computer and the footer will be removed instantly.

Since edits on the “ Master Slides ” apply to all the slides that are following the layout, the footers from all the slides will be removed by removing them from the “ Master Slide ”.

3. How to Add Footer to All Slides in PowerPoint?

Open the “ Slide Master ” view (as described in the previous sections) and follow the steps given below to add a footer to all slides in PowerPoint.

Step-1: Go to the “Header & Footers” option

powerpoint presentation title in footer

After opening the “ Slide Master ” view, the first step is to click on the “ Header & Footer ” option which is located in the “ Text ” section of the “ Insert ” tab. This will open a pop-up window.

Step-2: Check the Footer box and type in the text

powerpoint presentation title in footer

From the pop-up window, click on the box next to the “ Footer ” option and then type in the text that you want to add in all the slides as a footer inside the rectangular box below.

After that, click on the “ Apply to All ” button and the footer will be added to all the slides in your PowerPoint presentation.

4. How to Add Logo to a Footer in PowerPoint?

To add a logo in the footer of your PowerPoint presentation, you have to insert an image in the “ Master Slide ” of your presentation.

Go to the “ Master Slide ” using the steps described earlier and follow the instructions given below.

Step-1: Open the Slide Master View

As usual, in order to make changes to the complete presentation, you will need to open the “Slide Master”.

Step-2: Insert the Logo to the Master Slide

powerpoint presentation title in footer

Once you are in the “Master View”, the first step to adding an image/logo in the footer of your PowerPoint presentation is to upload the logo to your presentation. Go to the “ Insert ” tab and click on the “ Pictures ” option, which is located in the “ Images ” section.

This will open a drop-down menu. From the drop-down menu, click on “This Device.”

Step-3: Select the logo file

powerpoint presentation title in footer

After you click on “ This Device ”, a new window will pop up on your screen. From that window, go to the folder on your computer which contains the logo you want to add and click on it. Then hit the “ Open ” button at the bottom right corner of the pop-up window to add it to your PowerPoint presentation.

Step-4: Format the logo and place it in the area of the footer

powerpoint presentation title in footer

After adding the image to the slide, simply resize it and place it in your preferred area as a footer. This will add the logo to all the slides that are using the layout of the “ Master Slide ” in your PowerPoint presentation.

5. Can You Add Multiple Footer in a PowerPoint Presentation?

Unfortunately, you can’t add multiple footers in your PowerPoint presentation directly. However, there is a workaround to this problem. The “ Master Slide ” in the “ Slide Master ” view is a master key to all the slides with the layout of the “ Master Slide ”.

You can use two different custom layouts to create a two-footer option. Then, when designing your presentation, simply choose the type of custom layout for the slide depending on the type of footer required.

Let me show you step by step how this can be achieved.

Step 1 – Go to the Slide Master View

powerpoint presentation title in footer

As always, the first step is to go to the slide master view. By now, you should know exactly how this can be done. If you are not sure, simply scroll up and read through the first section of this article.

Step 2 – Add a Custom Layout

powerpoint presentation title in footer

To add a custom layout, simply click on the “ Insert Layout ” option in the ribbon. This will add a new custom slide layout after the select layout slide.

Step 3 – Delete All Placeholders

powerpoint presentation title in footer

The next thing that you want to do is to delete all the placeholders so that you are left with a blank slide.

To delete, simply click anywhere on the slide (outside the boxes), and press “Ctrl+A”. This is a shortcut to select all. Then, press the “Delete” or “Backspace” key on your keyboard.

You will now be left with a blank custom layout slide.

Step 4 – Duplicate the Blank Custom Layout Slide

powerpoint presentation title in footer

Next, create a copy of this blank custom layout slide that we just created. You can do this by simply using copy and paste in PowerPoint .

Alternatively, you can also right-click on the slide, and from the options, choose “ Duplicate Layout “.

Step 5 – Create Multiple Custom Footers

powerpoint presentation title in footer

Now, create the two different footers on both the custom layout slides respectively. Do so just as you would on a normal slide.

For the sake of this example, I’ve added the logo of my brand – artofpresentation.

Step 6 – Rename the Custom Layouts

powerpoint presentation title in footer

Now, rename the custom layouts so that you are able to easily identify the two layouts with two different footers and exit the slide master view.

Step 7 – Selecting the Layouts

powerpoint presentation title in footer

The final step of the process is in the front end.

When inserting the slide with the custom layout option, simply click on the “Home” tab . Then, click on “Layout”. From the dropdown, choose the layout with the custom footer that you want to apply.

powerpoint presentation title in footer

As you can see in the image above, two different footer styles have been applied to two different slides using custom slide layouts in the slide master view.

One thing to remember is that make sure that you delete any pre-existing footer from the “Master Slide” in the slide master view.

You can also add the footer directly to a specific slide in “Normal View” . To do that, create a custom blank layout by deleting the elements as mentioned in the steps above.

Then, in “Normal View”, insert the blank custom layout, and add the elements directly to the footer of a specific slide instead of using the “Slide Master View”.

6. How to Lock Footer in PowerPoint?

There is no direct way to lock the footer of your presentation in Microsoft PowerPoint so that other people with the PowerPoint file cannot edit it.

However, there are third-party software that can help you to do this. I would like to recommend “ OfficeOne: Shape Locker. ” It is a software that allows you to lock not only the footer in your PowerPoint presentation but also headers, shapes, objects, images, and more.

To use this software, all you have to do is download it from their website using this link and it will be automatically integrated into your PowerPoint. You will find it in the “Design” tab of your PowerPoint presentation.

7. PowerPoint Footer Not Showing? Here’s What to Do!

Some users have complained that they can’t add a footer or the footer that they have added to their PowerPoint presentation is not showing on the slides. This may happen because there is no placeholder for a footer in the “ Master Slide ” of your PowerPoint presentation.

To add a placeholder in the “ Master Slide ” of your presentation, follow the simple steps given below.

Step-1: Select the “Master Layout” option

powerpoint presentation title in footer

The first step is to “ Right Click ” on the “ Master Slide ” and select the “ Master Layout ” option which is the second to last option in the drop-down menu.

Step-2: Ensure that the “Footer” is enabled

powerpoint presentation title in footer

In this last step, all you have to do is to click on the box right before the “ Footer ” option and then hit the “ OK ” button at the bottom right corner of the pop-up window.

After that a placeholder for the footer will be added to your “ Master Slide ” and you will be able to see the footer in your PowerPoint presentation.

How to Add Headers and Footers in PowerPoint

Author avatar

PowerPoint allows you to customize presentation templates in various ways. One of them is by adding headers and footers to your PowerPoint presentation.

Headers and footers in PowerPoint are great for adding those important details to your presentation, whether it’s slide numbers, date and time, or other information. You can easily add a header or a footer in PowerPoint, then customize and edit it to fit your presentation better.

Why Use Headers and Footers in PowerPoint

Headers and footers appear at the top and bottom of your slides and are there to display additional information. After you insert a header or a footer, you can always edit and add more data to it. However, be careful not to overload your audience with it.

The most common use of headers and footers in PowerPoint is to help your audience follow the presentation. You can add page and slide numbers which will help you keep track of where you are when presenting the content. Plus, it’ll be easier for you to see if you’re going to finish presenting on time, or if you’re a little behind by following the page numbers.

You can also use headers and footers to insert some of your personal information, like your brand name or some personal details that you want to be displayed in front of your colleagues. It’ll be helpful for your audience to remember your name and address you by it during the Q&A section or after you finish the presentation.

To insert headers and footers into your PowerPoint presentation, follow the steps below.

  • Open your PowerPoint presentation.
  • Select Insert .
  • Select Header and Footer .

The second option is Slide number . This one’s self-explanatory, you can use it to display a page number either on one of your slides or on all of them.

The last option is Footer , which gives you more space to add your personal info at the bottom of your slides.

This box needs to be checked for all the layout masters (please note that selecting multiple layout masters at the same time and checking this box doesn’t work as intended, since the change will be applied only to the current layout master). If you want the footer to appear only in some slides, check “Footers” only in those layout masters which the desired slides derive from.
  • Exit the Slide Master by clicking Close Master View, located on the Slide Master tab.
  • Now follow the instructions explained in the first section of the tutorial to edit the footers.

How to Add a Footer in PowerPoint: A Step-by-Step Guide

Adding a footer in PowerPoint is a straightforward process that helps to enhance your presentations by providing essential information like slide numbers, dates, and custom text. To add a footer in PowerPoint , follow these simple steps: Go to the Insert tab, select Header & Footer , customize your footer content, and apply it to your slides. In this guide, we will walk you through the process in detail, ensuring that your footer is perfectly tailored to your needs.

Why Adding a Footer in PowerPoint Is Important

A footer in PowerPoint serves several crucial purposes. It allows you to include consistent information across all slides, which can be especially useful for long presentations. Common uses for footers include adding the date, the presentation title, the presenter’s name, or the slide number.

By having this information readily visible, you provide your audience with important context, enhancing their understanding and retention of your presentation content.

How to Add a Footer in PowerPoint?

Step 1: open your powerpoint presentation.

Start by opening the PowerPoint presentation where you want to add a footer. This can be an existing presentation or a new one that you’re currently working on.

Step 2: Navigate to the Insert Tab

Once your presentation is open, locate the Insert tab on the PowerPoint ribbon at the top of your screen. The Insert tab is where you’ll find various tools to add elements like images, shapes, and text boxes to your slides.

Step 3: Access the Header & Footer Dialog Box

In the Insert tab, look for the Text group of options. Within this group, click on Header & Footer . This action will open a dialog box where you can manage your slide’s header and footer elements.

Step 4: Customize Your Footer

The Header and Footer dialog box provides several options. To add a footer:

  • Check the Footer Box : Start by checking the box next to “Footer” to enable the footer feature.
  • Enter Your Footer Text : In the text box provided, type the content you want to display in your footer. This could be a title, your name, the date, or any other relevant information.
  • Slide Number and Date : If you want to include the slide number or the date, you can check the respective boxes in the dialog. You also have the option to choose whether the date updates automatically or remains fixed.

Step 5: Apply the Footer

After customizing your footer, you have the option to apply it to all slides or just the current slide:

  • Apply to All : This will add the footer to every slide in your presentation.
  • Apply : This will only add the footer to the slide you’re currently viewing.

Step 6: View Your Footer

Once you’ve applied your footer, navigate through your slides to ensure it appears as you intended. If any adjustments are needed, you can easily return to the Header & Footer dialog box and make changes.

Customizing Footers for Specific Slides

Sometimes, you might want a footer to appear only on specific slides or to have different footers on different slides. Here’s how you can manage that:

Adding a Footer to Specific Slides

To add a footer to specific slides:

  • Select the slide where you want to add a footer.
  • Go to Insert > Header & Footer .
  • Customize the footer content and click Apply . This will ensure the footer only appears on the selected slide.

Excluding the Footer from the Title Slide

If you don’t want the footer to appear on the title slide:

  • Open the Header & Footer dialog box.
  • Check the box labeled Don’t show on title slide .
  • Click Apply to All to apply this setting across your presentation.

Troubleshooting Common Footer Issues in PowerPoint

Sometimes, your footer may not appear as expected. Here are some common issues and how to fix them:

Footer Not Visible

If your footer is not visible:

  • Check Slide Layout : Some slide layouts might not display footers. Try switching to a different layout that supports footers.
  • Master Slide Settings : Ensure that footers are enabled in the Slide Master view. To do this, go to View > Slide Master and check if the footer placeholder is present on the master slide.

Footer Text is Cut Off

If your footer text is being cut off:

  • Adjust Text Box Size : You can manually resize the footer text box on the slide to ensure that all text is visible.
  • Reduce Font Size : Consider reducing the font size to fit the content within the slide.

Footer Doesn’t Update Across Slides

If changes to your footer aren’t reflecting on all slides:

  • Apply to All : Ensure that you selected Apply to All when updating your footer. This ensures consistency across your presentation.
  • Check Individual Slides : Sometimes, footers on individual slides can override the master footer settings. Check these slides individually to ensure they match your intended design.

Advanced PowerPoint Footer Customizations

For more advanced users, PowerPoint offers several ways to further customize your footers:

Using Slide Master for Consistent Footers

The Slide Master view in PowerPoint allows you to create a consistent footer across all slides by editing the master slide. This is particularly useful for large presentations where you need uniformity.

  • Go to View > Slide Master .
  • Select the top-most slide in the Slide Master view.
  • Edit the footer placeholder as needed. Any changes you make here will apply to all slides linked to this master slide.

Adding Dynamic Content to Footers

If you want to include dynamic content in your footers, such as the current date or the slide number, PowerPoint allows you to do so with ease:

  • Date and Time : In the Header & Footer dialog box, check the Date and time box and choose between fixed or dynamic date formats.
  • Slide Number : To include slide numbers, check the Slide number box in the same dialog box.

Customizing Footer Appearance

You can also customize the appearance of your footer, including font, color, and positioning:

  • Font and Color : Select the footer text on your slide and use the Home tab to change the font style, size, and color.
  • Positioning : Click and drag the footer text box to reposition it on your slide.

Removing a Footer from PowerPoint Slides

If you no longer need a footer in your PowerPoint presentation, you can easily remove it:

Removing Footer from All Slides

  • Uncheck the Footer box.
  • Click Apply to All to remove the footer from every slide.

Removing Footer from Specific Slides

To remove a footer from a specific slide:

  • Select the slide where you want to remove the footer.
  • Click Apply to remove the footer only from the selected slide.

Best Practices for Using Footers in PowerPoint

To ensure your footers enhance your presentation rather than distract from it, consider these best practices:

Keep Footers Simple and Relevant

Your footer should only include essential information. Avoid cluttering it with unnecessary details that can distract from your main content.

Use Consistent Formatting

Consistency is key in creating a professional presentation. Ensure that your footer’s font, size, and color match the overall design of your slides.

Consider Audience Needs

Tailor your footer content to your audience. For example, if presenting in a corporate setting, including the presentation title and your company name might be important. In a classroom setting, adding the date and lesson title might be more relevant.

Test on Multiple Devices

Before finalizing your presentation, test it on different devices and screens to ensure that your footer displays correctly. This is especially important if you’ll be presenting on a projector or sharing your presentation digitally.

Final Thoughts

Adding a footer in PowerPoint is a simple yet powerful way to enhance your presentations by providing consistent, relevant information across all slides. By following the steps outlined in this guide, you can easily create and customize footers that suit your presentation needs, whether for professional, educational, or personal use.

Remember to keep your footers clean, consistent, and tailored to your audience for the best results. Whether you’re adding slide numbers, dates, or custom text, footers can greatly improve the clarity and professionalism of your PowerPoint presentations.

How to Insert Headers and Footers in PowerPoint

PowerPoint allows you to create headers and footers, that is, information that appears at the top and bottom of all slides. This information will typically include the name of the presenters, their affiliation, and the presentation title, slide number, and date, but other information can be added as well. However, be careful not to spoil your presentation with too much information.

PowerPoint: Header & Footer Ribbon Button

  • The last option determines whether the header and footer is shown on the title slide. It is aesthetically better not to show this information on this slide since most of that information will be already displayed, such as the title of the presentation, the name and affiliation of the presenter, and sometimes even the date. So select Don’t show on title slide . Click Apply to All to save the changes and to update the slides.

PowerPoint: Edit Slide Master

  • Once in the Slide Master view, you can make any changes you like to the header and footer by moving or resizing the text boxes and changing their text attributes via the HOME or FORMAT tabs.
  • Once you have finished your changes, click the Close Master View button. You will notice that your changes have been applied to all slides.

Add Date, Number, and Footer

By default, placeholders for Date , Number , and Footer are preconfigured but do not appear on slides in a presentation. PowerPoint offers the possibility to turn on/off the date, number, and footer without deleting, recreating or formatting their placeholders.

To enable the date, number, or footer in the presentation, follow the next steps:

   1.   On the Insert tab, in the Text group, click Header & Footer or Date & Time or Slide Number :

You can also select the Language and a Calendar type if you plan to demonstrate this presentation to the audience in the country with an alternative calendar type.

You can put any information in that field, not only a date.

Slide Number

This placeholder shows the slide number on each slide, wherever the number placeholder appears.

By clicking the Apply and Apply to All buttons, you can display or hide page numbers for some slides.

By default, the Footer placeholder is empty. After selecting the Footer checkbox, enter the desired text in the Footer field.

Format Date, Number, and Footer

You can customize font, size, and other text attributes of Date , Number , and Footer placeholders:

  • For all slides, on the Master slide view.
  • Individually for the current slide only.

Remove Date, Number, or Footer

You don't need to remove any of these three placeholders. If you need to hide any of these placeholders, just turn them off by doing the following:

   1.   Click the appropriate button in the Text group on the Home tab.

   2.   In the Header and Footer dialog box, make the changes you need, and then click:

Quick tip: Insert and edit a footer in PowerPoint

Theresa Spiller

Are you looking for a quick and easy tutorial to insert and edit PowerPoint footers? Then you have come to the right place. Sometimes the little things make creating presentations easier and optimize a PowerPoint document - for example, a footer. But PowerPoint can become more and more confusing as more and more icons and areas are added to the ribbon.

In this article, we will show you not only how to insert a footer into PowerPoint presentations but also how to edit a footer in the slide master.

Footer in PowerPoint: insert and edit

insert and edit or change a footer in powerpoint

What is a PowerPoint footer good for and when is it useful?

The most important benefits of PowerPoint footers are:

  • Better identification of individual presentations: whether the current quarterly report or the one from the previous quarter, a footer that contains, for example, "Sales Report Q3" makes it easy to see what a presentation covers.
  • Good placement of citations: important source citations should appear on the corresponding slide. A footnote is a perfect place for citations.
  • Consistent and clean: a consistent footnote that contains, for example, the name of the company or the presenter appears neat and makes a presentation look professional.

  • To insert the footer, enter your desired text in the Footer field at the bottom of the window.

You will see that the date and page number can also be edited at this point.

We show you how to create and format your own slide master in our article " How-To: Create and Customize PowerPoint Master Slide ".

Use the top-most slide in the Slide Master to edit your footnote. You can apply common footnote formatting such as:

  • Placement of the footnote field
  • Footnote text
  • Font size and color

insert and edit or change a footer in powerpoint footnote formatting

Each change needs to be made only once in the top master slide because it then automatically repeats on all the master layouts under it.

How to apply your footer edits to the entire PowerPoint presentation: In the slide master, click the Close Master View button on the right-hand side ribbon.

insert and edit or change a footer in powerpoint whole presentation

Now your formatting is applied to all slides so you do not have to edit each footer individually. Even if you add another slide to your presentation, the footer will be displayed with the right layout and in the right place.

insert and edit or change a footer in powerpoint all slides

Is your footer not showing? Check again the dialog window which we explained above in the „How to insert and edit a footer in PowerPoint“ section. In that dialog, the footer must be activated and applied to all.

what to do if your powerpoint footer does not show

Good to know: Even with a footer that has been inserted via the slide master, you can move individual footers with the mouse.

move individual footers with mouse

If you have moved your footer on a slide and would like it to be displayed in the original position again, simply right-click on the thumbnail of the slide and then on Reset Slide. The footer will go back to its original position (as specified in the slide master).

Creating a Professional PowerPoint Presentation

To create a polished and engaging PowerPoint presentation, focus on designing an appealing title slide, applying consistent slide layouts, and incorporating your company’s branding elements.

Designing the Title Slide

The title slide sets the tone for the entire presentation. Choose a clean and professional template that resonates with your audience. Include the presentation’s title , subtitle, your name, and the date.

Consider adding your company logo for a professional touch. Be mindful of color schemes—make sure they are not too flashy or distracting. Balance white space and use large, readable fonts to enhance clarity. Visual hierarchy matters; the title should stand out prominently.

Remember, the title slide is the first impression—make it count!

Applying Consistent Slide Layouts

Consistency throughout the presentation is key. It creates a harmonious flow and maintains audience engagement. Opt for a cohesive slide layout for all slides, using a consistent color palette, font style, and size.

Using the Slide Master view in PowerPoint, you can apply global changes to all slides. This includes standardizing headers, footers, and text boxes. This ensures uniformity and saves time .

Clear, concise bullet points are effective for conveying information. Avoid overloading slides with text; instead, use graphs, images , and charts to illustrate complex points.

Incorporating Branding Elements

Branding elements make your presentation feel authentic and aligned with your company’s identity. Incorporate your company logo, color scheme, and fonts consistently across all slides.

Using branded templates is an excellent way to ensure your presentation reflects your company’s visual identity. If available, include taglines, slogans , or mission statements subtly to reinforce your brand message.

Customizing footers with your brand’s contact information or website URL also helps provide a professional touch without being overbearing. Visual consistency reinforces brand recognition and trust.

Make your presentation not just informative but also a direct extension of your brand’s personality and values.

Mastering Slide Master Features

Harnessing the power of Slide Master in PowerPoint allows us to make bulk changes to slides, ensuring consistency and saving time. We’ll explore how to customize headers and footers, adjust backgrounds and fonts, and set up slide numbers and dates effectively.

Customizing Headers and Footers

To start with, let’s focus on headers and footers within the Slide Master. First, we need to access the Slide Master by clicking “View” and then “Slide Master.” Here, we can insert headers and footers by selecting “Insert” and then “Header & Footer.”

When dealing with footers, we have the option to adjust everything from text to slide numbers. Clicking on the Slide Tab within the header and footer dialog box opens up options for adding footers to all slides or just a selection. This is excellent for maintaining a unified appearance across our presentation without individually editing each slide.

Adjusting Backgrounds and Fonts

Backgrounds and fonts can significantly impact the visual appeal of our presentation. Firstly, we’re able to modify backgrounds by navigating to the appropriate Slide Master view. Here, we can choose to Customize Colors or even add gradients and textures for a personalized touch.

Font adjustments are straightforward. Highlight the text, then head over to the “Home” tab. From here, we can change various font properties, such as font size , font color , and font style . Ensuring consistency is crucial; using Slide Master ensures that these changes are applied across all relevant slides, giving a polished look.

Setting Up Slide Numbers and Dates

Inserting slide numbers and dates is intuitive when using the Slide Master. After accessing it under the “Insert” tab, select Header & Footer . Here we can enable slide numbers by ticking the relevant box. Dates can be set to update automatically or remain fixed, depending on our preference.

Using “Apply to All” ensures that these elements appear uniformly on each slide. This uniformity is instrumental in maintaining a professional look and making the navigation easier for our audience. The PowerPoint footer options within Slide Master make it easy to control the positioning and formatting of these elements, streamlining the overall design of our presentation.

By mastering these Slide Master features, we ensure a consistent and visually appealing presentation every time.

Enhancing Visual Appeal Through Formatting

Crafting a PowerPoint presentation with engaging footers can significantly elevate its visual appeal. We’ll dive into inserting images, tweaking colors, and strategically using text boxes to create polished and visually striking footers.

Inserting Images and Logos

Inserting images and logos in footers can make them more customized and professional. First, navigate to the “Insert” tab and select “Picture.” This lets us choose an image file from our computer or an online source. For company logos, it’s best to use high-resolution images to maintain clarity.

Drag and resize the image within the footer area to fit the layout seamlessly. We can use the “Picture Format” tab for fine-tuning. Tools here help adjust size, position, and cropping to ensure the image complements the footer without overwhelming other elements on the slide.

Customizing Colors and Styles

Customizing colors and styles is crucial to match the footer with the theme of your presentation. Start by selecting the text or element within the footer. Use the “Home” tab to access font styles, sizes, and colors. Consistent use of branding colors enhances the visual coherence.

For a cohesive look, apply the same color schemes and font styles used in the rest of the presentation. Explore the “Design” tab to choose from predefined color palettes and themes. Applying a subtle shadow or glow effect can make footer text stand out without being too bold.

Utilizing Text Boxes and Bullets

Text boxes and bullets in footers are great for organizing information. Access the “Insert” tab, select “Text Box,” and click within the footer area to place it. This allows for easy customization and placement of notes, reminders, or contact information.

Bulleted lists in footers can concisely convey multiple points or tips. Use the “Bullets” option in the “Home” tab to create and format lists. Adjust the size and alignment to ensure readability while maintaining a neat and organized look. This approach keeps essential information prominent and accessible.

Incorporating these techniques ensures that our PowerPoint footers not only look good but also serve practical purposes effectively.

Optimizing PowerPoint for Efficiency

Optimizing PowerPoint can make creating and managing presentations smoother and more productive. We will look into effective use of templates and themes, smart navigation of views including the Handout Master, and the advantages of PowerPoint 365.

Leveraging PowerPoint Templates and Themes

Using templates and themes allows us to ensure consistency and save time on design. Templates provide preformatted slides with specific layouts, fonts, and colors. By selecting appropriate templates , we reduce design tasks and focus on content.

Themes offer a cohesive look across the entire presentation. They automatically apply design changes to all slides, which can be adjusted to match our branding. For instance, PowerPoint 2021 and PowerPoint 2019 come with a variety of built-in themes that can be customized to suit our needs.

Using the thumbnail pane for template and theme changes helps us preview and select styles efficiently. These tools eliminate redundant formatting tasks, making our workflow more efficient.

Navigating Views and Using the Handout Master

Understanding different view options helps us manage slides more effectively. Normal view is perfect for day-to-day editing, allowing us to directly interact with slides.

Normal View Editing individual slides Regular slide edits
Slide Master Editing templates and themes Consistent design changes
Handout Master Customizing print layouts Creating tailored handouts

The Handout Master view allows us to design printed handouts efficiently. It lets us arrange multiple slides per page and add headers, footers, and other information to our printed documents. This feature proves invaluable for distributing hard copies during presentations.

Powerpoint 2016 - Inserting automatic titles/headers based on section name

I have my slides organised into sections, and would like each slide to automatically have its title (header) be of the form "SectionName >> Subtitle". SectionName should be the name of the section that contains the current slide, and Subtitle is text I would input manualy for each slide (ideally in text rather than slide view; for that I guess I'd have to use outlineView, and thus that my titles have to function as the slides' Title rather than as a simple text heading).

Also, is there any way to make sections organised hierarchically, much like Heading1, Heading2 etc styles in Word, and collapse a certain section with all of its subsections? If so, it would be excellent to have the titles actually named as "Section1Name>>Section2Name>>..>>ManualSubtitle".

  • 3 PowerPoint doesn't have anything like this built-in, but it should be possible with some VBA or other programming. If you have some VBA experience, give it a shot and if you get into trouble, post your code on StackOverflow and ask for help. –  Steve Rindsberg Commented Jun 7, 2016 at 2:19

Basically, converting Steve Rindsberg's comment into an answer:

PowerPoint has no function like this built-in.

However, like most Office products, PowerPoint does have the very powerful VBA macro engine, which would certainly be capable of doing this.

Your macro would have to capture the Section name based on whatever parameters you choose to use to mark that, and then it could place that information anywhere you please within subsequent slides.

Because slides are more about visual layout than programmatic auto-creation, this is something you'd have to build yourself.

But, also like Steve Rindsberg noted: Get something started and as you come upon questions, our programming sister site StackOverflow would be a great place to ask them.

Different Types of Slides for Your Presentations

Different Types of Slides for Your Presentations

Table of Contents

Presentations are a great way to share information and ideas. Whether you’re selling a product, teaching a class, or showing off your work, the slides you use can make a big difference.

There are many different kinds of slides you can add to your presentations, each with its own purpose and advantages. By knowing the different types of slides and how to use them well, you can create interesting and informative presentations that will stick with your audience.

Different Types of Slides

There are many different types of slides that you can use in your presentations. Some of the most common types include:

Opening Slides

1. title slide.

title slide

The title slide is your chance to make a strong first impression and set the tone for your presentation. It should clearly convey the topic, your identity, and relevant details. A good title is both practical and creative.

The main title is the focal point and should be concise yet descriptive. Use a large font size that’s easy to read from a distance. If needed, add a subtitle for more context. Clearly state your name, job title, and affiliation. Include the date and venue for reference.

Design your slide to reflect your brand or personal style using logos, colors, and fonts. Keep it clean and uncluttered for a professional look. Remember, less is more. Use high contrast for readability and avoid distracting background images. Consider adding subtle effects like fade-in or morph for visual interest.

2. Agenda Slide

agenda slide

Agenda slides serve as a valuable tool for guiding your audience through the structure of your presentation. By outlining the main topics and their expected duration, you can help them anticipate the flow of information and manage their expectations.

This is especially beneficial for lengthy presentations or academic talks where a clear roadmap can enhance understanding and engagement.

When creating an agenda slide, consider including the following elements:

  • Clear Topic List: Present a concise and well-organized list of the main topics to be covered.
  • Optional Timings: Indicate the estimated duration of each section to provide a sense of pacing.
  • Visual Progress Indicator: Use checkmarks, arrows, or other visual cues to highlight the current topic and show what’s ahead.
  • Distinctive Headings: Use clear and concise headings to visually separate different sections.
  • Hyperlink Integration: If using PowerPoint, consider adding hyperlinks to specific slides to ensure smooth navigation and avoid abrupt jumps.

Learn more on How to Create Agenda Slides in Powerpoint .

Transitional Slides

Transitional slides act like bridges that connect different parts of your presentation. They help your audience smoothly move from one topic to the next. These slides are important because they:

  • Clearly Signal a Change: Let your audience know that you’re moving on to something new.
  • Keep the Audience Engaged: Prevent sudden jumps between topics, helping them stay focused.
  • Make Your Presentation More Visually Interesting: Add variety and visual appeal.

Here are some examples of transitional slides:

3. Quote Slide

quote slide

Quote slides incorporate wisdom, authority, or inspiration from renowned sources into your presentations. They can provide strong support for your arguments or motivate your audience.

These slides are perfect for emphasizing a point, sparking thought, or introducing a new direction in your presentation. Use them to highlight the importance of an idea.

Here are the elements of a quote slide:

  • The Quote: Clearly presented and attributed to the speaker or writer. The text should be easy to read and emphasized to stand out.
  • Author’s Name and Credentials: Provide context by including the author’s name and, if relevant, their qualifications or why they are an expert on the topic.
  • Related Imagery or Background: An image or design that matches the theme of the quote can make it more impactful.

Consider using a quote presentation template with a professional layout. You can find something directly on SlidesAI . For readability, ensure there is a good contrast between the text and the background. Text boxes with backgrounds are often used. If you use an image, choose one that enhances the text, not competes with it.

4. Image Slides

image slide

Image slides can significantly make your presentations better by gaining attention with their visual appeal and transitions. For a smooth flow, use a full-screen image with a fade effect. To create a more dynamic experience, experiment with the Morph transition between slides featuring overlapping images.

You can also build anticipation with a thematic image series that subtly connects your topics. Remember to keep these transitions concise and impactful to maintain your audience’s attention.

Closing Slides

5. q&a slide.

q and a slide

Q&A slides are often used in presentations for various reasons. For instance, some presenters like to ask questions to the audience after their presentation and answer any questions they may have.

Other presentations might encourage the audience or panel members to ask questions throughout the presentation. If you’re planning to incorporate Q&A into your presentation, consider using some well-designed templates to make a positive impression.

6. CTA Slides

CTA slide

A call-to-action slide, or CTA slide for short, serves to encourage viewers to take a specific step after your presentation. This could range from initiating a conversation to purchasing a product or service, or even engaging in a project.

Typically placed at the end, following the concluding remarks and thank you slide, the CTA aims to spark immediate action. Here’s what makes a strong CTA slide:

  •  A Clear Direction: The heart of the CTA itself should be direct and persuasive. Think of something like “Register Now,” “Join Our Team,” or “Visit Us Online.”
  • Reasons to Act: Briefly remind viewers of the benefits they reap by taking action. This strengthens the appeal and motivates them to follow through.
  • Contact Information or Links: Make it easy for them to act! Include all necessary links or contact details so viewers know exactly where to go next.
  • Visually Appealing Design: Grab their attention! Use a design that pops and features large, easy-to-read text. Opt for strong, action-oriented language to drive the message home.

7. Summary Slide

summary slide

A summary slide is a great way to give your viewers an overview of the presentation once it ends. By recapping everything that was presented, summary slides make it easier to remember the most important takeaways.

A summary slide should include:

  • Important Points: Clearly summarize the main points covered in your presentation.
  • Visual Recap: Use simple visuals like graphics, charts, or callouts to visually represent significant data or conclusions.
  • Concluding Remark: End with a sentence or two that encapsulates the overall message or conclusion of your presentation
  • Maintain consistency in styling throughout your presentation for a cohesive look.
  • Use color or size variations to emphasize the hierarchy of concepts summarized.

Closing Thoughts

Understanding the different types of slides and how to use them can significantly enhance your presentations. Feel free to mix and match slides based on your needs and presentation style. By choosing the right slides, you can create a more engaging presentation that leaves a lasting impression on your audience.

I have a ton of data. Should I use a text-heavy slide or a chart?

Charts win every time! Bullet points and dense text overload audiences. Visualize your data with clear charts (bar graphs, pie charts) to make it easily digestible.

Can I use images and videos in my slides?

Absolutely! High-quality visuals like pictures, infographics, and short videos can boost engagement and illustrate complex concepts. Just ensure they’re relevant and add value.

How can I make my slides more visually appealing?

Maintain a consistent color scheme, use high-resolution images, and avoid clutter. Explore presentation software features like animations and transitions, but use them sparingly to avoid distraction.

How can I find high-quality visual templates for my slides?

There are many resources available! Many presentation software programs like SlidesAI offer built-in image libraries. You can also find free stock photo websites or purchase royalty-free images from online marketplaces. Remember to check licensing requirements before using any visuals.

Are there any slide types I should avoid?

Slides overloaded with text are a major turn-off for audiences. Aim for visuals and concise points. Similarly, avoid excessive animations and transitions, which can be distracting.
