The clerk of courts is an officer of the court that handles the clerical aspects of the court's business. Court clerks are usually elected officials who are responsible for court docketing, maintaining court records, hearing and trial calendars, budgeting and other administration duties. A letter to the clerk of courts should be in a formal letter format, dated and signed, with identifying information about the matter.

The Parts of a Formal Business Letter

A letter to the clerk of courts should be formatted like a formal business letter, which means:

  • If the letter is not on letterhead, the first thing at the top of the letter should be the sender's address, followed by the date. 
  • Below the date should be the recipient's name and address, called the inside address.
  • Below the inside address is the subject line. The subject line may say "Subject:" or "RE:," which stands for "regarding" or "in regards to." The subject line should indicate the subject of the letter.
  • Below the subject line is the salutation, which is "Dear [recipient's name]" followed by a comma or a colon.
  • After the salutation is the body of the letter, which should identify the sender and state the reason for the letter. At the end, a polite line thanking the recipient for his time is appropriate, followed by a closing line, such as "Sincerely" or "Very truly yours" and a comma. Below the closing should be three or four spaces for a signature, and then the sender's typewritten or printed name.
  • If any documents are sent with the letter, the letter should say "Enclosures" or "Encl." at the bottom left to indicate this.

Addressing a Letter to the Clerk of Courts

The website for the court will have the contact information for the clerk of courts including the clerk's name and the mailing address for correspondence. That name and address should be used as the inside address for the letter.

The salutation can be directed to the clerk by name, but simply writing "Dear Clerk" is also appropriate.

The subject line should contain the names of any parties to a court case as well as the case number or matter number. If the letter relates to jury duty, it should contain the juror's name and juror number and the date of service, if known. Read More: How to Address a Letter to a Prosecutor

The Body of the Letter

The body of the letter to the clerk should use clear, simple language, identifying the sender and stating succinctly the purpose of the letter. For example, if the letter is to request a new hearing date in a lawsuit, the letter should provide the sender's relationship to the lawsuit (i.e., the plaintiff or the defendant) and the current hearing date, followed by a request that the date be changed.

The body of the letter should also indicate the best way to contact the sender with a response, such as "Please respond in writing at the address above," or "Please call me at (123) 555-1212 if there are any issues."

Further Communications with the Clerk

If the clerk receives your letter and needs more information, requires a fee or needs to direct you to different court personnel, the clerk will usually send a reply letter or respond in the manner the sender requested in the letter.

If a sender receives no response after several business days, a follow-up phone call to the clerk to check on the status is appropriate. The court's website will provide the phone number and business hours for the clerk.

A letter to the clerk of court should refer to the case or matter number as well as the names of the parties, and it should be dated and signed. Typewritten letters are the preference, but if the writer has no access to a computer or typewriter, handwritten letters are acceptable but must be legible.

What Is a Court Letter?

A court letter, also known as a legal letter or court correspondence, refers to a written document used in legal proceedings. It’s a type of formal communication addressed to court personnel, such as a judge, attorney, or another party involved in a legal case.

Court letters can serve many purposes, including requesting information, providing evidence, or asking for consideration from the court. For example, you could write a court letter on behalf of a defendant to highlight their positive qualities prior to sentencing. Or you could write a letter to a judge to provide a positive context for a family member involved in a child custody dispute.

Due to their serious nature, court letters should always be written using a professional tone of voice . It’s important to convey your ideas clearly and concisely, and while the recipient won’t be expecting perfection, do your best to ensure your letter is free of grammatical errors, spelling mistakes, and typos.

What to Include in a Court Letter

Whatever the reason for your letter, include the following information:

●  The date

●  The recipient’s name and the name of the court

●  A subject line stating what the letter will address (if in email form)

●  A greeting or salutation

●  Body content

●  A closing signature

Structuring Your Letter

As you can see above, the letter begins by formally stating the purpose for writing. The second and third paragraphs briefly and clearly describe the nature of the incident, its impact, and the desired outcome of the request. It ends by referring to supporting documents and evidence included with the letter.

If you’re writing on behalf of someone else, include your relationship with them (coworker, family member, etc.) and one or two examples that demonstrate their character to provide context for your claims.

If you’re unsure of the correct title to use for the salutation, look it up beforehand (on the court’s or law firm’s website). And when signing off, use a respectful closing signature, such as sincerely or respectfully , and your full, legal name (rather than a nickname).

Divisional office supervisor.

The Divisional Office Supervisor reports to the Deputy-in-Charge in Santa Ana and performs supervisory work related to the full range of court and administrative duties.  Responsibilities include supervising employees, assigning and reviewing work; evaluating performance, and recommending employee development plans and disciplinary actions; overseeing all functional components of the Southern Division Clerk’s Office, including civil and criminal intake, case processing, records management, space and facilities, jury administration, financial administration, procurement, courtroom deputies, court reporters, interpreters, information technology; providing customer service to judges and court staff, members of the bar or other agencies and the general public; assisting with implementation of procedures; ensuring compliance with the appropriate guidelines, policies and internal controls; acting as a resource to staff and assists staff as necessary, and serving as a backup for the Deputy-in-Charge, Courtroom Deputy Clerks, and Intake/Reassignment Clerks as necessary.  Works with other managers in the development and review of procedures and practices.  Participates in on-going training and professional development.  Performs other duties as assigned.

Supervise staff, problem solve and provide assistance with the day-to-day operations of the Southern Division Clerk’s Office.  Directly supervise the daily financial aspects of the office, including collections and accounting for all fees.  Provide information and documentation for internal and external audits of vaults, fiscal, mail meters, exhibits, etc.

Work with management to develop short and long-range objectives and goals including, but not limited to, development, implementation, and refinement of office policies, procedures, and programs.  Provide input and feedback to the Deputy-in-Charge concerning policy matters affecting office operations and the effectiveness of present office practices and suggest improvements where necessary (related to both operational and administrative issues).  Perform case assignment adjustments and quality control on sealed documents.  Oversee, assign and communicate work requirements to staff regarding new and modified court programs, functions, and procedures.  Monitor for quality assurance in the areas of intake, docketing, records, scanning procurement, finance and courtroom operations.

Participate in all aspects of divisional office functions including recruiting and recommending to the Deputy-in Charge candidates for vacant positions, identifying training needs and implementing training plans, establishing performance standards, and recommending employee promotions, step increases, and any personnel actions relative to employee status.  Coordinate staff work schedules to provide needed coverage of duties, approve timecards and other leave related matters, and works closely with the Deputy-in-Charge to prepare and administer employee performance evaluations.

Conduct petit jury orientation and grand jury orientation.

Serve as a floor warden, attend Facility Security Committee meetings, and serve as a member of the Court’s emergency preparedness and response team.  Provide oversight of the calendar and schedule use of available rooms, parking, and equipment such as:  judge’s conference room, visiting judges’ chambers and courtroom, jury assembly room, training room, Clerk’s Office conference room, and video conference equipment.

Coordinate, conduct and/or assist with outreach functions and programs including attorney admission ceremonies, court ceremonies, building tours and visiting foreign dignitaries.  Acts as divisional liaison with all district court departments, U.S. Probation and Pretrial Services Office, U.S. Attorney’s Office, Federal Public Defenders Office, U.S. Marshal Service, U.S. Bankruptcy Court, General Services Administration, and a variety of other federal and non-federal agencies having business with the court.  Represent the Division at public speaking engagements.

Communicate and respond to management requests.  Answer procedural questions for judges, staff, and the public.  Provide customer service and resolve difficulties while complying with regulations, rules, and procedures.  Handle confidential and sensitive information appropriately. 

  • Completion of a bachelor’s degree is preferred.  A degree in business, criminal justice, management science, political science, public administration, or a related field is preferred.
  • A minimum of five years of progressively responsible professional, supervisory, or managerial experience that provided an opportunity to gain (1) skill in developing the interpersonal work relationships needed to lead employees, (2) the ability to exercise mature judgment, and (3) a thorough knowledge of the basic concepts, principles, and theories of management and the ability to apply the managerial policies in the court environment.
  • Strong supervisory experience, leadership and management qualities and initiative, and be able to manage change and articulate management priorities.
  • Demonstrated excellence in written and oral communications and strong interpersonal, analytical, and customer service skills.
  • Ideal candidate has vision, integrity, and to desire to achieve and maintain a high degree of professional excellence.
  • Skill in managing a diverse staff.
  • Ability to influence by negotiation.
  • Ability to work effectively with a wide variety of people.
  • Strong organization skills to oversee and complete projects.

Hackers breach Medvedev's assistant's email: insights on arctic weaponry, collaboration with Economics school and Rosatom

Hackers from Cyber Resistance have hacked the email of Alexei Zaklyazminsky, one of the six personal assistants to Dmitry Medvedev, Deputy Chairman of the Russian Security Council and Russia’s President from 2008 to 2012.

Details: It is noted that the hacking of Dmitry Medvedev's entourage's correspondence took place at the beginning of 2024, and the hackers monitored Zaklyazminsky's email for six months.

Some of the obtained information is currently not subject to disclosure and is being used in the interests of the Ukrainian defence forces. However, some facts have been made public on the website of the InformNapalm.

The IN said that Zaklyazminsky's email documentation shows that Medvedev is involved in the process of transitioning the Russian economy to a wartime footing.

Quote: "Among the data that we can disclose are complaints received by Medvedev's office from the management of the Tula Cartridge Plant, which has seen a drop in cartridge sales due to sanctions, as 85% of its production was for export (particularly to the US). Therefore, they are asking the Russian government to purchase more cartridges.

There are also recommendations for subsidising JSC Kronstadt, which is expanding production and setting up serial drone production in Dubna, Moscow Oblast, to cover mortgage interest for new plant employees. This involves 800 people.

Additionally, there are Medvedev's proposals to Putin regarding the development of new steel grades for armour by the Magnitogorsk Iron and Steel Works," states the InformNapalm report.
